Why I Switched to Todoist from Toodledo

    Hi, everyone. This is Lara Hammock from the Marble Jar channel and in today's video, I'll tell you why I switched my task/reminder app platfrom from Toodledo to Todoist.
    Of all of the apps and systems that I use to keep my life straight, I one I look at the most throughout the day is definitely my task/reminder system. It serves as a checklist during the day to ensure that get things done and it helps me to remember things that I need to do in the future. Up until recently, I had been using Toodledo for task management. Toodledo was basically fine for my needs. It is highly configurable and has great options for recurring tasks. There were a couple of issues, however.
    * First of all, it is pretty basic looking. The interface looks like it got stuck in the early 90s. It really doesn't try to hide the fact that it is really just a big spreadsheet.
    * Second, the mobile app, while fine, is pretty clunky, not slick at all, and doesn't update quickly on it's own. I constantly found myself switching screens just to get it to not show completed tasks.
    * The next issue is that the developers at Toodledo haven't updated their APIs to use with third party apps. For example, Toodledo doesn't have updated APIs that allow you to create automations through Siri Shortcuts or IFTTT.
    * None of these are deal breakers, but this last one really started to bother me. Toodledo doesn't allow for manual sorting of tasks. So, on any given day, I may have 15-30 tasks. You can sort by lots of things, but I wanted to sort my tasks manually into the order that I was going to accomplish them -- and that is not an option for Toodledo. As a result, I started using lots of workarounds to accomplish this. You can see my Trello workaround video if you are interested. But in the end, I started looking for another app that would meet all my needs AND allow me to manually sort.
    I tried out a bunch, but I ended up choosing Todoist. I'll go through the things I love about Todoist and some things I would change. Pros:
    * Interface - first of all, the interface is great. It doesn't look like a big clunky spreadsheet and it shows both tasks and projects (even in the mobile version if you turn it landscape).
    * APIs - it's developers do have APIs that are available to use to create your own automations, so that is a “nice to have.”
    * Manual sort - I wouldn't have switched without this, but Todoist DOES allows you to sort your tasks for the day into whatever order you want just by dragging and dropping the tasks. Perfect. And then there were some nice additional things that I wasn't necessarily looking for, but that I'm really enjoying
    * Inbox - Todoist has an inbox. So, any task where there is no project assigned goes into the inbox. This is new for me. Toodledo doesn't have an inbox, so you basically only know about tasks when they hit your hotlist -- which means they are either due today or overdue. For this reason, in Toodledo, I would have to give every task a date. I got used to this, but I can see now that there are many tasks that I would procrastinate about putting into Toodledo since I hadn’t figured out a timeline for doing them yet. Todoist allows you to get the thought out of your head immediately and then you can go into your inbox and assign those tasks to specific dates or projects. It helps to clear your mind and capture everything without forcing you to pick and manage arbitrary due dates. Similarly, I really like the way Todoist handles
    * Projects - Toodledo kind of psuedo handled projects through Tags. But that was really just a way of grouping tasks together. Todoist has a view for projects that is practically as important as your view for daily tasks. The idea is that you will be checking in on your projects fairly frequently, adding new tasks, and assigning dates. It offers a way to plan things out without having to assign every task a date at the outset. You can add tasks or subprojects to projects, and also subtasks to make mini-projects. Here's an example, let's say I have a project that I want to call some insurance companies for new auto quotes. This is not something I need to do on a specific date, but just something I want to do when I have time. I can put in a project called Auto Insurance and plan out some tasks. Say, I want to call Geico, State Farm, and Met Life. . .

    I have been a heavy user of Todoist for years. There are a few tricks but easy to master. For reoccurring events there are 2 options; "Every" and "Every!" Check out the usage in their help as it is likely to help your reoccurring events issues. Also there is great feature where each project has a unique email address. I use this to send articles I comes across that I want to read down the road and not lose. You can also share a project with someone else, which I use with my kids. They each have a chores project that I add items to. Then when they complete them I get notified. I Love this app. No I don't work for them lol.

    So your reasons to switch didn’t quite accurately describe Toodledo. While Toodledo doesn’t have a field titled Inbox, the inbox can be found by hitting Context, then selecting “No context”. As far as the projects feature that you were raving about, Toodledo has the exact same feature however it is called folders, but that is the exact same functionality. The “Do today” feature is also available in Toodledo, by sorting by today. I appreciate your video, as after watching it, I’m more convinced to stay with Toodledo. While they do have an older looking interface, for me TOODLEDO has far more functionality, and robust search options. Also for those who follow GTD methodology, Toodledo is the clear winner.

    I have used both programes for several years, starting with ToodleDo.
    One major plus for each programme, at least for me:
    -ToDoist does not allow for start dates (separate from due dates). I like having separate start dates from due dates. ToodleDo has that feature.
    - On the other hand Toodledo does not allow for multiple contexts; ToDoist does allow for that.
    Incidentally I used MyLife Organised for a couple of years, and it had both features. BUT it was not web based and very complicated to use.
    ...
    Actually - I will correct what I said above. Todoist does not have contexts; you have to use tags. Toodledo does has contexts in addition to tags. But as noted above, you assign an item to more than one context. So, Toodledo is in fact more flexible than Todoist in that regard.

    HI Lara, Oh wow, this sound so tedious! I can't wait till you show us how you put it all together. I tried using the Toodledoo when you mentioned it a while back, but it the outdated interface that made me feel like I was in Back to the Future.

    I'm a long term Toodledo user who's looking for a good place to land, but it's not due to interfaces or features...it's worry over viability. (You could call me a power user.) I see similar comments about the interface as expressed in this video where Toodledo is "old looking" and the new apps have way too much white space. "Pretty" does not equal efficient, and I find it inefficient to have so little data on a screen with apps like Todoist. Sort of understandable on a mobile device, but unacceptable on a desktop or in a browser. I get that a casual user needs something easy to learn and easy to use. I don't. Meaning...a tool can be hard to learn if it's easy to use. (You may have to think about that one.) Part of that easy to use bit is flexibility. And last...I cannot adopt a tool that doesn't have some way to create a task from an email or have direct email integration. It's very clear that far too many people still use their email inbox to hold messages intended to remind them to do something. When I see inboxes with a lot of old email in them, the reason is ALWAYS that it's being used as a todo list. I fixed that for myself and will never slip back into that quagmire.

      Hi, Al - I completely agree with you about too much white space. I prefer the compact view on Toodledo and hope Todoist includes this at some point. That said, I have gotten used to the space faster than I thought I would. I also wanted to let you know that there is a way to add tasks through email on Todoist. I use it all the time. Good luck!

    One thing that is not really accurate is that toodledo does not have an inbox.... I use status filter for my inbox. Any item that has no status assigned is an inbox item.... So if I add an item quickly it by default has no status and as such sits in my inbox waiting to be processed.

    Toodledo's inbox is tasks which are not assigned to a context yet. But thanks for the nice intro to Todoist!

    I downloaded Todoist and its simple enough to help keep things uncluttered. I was using Informant 5 and it is quite complete but also complex and not many tutorials for slow folks like me. But... I also came across TickTick and liked it a lot because although it is very similar to Todoist it also has a calendar. Wondering if you have you looked into TickTick? I'd appreciate you opinion on this. Thanks.

      Hi, there! I haven’t heard about TickTick, but I’ll add it to my list of things to check out. Off the top of my head, I like the idea of having a calendar, but since I already use Google Calendar, I would prefer to have my to do list integrated with that. Thanks for the comment.

      @@marblejarchannel TickTick is a simple and handsome app but you will find that Informant 5 is super complete, just in case you are interested. I have been using Informant 5 for years; it has super reviews but a much smaller following, the tutorials are very few and dated and that's what's making me look elsewhere. Trello's great and I keep looking into your videos. Thanks.

    Hi, I stumbled at your great content and getting a lot of ideas from your channel. So, thank you very much. But I have a question. One of my important need for a task tracking system is to estimate the tasks and then record all the chunks of different times I spent on it so that I can also get feedback how much total time I spent vs estimated. I am open for tracking all of these in multiple apps (like toodledo + google calendar). Is there a good option for me, preferably free version?
    And can you also do a review of JIRA for personal task and time tracking?

      Hi, Manu. I’m not sure how I would accomplish your goal. None of these task management systems do this naturally although you can certain add a note to the task to estimate time and then record the actual time spent. If I can think of something that would work better, I’ll let you know!

      @@marblejarchannel Thanks for the response! I found out that Kanbanflow has both the features - you can provide "estimated time" for any task and you can also record time spent on a task... and it has some cool features of pomodoro clock to auto record the time too.

    Laura, I took another look at Todoist. I am switching from Google Task to Todoist. Your video prompted me to consider the switch, but the Beginner Guide to Todolist by Carl Pullein (ua-cam.com/play/PLAzfmm1gS2_WoaNc01a5WlQdUueHe9Ryd.html) sealed the deal. I recommend Carl's beginner's videos (10 total) for anyone considering Todoist. PS. Laura, hope you don't mind me posting someone's videos on your website...

      Not at all! Carl is THE EXPERT for Todoist hands down. I learned a lot from his videos and actually did a collaboration video with him about a year and a half ago. I'll be interested to hear how your switch goes, Michael!

    Toodledo is has only basic features? Seriously? SERIOUSLY? You may lack basic understanding of Getting Things Done methodology (by David Allen) and IT may be reason you fail at your task management with Toodledoo. Todoist is just a basic todo app with no contex, just basic tags. Toodledo DOES have an inbox and basic filters (new, changed, updated). TO make it short: your review is based on false assumptions and lack of Toodledo featurers... For example you use TODOIST with ERRAND TAG, while Toodledo uses CONTEXTS for this reason (work, errands etc.). BTW Todledoo is too expensive and mobile app is outdated.
