I’m quite new to trello but have tried a few different task management systems with very little success. I guess the problem is not understanding how to create or implement a system that is super easy to follow & effective. The”ultimate trello board” has helped me identify & prioritise all the things I need to do and for the first time... gain a clear vision of how to realise my goals in a less stressful and time appropriate fashion. So happy I found your station. Desperately needed to get my life organized. I've tried on line calendars and recently reverted back to old fashioned paper and pen. Once I discovered Trello I spent a good amount of time searching for the best ways to use it until I stumbled upon your site. Thank you for sharing the Ultimate To-Do List, that was a very kind gesture. I'm looking forward to watching more. I knocked out a large portion of my new list tonight! I also love that Trello allows us to attach documents to our cards, such as my schedule for an upcoming book study. Thank you Scott.
I really like this system. It's all the good bits about GTD without the impossibly steep learning curve. Going to give this a go. One question - how do you distinguish between Today and Future tasks? If you don't get a task done today do you migrate it to future tasks, or keep it on Today until it's done? And do you move tasks back into Today from Future tasks when you're ready to do them?
I find this very helpful (as a trello use who is always trying to find more effective ways to use trello). There are a limited number of label colors HOWEVER you can work around this by creating a new label (choose a color, even if you've chosen it before) and then typing something directly on the label color to identify that label. Then you can filter by that particular label.
I actually just watched this video a second time and your board really makes sense. Going to give it a try for a week and see if it works better for my workflow. My current board is working fine but I especially like having the projects and ideas on there. I'm a teacher and most of the time my job is very "task oriented" but this summer I'm working on several special "projects" like course developement and professional development presentations and tracking my projects has been a chore...maybe this will help.
Thank you for the terrific tips! I'm in the process of moving my tasks from Todoist to Trello (mostly for work) and Google Keep (mostly personal tasks). I like how you can add a photo to each task here in Trello. I'm a visual person and I love how Trello and Google Keep allow you to add photos to make planning more stimulating!
This is great, especially the Notes/New ideas list. I definitely fill up my to-do list with these types of things and then I get quickly overwhelmed. How / when do you review this list and what do you find you do with these items?
I will try to review the Notes list at least once every 48 hours. If I feel that a note can 'graduate' to an actual task, then it gets moved (and sometimes re-worded) to the task list section.

Great video - thank you. I'm a person who likes reminders/alarms during the day for activities. How could I apply this to this board? I've seen you can add reminders, but there is no way of 'snoozing' or postponing a reminder. Any ideas would be MASSIVELY appreciated!

nice video! The only thing I am not a big fan of with Trello is that there is not a list feature. Sometimes it would be nice to see a long list of tasks and their due dates or have them plotted on a calendar. I tried zentao and don't want to use any other project management tool because it easier to understand and has more features.
Instead of archiving completed tasks periodically when it gets full, I typically either name it "completed March 2024" or sometimes create a project specific completed list if its going to be recurring/ongoing but not always active and I think I may need them for reference. I keep a separate board for those and move them in and out of the current board as needed.
This! This is a great video!! I'm going to get a copy now! I've been using Trello for about 6 months, but I'm still struggling to find a solution for using it to make batch records. In my job, I make products and need to keep a running log. Do you know how, or IF it's even possible, to do it in Trello?
It would be great if you can look into and suggest if there is a way to organisethe board in the Stephen covey 7 habits of highly effective people format.over the past 20 years are found it to be the best because it forces you to look at your life holistically and so for example each of the projects that you mention can be one area of your life. But I am looking for ideas beyond that because the timethat is taken in order to keep on figuring out which task to do and then marking it is complete and then moving the tasks between different list is much more and after a few weeks of few months I find it a bit of a drag and then stop using it only to be forced to use again because I cannot find a better way . Thanks for watching, Peter. In this example, yes, it is designed to manage all of your personal tasks, projects, and notes within in a single board. Of course, when collaborating with others, you will most likely be using additional boards (but you can link them back to your projects list here).

Yes, you can easily manage recurring tasks within this system. You can either adjust the due date once completed or make use of the Card Repeater power-up within Trello. Thanks for the question.

Hi Scott! I have a question about labels for this board. I love your system of giving each project a different label for easy identification of which tasks belong to which project. But, what happens when I've used the board for a while? As I archive tasks and ultimately entire projects, those label colors will be spent, right? I could of course rename the label to reuse the same color, but wouldn't that rename the label on archived projects too, which I might not want as I'd want to be able to find those tasks and projects later on even after the project is complete. I could also create multiple labels of the same color to reuse a color once one project is complete and another begins, but that would mean that my list of labels grows infinitely long, which isn't ideal either (and I don't think it's possible to archive labels). Do you have a solution to this or know something that I'm missing? Thanks for an awesome video! :D
Great question. I would lean towards your second option of creating new labels (even if you reuse the same color). But perhaps an even better solution would be to use custom fields. You can still filter by your custom fields and then not have to get labels involved at the project level. I hope that helps!

Great question, Santhosh. At a certain point, you may want to transfer these to a new "maybe" board. Or if you prefer, you can create an additional list for this purpose. I hope that helps!
Once tasks are moved to the Complete list, those items can be archived after some time. So the Today list continues to be a dynamic list that changes throughout the week.

Keep in mind that you have unlimited labels in Trello. Meaning that you can create multiple labels even if they use the same color. Where this becomes helpful is when you filter these cards (ie. you don't just see all green, but your specific green project label). The other option would be to create relationships by connecting cards.

I wouldn't be too concerned with having a long Future list. I know that it can sometimes feel overwhelming, but the important thing is that you have these tasks within your system. One way to help with these would be to apply labels within Trello for certain types of tasks. This way you can filter these tasks and see them more easily.

So in recent months I've become a big Trello user. I plan and track all my projects in it, and it's awesome! And of course, I use your Ultimate Todo List 😊👍 That said, I've reached a turning point. As you describe, I use color tags to easily see what cards belong to what project. I usually have 3-6 projects going at the same time. The color options for tags is well beyond that, but the problem arises when a project is complete. I don't want to rename tags as that would screw up the history. So instead, I re-use colors by creating new tags with the same color. But then the list of tags becomes increasingly long. I asked in this comment section before, but does anyone have a better solution for this? Any usable add-ons I should know about? I love this system and want to keep using it, but it doesn't feel sustainable even months from now 😕 Great channel though! Loving the content 😁
Try moving lists/cards to a different archive board instead of archiving it all in this "command center." That way, when a project is finished, you can move it to a different board, preserve your tags if you want to look through it in the future, and free up that tag on your main board to use for a new project. Do you actually review your archive, though? I've been using Trello for about 8 years and I think the only time I've ever gone into the archive was to retrieve something I accidentally archived.

Yes, due dates will change color when they get near and will also turn red when passed. You will also receive email notifications for due dates when you subscribe to the board or a particular list.
Yes, you can receive Trello notifications on your mobile device. Under Settings, go to Notifications and find the Trello app. Here you will be able to turn on notifications and select which ones you would like to receive.

I know Trello is very popular. However, I prefer to use GQueues which can do everything here and has great, seamless integration with Google email and calendar,
Question: sometimes, I have a task for which I want to assign a timeslot for doing this task, but other ones, I just want to follow up and only need a reminder of the due date (which can be several days or weeks away). Does anybody have an idea how to efficiently do this? When using Trello, I usually struggle with the second type of tasks as Trello seems to want to fill up my calendar with "waiting time" right up to the entered due date.
That's a great question, Dimitri. Since due dates in Trello need both a date and a specific time, I usually recommend that you create a standard time for these types tasks (i.e. 12 PM). Does that help answer your question?

Within the board menu, you can select More and then Close Board. This will then give you the option to permanently delete the board.

How do you handle tasks that are repeated weekly, monthly, so on? An example: Pay Electricity bill monthly on the 2nd Tuesday of the month.

Once your daily to do list is complete...then what? can you delete them? do you start a new one each day??

Not a silly question at all, Theresa. All I did was paste emoji's into the list title. You can do so at sites like emojipedia.org

From the Menu of this board, select More then Copy Board. This should make it your own to edit as you please.

Under Change Background, you can search within photos. Or if you have Business Class, you can upload your own.
So in recent months I've become a big Trello user. I plan and track all my projects in it, and it's awesome! And of course, I use your Ultimate Todo List 😊👍
That said, I've reached a turning point. As you describe, I use color tags to easily see what cards belong to what project. I usually have 3-6 projects going at the same time. The color options for tags is well beyond that, but the problem arises when a project is complete. I don't want to rename tags as that would screw up the history. So instead, I re-use colors by creating new tags with the same color. But then the list of tags becomes increasingly long.
I asked in this comment section before, but does anyone have a better solution for this? Any usable add-ons I should know about?
I love this system and want to keep using it, but it doesn't feel sustainable even months from now 😕

Try moving lists/cards to a different archive board instead of archiving it all in this "command center." That way, when a project is finished, you can move it to a different board, preserve your tags if you want to look through it in the future, and free up that tag on your main board to use for a new project.
Do you actually review your archive, though? I've been using Trello for about 8 years and I think the only time I've ever gone into the archive was to retrieve something I accidentally archived.

Is there a notification for due date? Cause I missed every due date I set. ☹️
Yes, due dates will change color when they get near and will also turn red when passed. You will also receive email notifications for due dates when you subscribe to the board or a particular list.
Simpletivity I'm a Trello android user and expecting that notification will pop up on my status bar. Okay will set an email notification incase.
Yes, you can receive Trello notifications on your mobile device. Under Settings, go to Notifications and find the Trello app. Here you will be able to turn on notifications and select which ones you would like to receive.

Question: sometimes, I have a task for which I want to assign a timeslot for doing this task, but other ones, I just want to follow up and only need a reminder of the due date (which can be several days or weeks away). Does anybody have an idea how to efficiently do this? When using Trello, I usually struggle with the second type of tasks as Trello seems to want to fill up my calendar with "waiting time" right up to the entered due date.
That's a great question, Dimitri. Since due dates in Trello need both a date and a specific time, I usually recommend that you create a standard time for these types tasks (i.e. 12 PM). Does that help answer your question?
