SharePoint Communication Site vs Team Site
Learn the benefits, features and why you should use SharePoint Communication Site vs Team Site.
Contact us: www.Valto.co.uk/DW
In this video, we dive deep into the differences between SharePoint Communication Sites and Team Sites. Understanding these differences is crucial for effectively utilizing SharePoint in your organization.
Purpose and Design:
Communication Sites are designed to broadcast information to a broad audience. They are ideal for sharing news, reports, and other important information in a visually appealing format.
Team Sites, on the other hand, are designed for collaboration among team members. They are perfect for projects, teams, and departments where file sharing, co-authoring, and task management are key.
Features and Audience:
Communication Sites focus on communication and visual appeal, featuring sections for news, events, and highlighted content. They are targeted towards broader audiences within an organization, such as departments, all employees, or even external stakeholders.
Team Sites focus on collaboration, with quick links to document libraries, task lists, and team updates. They are targeted towards specific teams or project groups within an organization.
Permissions and Content Management:
Communication Sites typically have a few content creators (owners or members) and a large number of readers (visitors). Content is usually managed by a select few individuals who control what appears on the site.
Team Sites typically grant all team members edit permissions, promoting collaborative work. Content is managed collaboratively, with multiple contributors working on documents, tasks, and other resources.
Pros and Cons:
Communication Sites:
Pros:
Simple and intuitive interface for publishing content.
Built-in templates and web parts for a modern and attractive design.
Ideal for sharing information and updates broadly.
Flexible design options to suit various communication needs.
Cons:
Not designed for collaborative document management or intensive teamwork.
Simplified permissions may not suit complex needs.
Team Sites:
Pros:
Excellent for collaborative work, with features for co-authoring, document libraries, and shared tasks.
Seamlessly integrates with Microsoft 365 apps like Teams, Planner, and OneNote.
More granular permission settings suitable for team-based projects.
Cons:
Can be more complex to manage due to the collaborative nature and numerous contributors.
Less focus on visual appeal compared to Communication Sites.
When to Use Which:
Use a Communication Site when:
You need to broadcast information broadly.
The focus is on presenting information in a visually appealing way.
There is limited need for collaboration and document sharing.
Use a Team Site when:
You have a team or project that requires frequent collaboration.
You need to share and co-author documents, manage tasks, and use collaborative tools.
The focus is on teamwork and project management rather than broadcasting information.

@@Dougie_Wood Thank you again. I think I found out why. After signing up with Microsoft 365, it seems Microsoft needed to do some setting up before the account is fully up and running. Create a teams meeting with just you in it would be easiest
I tried to change it in admin centre works fine and already synced folders to users devices work as well and redirect to new site. However the folder is still named with old site address on users devices.. no change regardless waited for days.. lot of users affected in our environment. Any suggestions without downtime and unlink and relinking sites?
I think you might need to use a 3rd party tool if you want to mitigate impact. syncing folders will be a challenge

It works like a charm! AWESOME! Just one question: is there any way to use this same function, but with more pages? Or I have to recreate the flow for each page I want to copy?

Hey Dougie, nice review. Have you tried ShortPoint? I am looking at both Shortpoint and Oragami, and trying to figure out which one to go with.
I think origami has the best features 👍
@@Dougie_Wood Unless you have an exclusive contract, it would be great to here a review from you on Shortpoint. Please do consider a full review of Shortpoint. And hopefully a head to head.
Thanks for this video. Can you also show us how can we do a LOOKUP based on a column fetching values from another List? I am not talking about normal lookup feature we have in SP but based on the static values we have. Example: In your case looking up values based on Test1, Test 2 etc.
Can you give explain your example?
@@Dougie_Wood I have 2 lists. In the 1st list lets say I have columns A, B and C. In the 2nd list I have C, D, E & F. The 1st list gets information from a MS Form and the 2nd list is a static list. My requirement is when the 1st list gets populated automatically using Power Automate, its relevant value from 2nd list should get fetched based on col C which is common both the lists. I tried with the Lookup function in a column but the issue is I have to manually select the col C in the 1st list and then only the relevant info gets fetched but my need is as soon as C column gets automatically filled, it should fetch its relevant values from the 2nd list.
Thank you!!
You’re welcome
Great video! I've been dipping in and out of SharePoint for years and never made much progress (endless lists and poor design). Our company has only 25 users and we've never really known what to do with it. Now I feel we have some direction! Thanks Dougie 👍🏼

My number one challenge is this: I want to associate Vendor Documents with a central Vendor List. That document could be a contract, a W9, a service agreement, a price list, a quality certificate, or an invoice. Each of these documents would be stored in a Document Library managed by the respective department: Accounting, Legal, Quality, Purchasing, Etc. Previously, a Lookup Column could only reference a record from within the same Site. Is that still the case? Could I store a handful of Master Lists in a Hub site which could be referenced by associated sites?
Look up columns still work the same way, I don’t know your full requirements but it might be worth looking into content type hubs and how you can pull documents tagged with meta data back into a centralised site.
@@Dougie_Wood Thanks for the response, I've tinkered with content types using Sub-Sites, but looks like I'll have to dive in deeper. I'm not a SharePoint Admin in my org, so I'll have to get some cooperation from IT to test things out. Requirements: 1. Business data is stored in lists and document libraries 2. Each list/library is appropriately permissioned so that group owners have full control while stakeholders have visibility. 3. Each list/library is connected with meta data (as appropriate) to 4 central Master Lists: Plant Location, Vendor, Customer, Item. What I'm finding is that requirements 2 & 3 are often in conflict. I am forced to choose between data silos and permissions hell. I have an eye towards creating PowerApps to function as a more robust front-end for the data, but that's a ways off, and I'm trying to get the back-end data structure down first.
@@Dougie_Wood Thanks for responding. My full requirements are pretty simple: an extensible ERP system built entirely in SharePoint without heavy coding or paying for additional licensing. In all seriousness, I'm just looking for a better method of managing important business information and documents. For example, all stakeholders should have access to information such as: how many forklifts we have at all plants, whether they are owned or leased, and how many hours of operation each has. That shouldn't be a, "Let me make some calls and put together a spreadsheet for you," situation. That said, I don't want to build a bunch of one-off solutions that utilize choice columns or managed meta-data, when it would be better to use a lookup column to maintain data integrity. I'm pretty sure creating custom column types in the hub is the best compromise. I'll head down that road and see where it leads.
Very knowledge brother 🎉🎉🎉
Thank you 🙏
I've moved a fairly large batch of folders up to the root folder within my one sharepoint site. It's been a few hours and they are not either in the origin or destination folder. I did note that they are all in the Recycling Bin. Is "deleting" from the source folder part of the move process? Or is this a glitch and therefore should I restore the bin contents to their original origin folder? Any help much appreciated.
Sounds like something has gone wrong there and have been accidentally deleted. I’d restore them and I would never use the move function to move a large amount of documents. You might be best to use copy and do it in smaller batches and once you are confident it is all across delete the root documents yourself
This worked great! Thank you so much!
Glad it helped! 👍
Hi Dougie....great vid. If External Sharing is set to Anyone at the tenant level, I am concerned this will become the default for new sites my users create. I want the default to remain "New and Existing Guest" at the site level, and manually enable Anyone links only if I approve. Can this be done?
What you are setting at the top level is the maximum you’d allow but not the default. You’d still need to go and enable new sites for external sharing 👍

Takes plenty of time to discuss the "why" but takes a while to get to the "how". The example still goes into the "why" all the way to nearly the half way point of the video (even the example focuses on the "why"). The actual "how" sort of starts at 3 minutes in (03:20) (don't care "why" just care "how" 😉) Not the author's fault but this is dramatically overcomplicated by Microsoft. Why can't you just go to the page, to the action menu, then select "Move" and select the new place, then "OK". 🙄
Hey, yes it’s true but I like to make sure that viewers understand they are in the right place (video) for their problem before showing the solution. Nothing worse than being half way through a fix (how) just to realise it’s a fix for a different problem 👍
What about SharePoint site owner, architect and technical writer
Good ideas 👍

This was a good explanation and exploration of some of the basic capabilities op Power Automate. However, you have a typo in your initial and end slide you might not be aware of
