How to STAY ORGANIZED with MULTIPLE PROJECTS and TASKS using very simple-to-make PROJECT FOLDERS

  • In this video, I show you how I use project folders to keep the gazillions of tasks, projects, events, and goals flowing all in the right direction. I have always been able to complete a whole bunch of super complicated projects in a timely manner thanks to these project folders, in large part.

    Are you a SUPER BUSY PERSON like me with a lot of different things happening? Maybe these project folders will work as well for you as they have worked for me.
    To keep myself organized and make sure everything I was doing was being done successfully, I came up with a system. Here is what I do:
    1) I use old pocket folders that cost like $0.30 or so each.
    2) I have a cover that I use for each which can be purchased for just $1.00 at

    3) I write on those by hand: I put the title of the event/task/project, I put the tasks involved for each, and I put the due date (if any). There are just 3 columns - that's it!
    I cross off the tasks or mark them in the "completed" column. I only put the top 5 or so folders in front of me each day that I am working on, which is a great SYSTEM for PRIORITIZING! All the other folders remain in a basket to be worked on at a future time. The priority folders stay on top of my desk.
    On the website, I talk a lot about organizational skills (mental organization and physical organization) to get a lot achieved in short periods of time. I also have focus areas.     This was very timely for me "a lot of people come off as lazy or unreliable, but they really are capable, intelligent, worthy people its just they take too many tasks, doesnt know how to say no and the disorganization gets outta hand and make them look bad -- they just need a system that will work so they can do work on the appropriate time and people can rely on us for help" - super true, if not almost everyone is sharing the same state. I have been looking for the method that will work for me, and i appreciate the FOLDER method you just discussed. More power to you Rosanna!

    I have always used Android phones, with samsung being my favourite. I tried an iPhone once and hated it. We each have our preferences though, that's what makes the world interesting

    Thank you for this idea. I am in the process of renovating and decluttering my home and this will be a great way to work on these projects so they don’t seem so overwhelming.

    I love this idea of having the tasks printed and right there in your face: quick and easy! I coordinate (email) extensively with lots of people all day long. Lots of random to-do’s are always popping up. How do you handle that? I’m afraid I’d spend more time reprinting and filling out the cover sheet than actually working!

      For quick things I do it right on the spot without delaying or putting on a to-do list. For instance, I had 2 big projects going on concurrently yesterday and a coworker called for a schedule of an event she needed. As she was saying it, I quickly opened located the schedule and emailed it on the spot - done. If it's quick things like that I do it right then and there but if it's something that's going to take me time to put together is when I print so I can prioritize in addition to everything else going on.
      Using DOWNTIME is also key. As soon as it's quiet and there is downtime, that's when a lot of the major and more time-consuming things can get done.

    I love the project folder idea! I have ADHD and I am a macro thinker. This could work. A planner doesn't work for me, but I could put it in my Google calendar.

      I think for me the reason it helps is because it brings things that need to be done to the "physical" world. The folders are sturdy so they keep things together better.

    This was really a great idea thank you! I have tried using apps and still would forget a task or forget all of the projects I was working on because I did not realize that I needed to SEE the project constantly so I am thinking about doing this.
    Funny you said you never used samsung I started out on samsung but when I moved to iphone I just could not look back lol.

    i have a family projects and activities coming large group of friends big trip not very obvious busy with a lot of busy things.
    i use to write down my activities and at times develepe them simultaneously as the ideas arrive and become more mature. i take them out of list as a accomplish them and the next day i take a scroll over the old list and see which new onces to add or modify or simply take out

      What helps is the process of writing things down. Ideas don’t stay in your head but rather, come into the physical world.

    Even though this is 2 years ago, I just wanted to say I'm going to try this. I have so many things to do at my job that there is no way to track it. I was told I can track with Microsoft Excel but I'm not proficient enough in order to track progress, etc...

      I put very little inside because of the fear of forgetting them in there. However, I have 1 folder that I use for my bills. I put all the monthly bills into 1 folder and pay them all once a month, no matter when they come due. It helps me stay on top of my bills, always, and not fall behind. So that's one way. Another way is for my full-time job I have activities I put together. I put some documents pertaining to those in that particular folder, such as flyers and purchase orders.

    Samsung is a much better phone you get way more bang for your buck
