How I Schedule My Week As A Small Creative Business (For Flexibility & Productivity)

  • Today I'm showing you how I schedule my week as a disorganised, creative person who needs a lot of flexibility 😅
    I've always struggled with sticking to calendars for creative tasks because it's really hard to a) know how long a creative task will take and b) when you're going to have the creative capacity to make it.
    So far this is the calendar system that I've found works best for me, it's just a really simple Google Calendar with a few colour coded categories.

    You guys asked to see how I schedule my time so here it is! It's nothing fancy - in fact I find the best system for me is to keep things simple and flexible. Would love to know if you schedule your time and what kind of system you use ❤

    This video was extremely helpful to watch your mindset behind planning a self employed creative week. I myself have tried MANY different schedules and never can actually stick to one. I love how this is both structured yet flexible and gives you something to always be working on at a quick glance. Love your channel, thanks for the inspiration!

    This is really helpful!! I have such a hard time sticking to schedules, but it’s still important and motivating to do so. The flexibility of your calendar is really perfect! I like that you don’t box yourself in *TOO* much, but you’re honest about scheduling time for yourself. Thanks for sharing, it’s going to help me a lot!

    I don't schedule my time as such, unless I have to interact with someone else and fit myself to their available hours. Beyond that, I usually take a moment the day before or morning of to note on my steno pad the day, date, top 3 tasks/projects in short labels on the right and my bank balances on the left, bc another YTer recommended checking them daily to prevent fraud. I've been thinking about adding Google Calendar for a little structure to boost productivity, so thank you very much for creating and sharing this video. Blessed be.

    I have never seen someone use a google calendar so fluidly, I love it! Sometimes I feel as ficle as this rogue Tasmanian weather so I personally keep a bullet journal that I use on really busy days but mostly just have a small whiteboard beside my desk where I have a running list of hobby and pleasure tasks, tasks to work on to open my own business, a weekly to do list, list of content ideas and plan two days out at a time often in the evening before bed so I can wake up with a purpose for the next day. On the other side of my desk is a basic monthly calender so I can plot appointments and big tasks ahead of time while leaving myself a lot of room on the day to day side of things.

      That sounds like a great system! I also want to set up a white board because I like having a running to-do list as well, it's helpful to keep on top of the little tasks that can't be forgotten!

    Thank you so much for this~! Loved listening to how you organize your tasks and time. It all boils down to what we prioritize for the week/day and this can be hard when we don't have a fixed schedule to follow. Having a calendar of sorts really helps for us not to get lost and distracted (I'm guilty of this lol).

      Oh wonderful! Changing from a month calendar to a week view really changed things for me - I think it made it more manageable just doing things week by week!

    thank you Mimi for this video, it is inspiring to see how you use your google calander. Currently I am not yet there with a schedule that actually works for me, I tend to distract myself quite easily. I did start to do the reverse of scheduling . I have the goal to everyday make space for my creativity and now tracking my efforts with a tool called Toggle.

    Loved this video! I love the blocks of time you create and the free space to fill if need be. I allow myself some grace right now in my schedule because children do remote schooling at times or vertigo will hit me. I look at my schedule and to dos on a monthly list, and then drill down to the weekly list in general terms. The night before, I figure out what I have the capacity for the next day.

      Being able to change the colours is the most important part for me, can't deal with the vibrant colours that come as default 😅 It's also super easy to set up which is a big plus!

    This was so helpful! Thank you for sharing. I've been struggling through finding my own groove with scheduling. I tried the full focus planner, which I loved, but something was missing. I'm trying todoist and I like that, but having all tasks grouped can get a little overwhelming. I've tried bullet journaling. I really like the slots of time for self care and how you divide up days and pods of time. I'm going to give this a shot myself and see if I can find my balance that way.

    Great video, Mimi! 💛 I plan my IG posts & UA-cam videos as a general checklist in Notion, just because I still have my 9-5 job. For IG, I just have “Post 2-3x a week” and “Add stories of process”, as for UA-cam “Post 1x per week” (and that has a seperate checklist with everything that goes in the video creation - like filming, screen recording, animation creation etc.) But if at some point I will have more time for creative things, I will definitely make a similar structure to yours - nothing too restrictive. 👍🏻

    Definitely still working on this as a new stay at home mom with two young kiddos. I love the loose structure idea! I think for me, at the moment, I’ve just been trying to draw about 30 minutes to an hour a night after their bedtime then slowly work toward incorporating more in my schedule :)

    love the loose structure of your calendar :) I tried different types of planning and organisation but ended up not using one of them. Now I just do what I feel like doing on that day. There are so many factors way I didn't stick to my calander like my mood on that day, bad wather so I coudn't film or at the same times more important things came up and I had to rearrage evererything. Now I just figur out what I want to achieve next month and that's it. So far that works for me, but maybe I need a calendar if I have to do more tasks one day. Than I definitely would create something like yours :)

      I'm the same! So many reasons why it's hard to stick to a calendar, and I also just figured it out day by day for quite a while. Once I had lots of different things to do though it was starting to distract me so I find this to be a happy in-between 😊

    I always plan out a calendar in some form or another and PLAN to use it religiously… but in the end…I forget about it or I end up making so many changes that I give up on it. I never know how long something will take me and like you said, I don’t know when I will feel inspired to create. Yes I try to draw something everyday, but it doesn’t mean the world needs to see it. Haha. I’m going to try doing the calendar thing again, as I am a hot mess right now and seeing how you put yours together has inspired me to give mine a try again to get me back on track with things in my personal life and art career. Another great video to get us thinking and helpful! Thanks!!
    *my usual method I end up resorting to in the end, after the digital and paper planners have failed, is simple to do list that I end up checking a couple items off of but never finish. Haha

    My schedule revolves around my 2 toddlers, so basically it's a mess :( but i really liked yours. I'm a writer and I could really use some of your tips in order to not push all the work when they're sleeping...

    I work part-time as a content creator and part-time contract work. How would you schedule if you didn't know ahead of time when you get something assigned? I sometimes get assigned a small amount like 2 tasks (which takes around 6-8 hours) a week and sometimes even 10 tasks a week (which can sometimes take up to 30 hours). I usually get something assigned and I have roughly a day or sometimes even less to finish. I would love to start using a calendar like this so it could help me not to procrastinate (which I usually do when I think I will get something assigned but then it doesn't happen) and I am really not sure how to go about it.

    Note: While I really appreciate the content and hard work you put into this video, the background music was too loud for me. It competed with the voice-over and I struggled to focus on what you were saying. In all of your previous videos, the background music volume has been fine for me. It was only in this video that I found it too loud compared to the voice-over. Just something to consider.

    I don’t use a calendar as only just starting my Instagram journey but went from posting 5 days a week to just 3 as it was too much. I also wanted to fit crochet in. I tried it crocheting on the days I’m posting and drawing on the days I’m not but I found myself struggling and not really getting enough time to crochet so now I’m trying drawing all weekend and getting 3 posts ready to go for the week then I have the rest of the week to crochet. I also work and have 4 kids so this is obviously all in the evening only x

    I don't use anything. I have kids, cats and it seems every time I make a schedule something happens where I need to run out of the house. aka- vet appt, Dr appt. school stuff. Messes up my whole day. I am trying to wing it but it's not going well.

    I've tried so many times to stick to a planner and it just never works, but now I decided to get a weekly planner like you have and just roughly schedule stuff! It works so much better to lay everything out I know I need to do ,but i can easily move it around if I have to. Working from home and trying to do everything is so difficult, so I even set up my phone/watch with daily Events for Work/Lunch/Workout/Dinner so I get buzzed when its time to take and break and when to get back to work

      Yess working from home and trying to balance everything and have boundaries can definitely be difficult! I like that you have reminders for things in your day, I just have the one for 9am at the moment because I can also lose half a morning really easily 😅
      I don't schedule housework time but often in the mornings I'll tidy the kitchen or living room, and then do bigger housework chores on the weekend.
