Use Mail Merge to Create ENVELOPES in Microsoft Word Using List From Microsoft Excel

- Though email is certainly popular these days, we still occasionally need to send things by snail-mail. And that requires an envelope. Microsoft Word makes this easy to do, using a mail merge that pulls address information from Microsoft Excel.
In a hands-on tutorial, I’ll show you how to set up an envelope mail merge template in Microsoft Word, taking into account the envelope size and printer settings. Then we’ll grab data from Excel and merge it into a new Word document for printing.

Excellent video. I was able to get this set up with ease. There was only one issue that I can't figure out - It prints out 1 envelope and then one sheet of printer paper (blank) - so every other page is an envelope and every other page is a piece of paper which messes up the whole job. This doesn't show up on the print preview so I can't figure out why it is doing this......any thoughts?

Hmmm...that's very odd. I know my printer will do random things like that sometimes (for example, sometimes all pages coming from Word are blank, so I have to convert them to PDF in order to get them to print...bizarre!). If the blank page isn't showing up in print preview, then it seems (??) like it's a printer issue? Whenever I get strange behavior, I usually restart the printer. That fixes it about 50% of the time. And if not, then I uninstall/reinstall the printer on my laptop, and that has solved everything so far. I think maybe updates/drivers get out of sync or something?

Tiny Technical Tutorials, I kiss your feet. Seriously. I have kind of mastered labels, but for invites to an upcoming class reunion, I really wanted to print directly to the envelopes. IMO, it just looks classier. I tried walking thru the "wizard", but just couldn't quite get it. I probably have trashed at least 50 envelopes that just looked wrong. After watching this tutorial, I recognized a couple of things that might be causing some issues, and I retried it using your excellent tips. Success!!! Thank you, thank you, thank you!!

Can you change the font with mail merge?
Hi Betty! Yes, you should be able to change the font in the original merge template, then as records get merged, they should pick up the new font. I'd suggest doing a Ctrl+A (Select All) and then picking a new font, just to make sure you don't miss anything.

Ooh, I like it! Yes, you can change the background. Here's a walk-through for that: support.microsoft.com/en-us/office/add-change-or-delete-the-background-color-in-word-db481e61-7af6-4063-bbcd-b276054a5515. And then inserting decorations/images would be the same as what we did above with the logo by the return address.

Great video, what printer would you recommend works best for this type of printing.
Thanks so much, Yaakov! I don't really have specific recommendations on printers. I personally use an HP OfficeJet 4650 that's several years old. But I've had many others over the years (HP and Epson) that do just fine too.
If you're printing thousands of envelopes on a regular basis and/or need super high print quality, you'd probably want to choose something more commercial/expensive. But if you're doing a couple dozen envelopes a couple times a year, no need to go fancy (all my printers have been $150 or less). The only real requirement is that it has a feeder tray where you can place the envelopes.

When I select recipients and attempt to open the xl spreadsheet, the name of the spreadsheet does not populate the SELECT TABLE window. Instead, Blank$ appears. Can't get my ADDRESS table to be recognized. Can you help?

As I continue to add new addresses to my Excel address book, is there a way to automatically get those added to the mail merge file? I was able to autosave the mail merge file but how to I add new recipients to my mail merge list? Like add a new envelope with a new address into my mail merge list. Thank you!!!!
Hi Mia! 👋 I'm so glad it helped...nice work! 💪 I'm not aware of a way to have it automatically merge new addresses, unless you wrote some type of Visual Basic for Applications code/macro to do it for you (which would probably be more effort than just re-doing the merge 😊). But if I come across something, I'll post an update here (or maybe someone else can chime in if they know of a way).
Everything worked beautiful until I tried to print. I can print the current page, but it will not print when I try for a range (ie. 1, 1-2, etc.). How do I fix that?
Hi Diane! Gosh...it's hard to troubleshoot printer issues. I occasionally have weird issues with mine as well, where it won't print a Word doc, but it'll print the same thing as a PDF (and other odd behaviors). Usually the fix is to turn off the printer and turn it back on. I sometimes also have to uninstall/reinstall it on my computer. If you're able to figure it out, feel free to post the answer here...it might help someone else!
When I follow the instructions and click on "envelopes" -- I don't get anything that allows me to select the correct size.
