    Calendar Blocking is one of the most commonly used techniques in the productivity space. It allows you to block in your schedule or calendar the time you need to spend tackling a specific task or going to a certain event.
    This micro-management can be incredibly useful if you need to juggle a lot of different activities or areas of interest, if you have an uneven schedule that doesn’t allow space for strict routines or simply to get a birds-eye view of your time and understand what you can accomplish at any given time.
    However, despite being quite useful, engaging in calendar blocking incorrectly can become pretty overwhelming pretty fast. So it’s important to understand whether we’re making some mistakes that are basically removing all the beneficial features from this technique.

    A tip from my therapist for when you find that you never get back to your schedule after scheduled breaks: remove those breaks; just do all of your tasks in a row so that you have the rest of your day to relax/break. Scheduled breaks work for some people, but not others.

      I totally relate, Pomodoro never worked for me because a five minute break always turned into 3-5 hour break. Once I get into the flow of doing I'm best served to skip to another task when I hit burnout time. So study for 45 minutes, do the laundry, clean the kitchen, personal hygiene, do 45 minutes of contact work, exercise, than practice piano. The tasks are different and some are mindless AF, but it's perfect for a brain break while still 'doing' so I don't lose that initial forward moving energy. Your therapist is spot on, some of us just get lost in the break. I usually end up with two to three blocks like this through the day with hour to hours of 'break' in between.

      @@jason_v12345 nothing wrong with that, the breaks are at the end. In dieting, instead of having one little dessert everyday it just means you have one decadent dessert per week only.

    Adding tasks within events is a very interesting idea. I always left the tasks that were related to the events of the day without any time, and in fact there were very difficult days to compress all the tasks. I will try to organize myself by following your tips, thank you!

    I absolutely love that your calendar completely mixes English and Portuguese. That's exactly how my calendar and my grocery shopping lists are! I write on whatever language I'm thinking in the moment. I feel normal now, hahaha!

      ​@@davidmerrill5604 You just have to create the task as usually and put the due date as when you want to do it, don't need to do something special for them to be able to overlap

      All i know is that the first thing you need to figure out is your “sleep time”. Rest/ sleeping is easily the most important thing on your calendar. Personally, i figure out at what time i need to start my day, then at what time to i need to wake up to get ready and have breakfast so i can start my day, and THEN, i calculate the time i need to go to bed the day before so i can sleep 8 hours. After that, i always schedule something called “turn off all electronics” about half an hour before the bedtime. If there is one thing you should follow religiously, is your sleep time.

    I'm a champion time-blocker at work. I started blocking time for tasks (color blocked by task type) because otherwise, people will think my calendar is open and schedule me for so many meetings that I can't get any work done. I haven't carried the habit over into my at-home life. I have a toddler and an anti-planning husband at home so it's tough to create schedules around those two, LOL.

      I find having routines, and changing the routine you have one task a week is what works for family stuff and toddlers can handle it too. It's tough for a month or so, but then life gets so much smoother. Even Anti-Planner Brains love going through routines. Just leave space for "spontaneity", for example, the routine could be "Anything Sunday", on which you don't schedule doing anything. At least it worked for my family, we do the big grocery shopping on Thursday, so I have mealplanning as part of my routine during the Thursday midmorning slump and my husband shops whenever he gets a break at work. I get schedule, he gets "spontaneity".

    I also use tasks inside events to make my calendar more efficient. As well, I add links/files to the relevant timeframe like syllabus, checklists, and so on. Nice hues on your calendar btw

    I'm a few months late but this is an amazing video, super concise and great advice! Similar to other people in the comments, I didn't know you could make tasks within the calendar and check them off in the calendar itself!     If I add everything in my calendar, I end up doing nothing. I tried that and learnt to add intentionally breaks but not get crazy with tasks because I do them anyway but without to force myself through a micro managed calendar. Just my two cents^^

      i've experienced the same issue. the more i add, the less i do - and i think it's just naturally overwhelming me and makes me feel lost, confused and idk where to start and etc. (even if i time manage). but this video did mention flexibility - and i never thought of going that way!

    In most cases, the first problem is related to your activities.
    You can prepare your plan and will not follow it.
    So even if you have a plan, you will not achieve the results.

      you can create your own calendars. She created a new calendar for "out of office" and "appointments" that's how she did it!

    question, do you retroactively modify your calendar to match what actually happened and what you did?
    for example, instead of working from 8:30-9:30, it was actually 9:45-10:30. or do you include unexpected scenarios? e.g. got flat tire, changed to spare, drove home [delete planned grocery shopping outing]

      Do you need to do that? I mean by all means delete and reschedule the shopping trip but this seems like it might not be the best use of your time?
      Just curious as to why. Not an attack.

      I guess you have to do what works best for you. For me, it's enough to know I completed that task, no matter if later or sooner. But if you want a kind of diary or record of your days, I guess you should modify, so that at the end of the week you can look at it and see what you have done exactly :)
      About planned grocery store, maybe you should reschedule, because you'll have to do it eventually

    This is such a helpful video, I love google calendar! Quick question though, how do you make your tasks fit inside your events so neatly? For some reason mines always shift off to the right in a weird overlapping way.

      I found that happens if you have the task too high up in the event. It's like Google is trying to shift it over so you can see the event info. I need a good chunk of time to put the tasks in the event. Hope that helps :)

    I do add tasks into my Google calendar but I can never get it overlap with my time block event. It’s always get divided between the event and the tasks but never overlap like yours does. How do I do the overlapping?

    Thanks, this is really helpful! Does anybody know a good calender app for android? I don't like the pre-installed one and this "setting tasks within a task" looks really helpful. Is it Google calender she is using?

    How did you get the « tasks », « out of office » etc options built-in google calendar?

      The tasks option is available for everyone. The “out of office” is only available if you’re using a business account

    Weird question: In your calender, you can have the bigger task in the background and the "To-Do"s overlaying in the foreground.
    Idk if you use google calender, but if you do: How did you manage to do that? For me, it is always squished next to each other and looks way less aesthetically pleasing.

      For everybody wondering about the same ting - I just figured it out!
      Settings - General - View option - untick the box "View calendars side by side in Day View"
