Lists - My mother taught me to be extremely organized, post its are fabulous reminders, keeping your desk area cleaned is viral, and be reasonable at what you expect to accomplish in your time frame. When I have days off work I want to get caught up on so many projects at home that without a list allows too many things to get forgotten. I have a day planner for work, birthdays, appointments and put post its in to remind myself of yearly or monthly appointments that need to be made so by that month I remember to make those appointments. Take your breaks! I’ve started actually taking my breaks at work and people think I’m slacking off - but I work with a variety of personalities for customers/staff that need me to be mentally rested. Yes! I'm a big fan of setting time aside for emails "catch up with messages". This is very important to maintain your focus on the task you are working on. I found that if I start reading emails, it distracts me. I'll start answering the email, and then that leads to another, and then I start working on a new request, and then OMG, where was I, what was I working on? 🤔
Great advice to switch off the emails. They are productivity destroyers. 99.9% of people are rubbish at multi-tasking. Working at a consistent pace delivers results. Not panic working and flapping about. Many managers don't understand people who work at the same speed all the time, but they get things done!

I ❤ to-do lists. I do a weekly one with a side column noting when items have to be completed by. Below the list of must do's are other items to work on if time permits ( which get carried forward if not able to complete). But the problem I've had for the last few years is the constant changes/reconfigurations and expansion occurring at work. My to-do lists are generally derailed by an urgent problem to solve, or showing someone how to do/fix something, or I have been given a major new task that I have to prioritize over everything else. Don't even get me started on all the tech issues that have arisen the past two years with the expansion! It seems that every inch of paper I deal with is replaced by two new inches. My desktop hasn't been clear in years. Concentrating on one thing at a time is the only way I can keep my sanity and not be completely overwhelmed.

It releases stress and builds confidence because you know exactly what you are doing the next day. You laser focus your energy. I liked to create overarching priority categories for my work: Urgent (first priority); Important (get done during the day); Maintenance Task (part of my resposibilities but not time sensitive; Long Term (projects that are not time sensitive and can be worked in parcels over a period of time). Consider slotting in a 4-5 hours during the week for emergency project work requests by your manager. Work 50 minutes at a time and take a break. Get up and walk. Manage work interuptions by others in a positive way.
Any secret for overcoming procrastination? I feel over and underwhelmed by my work at the same time and don‘t know how to get out of that. The work environment is not really positive, so I don‘t feel like I can talk to someone at work about that unfortunately. But I feel very stuck with that situation. Thank you for your tips!

A cluttered desk = a Cluttered mind. Spend the time necessary to clean your desk. The space is going to function better, and you're gonna be able to see the things that you need when you need them. As an executive assistant clearing up your space has major benefits: It can improve mental health and keep the team more organized in the long term.
I do two things...one, I use the outlook feature to create rules for my inbox...the second is to use the workboarding feature in Teams to create my own agile task list. The other thing I have done is create kanban board dashboards in the work system we use in my job so that I only see what is relevant for me.

I struggle with the 'anxiety' of missing out on what's going out (as my colleagues always seem to know before me) but I also want to get out of the habit of racing to my emails everytime something pops up out of fear/anxiety that I am not commited or aware enough for the team. Would like to know maybe a healthier way of checking emails in a day.
Do not use AI to to organize or start a project then you can not claim it as your project. I would use it to help while working on it or finalizing details. Just went through a course with an IP lawyer and those are some tips from him.

I use One Note for daily action list. I mark items as “completed” when finished and move the incomplete ones to the next day.
