How to Apply a Design Theme, Style Sets, and Styles in Word 365

  • Here, I demonstrate the differences between a Theme, a Style Set, and individual Styles, and how to apply them to a document. It can be confusing. The clearest way I know of to explain it is that you start out with a document (like a business report) that you have finished typing up, but doesn't have any formatting yet. It might be easier to think of an analogy, like a brand new house. The Theme is like the whole house itself. Maybe it's an old Victorian design, or a Craftsman design, or a more modern design.
    Then, inside the Theme (inside the house) you will find a whole gallery of various Style Sets to choose from. Each Style Set has its own unique style that goes well within that Theme. There could be a dozen different Style Sets, but they all look good with that parent Theme. You would then choose the Style Set you like best, kind of like picking out a certain style of furniture and decor for the inside of the house. Out of the dozen Style Sets to pick from that are under the umbrella of the one Theme you chose, you would choose one Style Set you like within the framework of the main Theme. Each Style Set is a collection of individual Styles grouped together, such as a Main Title style, a Heading 1 style, a sub-Heading 2 style, etc.). In the analogy of the house, then, while a Style Set is a whole entire design of a set of furnishings for the house, an individual Style is like one individual item, such as a chair, a couch, or a lamp.
    Here is how to put it all together:
    First, choose the kind of house you want...
    First, choose a Theme (aka Design Theme).
    Second, choose the genre or overall type of furnishings you want to put in the house (modern? old Victorian? rustic country?)...
    Second, choose a Style Set.
    Third, choose the individual pieces of furniture and decorations that will go into each room of the house (a couch? a table? a lamp?)...
    Third, choose the individual Styles within the Style Set to apply to each part of the document (a main title? a sub-title? a section heading? a smaller, indented paragraph heading?).
    If you apply these Word design features in the right order ( 1. Theme, 2. Style Set, 3. Styles) to your document, you should find it an easy process to make your document look polished and professional.
