Hello friends - having decades of experience, I have chosen this topic for sharing my views on this.
This topic is very very important for those who are learning stenography whether in Hindi or English. It seems some candidates are very much scared of doing transcription. We should love doing transcription and should not be scared of it. It may be that those who have done transcription of seen passages for a long time, hesitate to switch over to unseen passages. It just requires a change of mindset and some conscious efforts to start doing transcription of unseen passages and then it becomes easy for us
In one of my earlier videos, I have shared with you all the importance of transcription and why to type transcription daily. An article about the importance of transcription has also been included in one of the magazines of Sir Kailash Chandra and has been referred to by me. He had compared the need of the transcription for a candidate learning shorthand with the requirement of food for us.
Now I deal with the subject of improving the quality of the transcription.
Since in any exam, the transcription is to be done with the help of typing and that too on the computer, the first requirement is to learn the typing on the computer. In areas where typewriters may be provided, though it is not to my knowledge whether it is still happening, there the candidates can learn the typing on typewriter. As to how to improve the typing skill has already been covered in one of my earlier videos.
Now, I take up the quality of the transcription apart from the requirement of typing.
We find the following types of mistakes or errors in the transcription:-
1/ Omissions - some omissions do happen bcoz of new words but in case much omissions, the reason is the speed - it is better to reduce the speed and not go forward on that speed - some people miss line - that’s very dangerous - use of scale
2/ Substitutions - it happens when we try to outline a new word but not able to get it later - in case the substitutions are many, the reason is that we are not practising the outlines daily for a sufficient time - increase the time of daily practice.
3/ Additions - this is an important part which spoils the transcription - adding of small words like to the, of the, but the, on the etc when the is not dictated - we need to be very cautious to write with the dictation and not include unspoken words - it only requires discipline at our end.
4/ Spelling errors - spelling errors do happen but if in great number, we need to handle these on day-to-day basis - we can a register of such words which normally confuse us or disturb us and revised those periodically.
5/ Singular/plurals - these happen when we are not attentive and also affect the performance of the transcription - in case the number is high, improve the habit of listening carefully - sometime we are in haste of writing and do not listen carefully - we must carefully listen and then write.
6/ Full stops missed - this is generally the issue with many of the people and is important as well - but at the same time too easy to handle, if we are careful - for this just do one thing, only listen to a few dictations and don’t write them, I repeat just listen - you will feel that there is a clear pause after the full stop in case any professional is dictating - observe those and it will be easy to understand - develop a habit of putting full stop instantly and don’t leave for future bcoz its very difficult to find out later.
7/ Typing errors - it is simple to handle - in one of my previous videos I have given the method of improving the typing skill - once you are able to type accurately, it will save your time and improve the quality - the time saved can be utilised for reviewing the transcription after it is completed.
I am quite sure, once we start dealing with the kinds of mistakes you are committing one by one, there will be improvement in the quality - do it in the order of higher number of mistakes to lower number - all the best to you I am sharing it as it has

Very useful tips... Thank you sir... You have mentioned about typing to transcribe the dictated passage... But I would like to inform you sir, there are little changes in some Courts regarding transcription process. The dictated passage are to transcribe by our own hand writing.... And there is another issue of patience and of course practice by own hand writing.... So, if u say some useful tips regarding that, I shall grateful to you....

if u cant buy comp for some reason u can buy otg at any mobile shop which will cost rs 50 and keyboard which will cost 250 to 300 plug in otg in ur mobile and attach keyboard and strt doing typing..

Dear - regarding full stops, Just listen (do not not write) to a few dictations and you will notice the pauses given - it’s rarely that the pauses are not given - another is the construction of the sentence-just spend time and listen to any dictation to identify - you will understand and gain.
Commas are used when the sentence is broken into pieces - normally commas are not mistakes in the transcription - just spend time and observe commas and full stops in a few sentences, you will learn.

mohsin khan - i hope by long hand you mean transcription- in that case there is no problem and no marks deducted at all.
@@satishchhabra6261 yes by longhand I meant the English version of shorthand. Bec sometimes it is difficult to make difference between same sort of vowel sounds, even though we commit mistakes but still able to write correctly in the longhand.
@@mohsinkhan8640 - thanks for confirming - sometimes we have words fresh in our memory but were not able to write in the dictation, even those can be included.
@@satishchhabra6261 Sir, long time ago somebody told me that the examiner don't give much attention to shorthand instead he is concerned about the longhand. Is it true?
@@mohsinkhan8640 - That's true to some extent but not in its entirety - the reasons being that if only longhand/transcription is done by any candidate (who does not who shorthand and manages the script of the exam through some source) he may get the job, which may be totally unfair - so the shorthand pages (duly signed by the candidate are also obtained to avoid the possibility of such frauds.

Dear Sony - in any case you have to transcribe sooner or later - better do it at the earliest - I can suggest you one thing - take small dictation on slow speed at which you are comfortable and then transcribe.

Sir shorthand likh pa raha hoom aur use padne me bhi koi thakleef nehim. Lekin transcription me poora galath ho ra he sir. Mera typing speed bhi acha he like 40 wpm. Phir bhi transcription me poora error aa raha he like grammar err, spelling err, caps err. Ek ek stroke dekhkar typing karne par grammar galth ho rahe, group of stokes padkar likhne ki koshish karaga tho poora ek dho word miss ho raha he ya pehla word dho dho baar transcribe ho raha he. Sir please provide some guidance.

Dear - In case your grammalogues, contractions, etc are weak then revision is required periodically - so far as new words are concerned, these are always there in any unseen passage - try to write those and if not possible leave those initially and catch the next word - practice the new words adequately for improvement.

Sheetal - though strokes typed are good but skipping a line is a lapse and I am not sure how they have instructed the software to take it - I think there is no mention about it also.

Sir i joined the Institute fr learning stenography bt sir there he only transcribe the passages of pitman with 20wpm from lst 2 mnths what u think is there any requirement to change
Dear - in case you are doing theory book then it is ok because the speed starts after the theory book.
