    Thanks for this Video. I face always a problem that was not solved wirh this explanation. Maybe you have a solution for it as well.
    Imagine you have invoice details for a flexible number of items. So you can't predict how many colums you would need for the invoice. My idea would be to have a single row for each item, but I think this would not work with the logic of a serial letter, correct? Next idea is to have a maximum expected number of colums and then go on with your example. But in that case I assume only an if clause will help to decide if empty rows musr not be shown in the letter, correct? If so, can you explain how? Or maybe there are even simpler methods you can share with me.

    By the way...greatexplanations in all if your videos. Short, on the point and close to what Excel Users need.

      (Great tutorial!) I would also like to know how to print out the letter heading fields just once and then to itemise different rows that belong to the same customer's order (customer name and order number)?

    I wish mail merge allows us to include Cc when sending emails without having to install add-ins. My company does not allow install anything without permission and I have yet to find a way to Cc people with mail merge. 😞

      I also faced a similar issue. But in my specific case, I applied a workaround here - I created a rule in Outlook to cc my boss in all outgoing emails, and triggered the mail merge.
      After the activity, I deleted the Outlook rule!

      Not directly. Unless you have the Adobe add-in for Word. Next week we actually I show a method to send PDF documents with mail merge directly from Excel, but these PDF documents were created before hand. I've made a note to look into making a video specific for the topic you requested.

    One thing that makes me sad is that I've been trying to use XLOOKUP in an excel document which then gets used as a mail merge data source. But, sadly, the results that are not "0" come up as blank fields. I don't know Excel well enough to know how to stop them being blank. I've tried it from another excel document, from another worksheet in the same document and from a different table in the same worksheet as the original table. It's doing my head in.

    Without any hesitation, I would recommend those struggling to learn or understand the mail merge to refer this video. It was simple and easy to follow. The herculean task of sending individual email was simplified on viewing the video. An added advantage is, the emails are personalised to make the recipients special.     I have been using MS mail merge for >20 years; thank goodness MS has developed it over time so that it is so much easier than it was at first. I'm now retired and use it for sending Christmas greetings to friends and family. Today's video was a great refresher, especially since l learned something new(!!) = that I can copy/paste an Excel table into a Word document and also use field codes for another project I am working on. Thank you Leila - I love your videos .

    Is it possible:
    1) to generate dynamic subject for emails, for example with Customer name?
    2) to put some address or dynamic addresses to CC and to BCC fields?
    I lack of these two options and appreciate any recommendation from you

      @@ennykraft I saw this video before. And I knew that custom add-ins can do the miracles, but that's another story. Sometimes an add-ins cannot be applied by various reasons. My intention was to succeed within standard MS Word functionality, described by Leila. I even expected to get a negative but honest answer. No reply was sent except a recommendation to make a search for some extra tools, like add-ins...

      ​@@ivanmamchych5802 It isn't possible with the basic MS Word functionality. It's high time Microsoft gave Mail Merge an overhaul. There are so many features that would improve it from correctly importing number and date formatting from Excel, to more than two options for If...Then...Else (both without having to editing the fields) and the function you mentioned.

    Mastering Mail Merge means that you can automate many repetitive boring tasks. Unfortunately all the tutorials on this topic describe only the basic functions of this powerful feature. There are tens of switches which can make a huge difference. Hopefully a follow up video which goes beyond the basic functionally of this feature is in the pipeline. And why not solutions for functionalities which currently Mail Merge does not have like the possibility to send emails with different attachments.

      Thanks for your comment. Yes - next week, we will go beyond this and use a type of "mail merge" to send emails directly from Excel that are personalized and have attachments. Stay tuned for that :)

      @planiolro You can use some generic text as signature and combine the Send as Attachment feature of the Mail Merge feature or use VBA.

    Quick question, is there a way to have the excel information fields to be vertically oriented rather than horizontally?
    Also, is there a way to produce an email attachment that is a PDF instead of a Word document? (Without Pdf'ing saving, writing an email and attaching the Pdf)

      PDF is not a Microsoft product. so you wont be able to. everything is done from inside Office. not using external tools.

    Hello Leila, amazing feature, I wonder, how many hours we could have saved with this one already! One query: I observed that the name of the file is not getting customised for each recipient, either with company name or with invoice number, do you have a work around for that?     I have been using Mailmerge for a while and realised from your video how simple the field code can be for numbers. I have been using #,##0.00 instead of the shorter ,0.00. Maybe this might also remove auto-introduced formatting (unwanted bold, underline, etc.) during the merge for my documents.

    Hey, I'm trying to make a marksheet using mail merge.. but there is one issue. There are Six subjects and the condition is - least marks scored by the student is not calculated for Percentage and that subject is supposed to be in the last row. How can I do that?
    All the data is ready but when mail merging, the subject row wont be static and will be different for each student depending on the marks scored. Plz help

    On monthly basis I create a report in Word containing lots of Tables, Graphs and text values which I use to link from Excel Sheet, the only problem in automatically updating Word file are the Subscript and Superscript values, Which exist within an Excel table and I Copied and pasted as link in Word, but the values remain normal, when I restart or reopen my Word document every next time
    Any Solution please?

    The \# ,$0.00 switch doesn't seem to work in MERGEFIELD and the fieldnames in mine have quotes around them:
    {MERGEFIELD "total1" \#,$0.00} I'm using a PC with MS Excel and Word from 365. The Microsoft documentation doesn't mention \# as a switch at all.
    What I had to do was add "before" and "following" text \b \f like: {MERGEFIELD "total1" \b "$" \f ".00" }
    An alternate was to use {MERGEFIELD "total1" \# $#,#00.00 }

    Hi Leila, I, work in the finance department, have to produce a weekly that contains about 30 columns that I need to delete about 25, leaving 5 columns to be sent off to the headquarter.     Yeah. No. Microsoft have done it again.
    Whilst you picked the Onedrive file (because you have Onedrive in explorer view) try doing this with a SharePoint file. You can't. You have to have the file on the desktop/local machine for mail merge to even find it. It's bonkers.
    Another work around is to have a spreadsheet on your desktop which refreshes from the SharePoint document. Still, it's nonsense you have to do this in 2021. Why haven't they allowed me to use SharePoint files in mail merge even though they are pushing cloud so heavily?

    Question: Mailmerge does not work on files in SharePoint or in OneDrive's shared folder for everyone but only works for one member of the team. Is there a way to use mail merge in Office 365 cloud mode? If so, that function could potentially be used by everyone in the team.
    Background: I had my Excel data and Word mailmerged templates on our local server. The whole of the team was able to use the mailmerge since the data address was the server address i.e. same for everyone. However, when we moved our data to Microsoft Cloud (SharePoint) it is syncing through OneDrive with individual machines. My understanding is that is why mailmerge is no longer working. The synced copy of Excel data and Word mailmerged template are effectively stored at different locations and that is causing mailmerge to fail.

    Hi. Thanks for this video. It was helpful. I have been using mail merge but I was still able to learn something else. I used to rely on MS Access to edit my database, it did not occur to my mind that I can actually link Excel file as my data source for mail merging. Thanks for this. But I still have a little problem. I hope you can help me. When I clicked the option "send to email" at first, it gave me a message saying that my Word application is not linked to any email program. Then I canceled or clicked ok, I really do not remember anymore. Then I tried again, no such message appeared but no email was sent either. I wonder how I can possibly correct whatever mistake I did.     Can you please help me and let me know if I can have multiple emails for Send To, not CC or BCC? I have multiple providers I am sending reports every month, and I have multiple people for each provider receiving the email. I tried and added multiple emails with ; but the outlook doesn't recognize the email's error.

    Hello, We provide a number of services to customer and we don't know - how many services a customer will avail. Is it possible in any way to automatically add service and related fields instead of adding service column in excel for each service. .
    Also, If a customer avails the first and fourth service, Can they appear in the 1st and 2nd row, instead of in the 1st and 4th row. Thanks.

    Hello,
    I have two different accounts in MS Outlook 365 I want to mail merge from a word file to one of the accounts.
    However, I made that account a default still sending from the other account which I don’t want. Can someone please help me with this?

    Hope you can help me. The font size in my mailmerge change itself. I already add the \*chartformat and try change my style and formatting to the font size that I want, but it doesn't work.

    @Leila Gharani. The mail marge creates a new record by reading each row. What happened if I have a customer have multiple invoices outstanding with different amount on each invoice, how can we address mail merge to list out all invoices under one single customer? Assume that my data set has 4 columns, 1) Customer 2) Date 3) Invoice 4) Amount . The customer 1) info will be repeated, but mail merge does not know how to combine and treat this as one client to list out all invoices instead it create new mail merge per row. Thanks in advance!

    I'm trying to do an email merge with multiple rows of the data going into one email per unique email address. I see the NEXTIF field code, but I've only seen it used to create a multiple page document. Is there a way you know to send emails instead of page breaks? Use Case, notify users of one or many items they need to resolve with the data in a CSV with a many to one relationship of the rows to email addresses. BTW, you are the very best Microsoft Teacher out there!!!

    While this is great it is actually not a good practice. First off... Excel is not a database. Access should be used to store the data (or another system of your choice). Excel should be used to pull the data in (power query). Then you should run mail merge as described and run another job to mark processed records back in the database.
    After that you need to make sure the Excel file is deleted as it contains PII.
    All over all.. Good functionality bad use case.

    I have though been struggling for many months now with files located in SharePoint. I can create the Word document in SharePoint, the Excel document in SharePoint set the link between the two, perform the mail merge with OK result then save and close the files. When I then open the Word document again I get an error message saying that 'Word found unreadable content in...' at which point I can ask Word to recover the file, I can then reestablish the link to the Excel file and run the mail merge again with OK result. Have anyone out there seen the same problem?

    I love excel and word, I'm very efficient in excel but fairly new to mailmerge but understand how to use it.
    When I send a word document as an attachment the recipient gets all the prompts when opening the document and because they do not have the database it's gets very messy with about 10 prompts.
    What am I doing wrong? Surely it should just send it as a word document with no database and recipients filters linked to it.

    I would like to use this feature in a different way. I have a set of records in the Excel sheet file, and each record carries a number, date and other information, and I would like to create a Word document with the record number and date only. Can I do this or is there another way, even if it is using a VB Code.

    I've used this feature for years, and it's an amazing feature. So, is there a way to do this with Google Docs and Sheets? I don't see a native way to do it, and every 3rd party add-on makes it so complex it's ironically easier to copy info into Word and Excel.

    Hi, I've used mailmerge for some time and it worked wonderfull. But sinds a few months it does not work anymore. I did sent it to our IT-desk and they didn't encounter any problems. But it's not working on my computers. I also made a new document but it's still not working. Do you have any ideas why this is?

    To remind people to update Ms Planner, I could extract fields to Excel and run this process. Is there a more direct way? This is better than me asking everyone individually by a long shot.

    Can you add hyperlinks to the mail merge? I have various Excel cells which I have made hyperlinks but in the mail merge document they do not appear as hyperlinks. Any ideas?

    Is there a way I can do it so that when I preview the mail, it follows the way the people are sorted from the Excel file? For example I have the people sorted from top to bottom :

    John
    But when I preview each mail, it shows like :
    Mark
    James
    John

    Hi, I remember it was possible to buy an extended version of Mail Merge. With the paid version it was possible to cc the email to more than one address and to attach various document. Do you know if it's still possible to buy the paid version?

    Thank you for the very informative video. I followed it closely but when I get to edit recipients list and select say, 4 recipients only the first one goes into every table box. Where am I going wrong?

    Is proces i do all ok but finish the merge and send after my cursor is not responding like "i" symbol is showing messages not going solution pls
