@@MrRusell86 It's vs its is one of the few grammar problems that I just can't seem to get in my head! My issue is that, if you're talking about a house that belongs to Mary, you say "Mary's house", with the apostrophe. So, my mind insists in this example - "worth it's weight" - the it's applies to make the weight possessive. But then I think about it some more and decide that's not right and change it. But then I think about it again.... You can imagine the "bunny trail" my mind goes down! I've struggled with this particular subject for years!

02RIV well, let’s say you have a little bit “overexplained” the concept in the blog. As a semi-experienced user, I was looking for numbering with styles. My document was nearly finished but seeing that you’ve started from scratch was a bit disencouraging at first. Secondly, i cannot even manage to proceed the action number 2, because it was greyed out in my computer, since i believe i’ve clicked somewhere else. I think we are getting used to be taught by video posts for these kind of stuff. Blog posts are a bit “unfit” for such step by step explanations.
A good blog post will relate to people wherever they are on their journey. Clearly you are further along than others. My blog posts are structured so that you can scan through to the section(s) that are relevant. The jump links at the top of the post also take you straight to the relevant section. If I started the post at the exact point you are at Zeki, then to others it would feel like starting in the middle of the story. I'm sorry you found my writing 'desperately bad' for these reasons. I also strongly disagree that blog posts are unfit for step-by-step explanations. That is their strength. People learn in all kinds of ways - watching, listening, reading and doing. While blog posts may not work for you, one size does not fit all. I hope you figure out your issues. All the best. Jason

Thank you so much for making this video - very helpful! I really like the explanation for styles and how to get the numbering level to display number format using level 1, level 2, etc. One thing that was missing was how to edit the multilevel list after it is created. As far as I can determine, it is not possible to edit the list using the same menu system that was used to define it the first time. In terms of editing the indentation positions, I would recommend 1) Turn Ruler function on using view menu under Show: Ruler (tick box) 2) The indentations can be adjusted using the icons located on the ruler. If the list is created using styles then an update in one heading will affect all the same style. Note it is possible to edit these values using paragraph: left indentation, special-hanging and Tabs, I just find it is much easier to edit using the ruler symbols as you can see the change in real time. Hi Great Big Breakfast. Thanks for your feedback. If you click the multilevel numbering icon then choose 'Define New Multilevel List' the existing settings are displayed and you can edit them however you want. No, it's not obvious! Yes you can make changes directly on the ruler providing you understand what is happening with the styles. When you modify a style, the 'Automatically Update' setting (at the bottom) is switched OFF by default. this means that if you place your cursor in, say, a Heading 1 paragraph and adjust the indent using the ruler markers, ONLY THAT PARAGRAPH will change. If you switch ON the 'Automatically Update' option in the Style definition, then if you adjust the rule markers it will change EVERY INSTANCE where that style is applied. You have to be very careful. My personal recommendation is to leave the option switched OFF. but if you are careful and understand what you are doing, switching it on is fine if it serves your purpose better. Thanks again, Jason

I had troubles working with multi levels for a decade, which got it wrong in many instances. But, nowhere explained this that easy and really work, but this. Could have watched this before ...😭😭. Great tutorial, thank you! One question - when I apply a heading style to a level, the auto numbering functionality stops working for me (meaning if I hit the enter key, it doesn't auto number the next line). This is good if I want to write free text below the level like you demonstrate at the end of the video but not good if I want to continue the numbering for new items. Any advice? Thank you!
Hi. Yes, this can be done. If you're working with say Heading 1, modify the style and set the "Style for following paragraph" to Heading 1 instead of Normal. Let me know how you go.
I do a lot of test procedures so this is great. Test steps are then the lowest level. Sometimes these steps in a section are not at level 3 but at level 2. What is the easiest way to remove the heading format cause it just needs to be a test step not a heading? For example test 1.1.3 could be a step and not a heading. But 2.1, 2.2, 2.3 could be steps as well. How do you remove the H2 format from 2.1-2.3 but not from 1.1?
Hi vipero00. If you wish to retain the number structure but simply change the look of a heading (so it no longer looks like a heading), do the following: 1. On the Home tab, right-click the Heading 2 thumbnail in the Styles gallery and choose Modify. 2. Make your formatting changes and click OK. If I have misunderstood your question, let me know. I've had one class (that was not very successful, thanks to a disruptive student) in Styles; you just explained Multilevel and Styles in one go. You are a GODSEND from Style Heaven! THANK YOU!!!! I will refer to this video because right now I'm looking at a disaster of a document that has a mishmash of styles in it, mixing some Word styles with Google Doc emulation styles.

Well I'm having another problem after getting my mutli-level lists sorted but it might require some troubleshooting. I have a big white space after a paragraph when I select a certain style. The problem seems to be connected to the Style but maybe it's something I did/didn't do when setting up the lists. I've checked for page and section breaks. I searched for tutorials on "white spaces in word" but only came across very basic problems. Maybe you already have some posts on this? A troubleshooting tutorial on potential causes of white spaces might be good. I use word 2016. Many thanks

Try this. 1) Right-click the style you are using, then choose 'Modify'. 2) In the bottom-left of the dialog box, click 'the 'Format' button, then choose 'Paragraph' 3) In the Paragraph dialog, check the setting for 'After paragraph'. I'm guessing that will be a big number. Reduce it. Let me know how you go.

Hi Connie. Thank you for your comment. As body text is generally not numbered, you can simply create and use regular styles in the Styles Gallery (on the Home ribbon).

Hi Roz. Thanks for your question. As my training videos are mostly Microsoft Office, I use a PC for recording and editing. Here's my stack. It's very simple: - Camtasia 9. - Rode Podcaster mic - Audacity (for minor audio editing). I mostly use Mac for everything else in my business. It's just that Microsoft and Apple don't play nicely, even with Parallels or Bootcamp running, so I keep my two worlds separate! I hope that provides some insight. Have a fantastic day. Jason
first off, a big thank you for this life saving video. i also watched some of your other videos and i can say that you saved a lot of my time. but i'm facing a problem and i hope you could help. i need 5 levels of numbering but im stuck at level 4. i triple-checked: multilevel list -> define new ... -> chose level 4 form the list -> include level number from level 1 -> dash -> include level number from level 2 -> include level number from level 3 -> then chose my preferred style from number style for this level list (also assigned each level numbering to its corresponding heading number, because my ultimate goal is to make a table of content for a plain text of 61000 words). i followed the exact same path for the first three levels and it worked out fine, but even with this setting I still get 1-1-1-1 at the forth level.
It sounds like you have set it up correctly. So, does the numbering do this ... ? 1. Blah 1.1 Blah 1.1.1 Blah 1.1.1.1 Blah 1.1.1.2 Blah 1.1.1.3 Blah 2. Blah 2.1 Blah 2.1.1 Blah 2.1.1.1 Blah 2.1.1.2 Blah 2.1.1.3 Blah
1. Select level 4. 2. Clear the *Enter formatting for number* box. 3. In the *Include number from level* dropdown list, choose *Level 1* . 4. Type a dot. 5. In the *Include number from level* dropdown list, choose *Level 2* . 6. Type a dot. 7. In the *Include number from level* dropdown list, choose *Level 3* . 8. Type a dot. 9. In the *Number style for this level* dropdown list, choose ‘1, 2, 3’. 10. Link level 4 to Heading 4. 11. Set *Restart numbering after* to level 3.
You do a great job of breaking down a complex subject. And you helped me see how to "edit" the list settings (really wish MS had included a true edit mode for multilevel lists, but at least now I know how to start with an existing list, rather than totally from scratch). However, you might confuse some people by combining indented list styles with autonumbered headings. Numbered headings aren't normally indented like this (at least in the market where I work).
Thanks for your comments and insight Guy. Aside from unravelling the process of creating / amending / fixing multilevel numbering, the video is also an exploration of the important options. I totally accept your point. It's up to each individual if (or how) they indent their numbering. There are 2 settings and even if you leave 'Align at' as zero, as your numbers grow in length, it's useful to know about 'Indent at' too so you can indent text consistently for a given level. Hi Helen. Yes, for numbered items that's all controlled within the 'Define New MultiLevel List' dialog (at the bottom). First choose your level to display the current settings. The 'Aligned At' figure is the distance between the left margin and the number. The 'Text Indent At' figure is the distance between the left margin and the text. If you wish to align regular body text (i.e. unnumbered) then there are two ways to go. 1) Make sure the ruler is on (View tab then tick/check ruler). Drag the triangular markers on the ruler to your desired position. The top marker sets the first line indent. The bottom marker sets the indent for the second and subsequent lines. These days most people keep these the same. 2) For larger docs, it's best to create a style and apply the style whenever you need it. Here's a quick overview: (a) Format a paragraph the way you want it, including your indentation settings. (b) On the Home tab, on the bottom right of the Styles gallery, click the little icon that looks like a down arrow with a line above it, then choose 'Create a style'. (c) Name your style and click OK. Your new style will now be the first icon in the Styles gallery. Any time you wish to use it, type your text then click the style icon to apply all the settings.

Thanks. Best video I have seen on this topic as well as on Table of contents. A quick question - When I apply my chosen multilevel numbering, sometimes few of the third level letters (a, b, c) show up in bold and others in normal (non-bold). As an example, if there is point 2.2 and three sub-points (a, b, c) under it, letter "a" could be bold, and letters "b" and "c" in normal font. This leads to lack of consistency. I am not able to figure out what I might be doing wrongly. Thanks. Ram
Hi Ram. I'm glad you're finding the videos useful. To solve your problem, in the 'Define New Multilevel list' dialog, select the number level that has the issue, click the Font button and set the Font Style to Regular.

Now that I have defined my custom multilevel list for one SOP , how do I make it available to all the different SOPs that we already have? I have set it up in the SOP template, for future SOPs, but do I have to recreate the multi level list in each of the previously written SOPs?
Hi Upsani. You have 3 options, all of which requiring you to attach a unique style to each numbering level. 1. Use the Organiser to copy styles between the Normal template and individual documents. 2. Save a new StyleSet. 3. Write a simple macro to copy all the styles from a 'master styles' document into your current document. Option #1 See this video for an explanation: ua-cam.com/video/hpEU9zlmsTw/v-deo.html Option #2 1. Select the Design ribbon. 2. Click the launcher in the bottom-right corner of the StyleSet gallery. 3. Choose 'Save as new StyleSet'. 4. Name it and click Save. 5. Now in each SOP, go to the Design ribbon and switch to the new StyleSet you have just saved (it should be second in the list) Option #3 Read this short blog post for the step-by-step process on how to set up the macro (this is my preferred method officemastery.com/word-macro-copy-styles-between-docs Let me know how you go. Simply type the brackets around the letter. Just make sure that the letter has grey shading which indicates that it will adapt throughout the document.

I really like the explanation for styles and how to get the numbering level to display number format using level 1, level 2, etc.
One thing that was missing was how to edit the multilevel list after it is created. As far as I can determine, it is not possible to edit the list using the same menu system that was used to define it the first time.
In terms of editing the indentation positions, I would recommend
1) Turn Ruler function on using view menu under Show: Ruler (tick box)
2) The indentations can be adjusted using the icons located on the ruler. If the list is created using styles then an update in one heading will affect all the same style.
Note it is possible to edit these values using paragraph: left indentation, special-hanging and Tabs, I just find it is much easier to edit using the ruler symbols as you can see the change in real time.

Hi Great Big Breakfast. Thanks for your feedback. If you click the multilevel numbering icon then choose 'Define New Multilevel List' the existing settings are displayed and you can edit them however you want. No, it's not obvious!
Yes you can make changes directly on the ruler providing you understand what is happening with the styles.
When you modify a style, the 'Automatically Update' setting (at the bottom) is switched OFF by default. this means that if you place your cursor in, say, a Heading 1 paragraph and adjust the indent using the ruler markers, ONLY THAT PARAGRAPH will change.
If you switch ON the 'Automatically Update' option in the Style definition, then if you adjust the rule markers it will change EVERY INSTANCE where that style is applied. You have to be very careful.
My personal recommendation is to leave the option switched OFF. but if you are careful and understand what you are doing, switching it on is fine if it serves your purpose better.

Great tutorial, thank you! One question - when I apply a heading style to a level, the auto numbering functionality stops working for me (meaning if I hit the enter key, it doesn't auto number the next line). This is good if I want to write free text below the level like you demonstrate at the end of the video but not good if I want to continue the numbering for new items. Any advice? Thank you!
Hi. Yes, this can be done. If you're working with say Heading 1, modify the style and set the "Style for following paragraph" to Heading 1 instead of Normal.

I do a lot of test procedures so this is great. Test steps are then the lowest level. Sometimes these steps in a section are not at level 3 but at level 2. What is the easiest way to remove the heading format cause it just needs to be a test step not a heading? For example test 1.1.3 could be a step and not a heading. But 2.1, 2.2, 2.3 could be steps as well. How do you remove the H2 format from 2.1-2.3 but not from 1.1?
Hi vipero00. If you wish to retain the number structure but simply change the look of a heading (so it no longer looks like a heading), do the following:
1. On the Home tab, right-click the Heading 2 thumbnail in the Styles gallery and choose Modify.
2. Make your formatting changes and click OK.

I've had one class (that was not very successful, thanks to a disruptive student) in Styles; you just explained Multilevel and Styles in one go. You are a GODSEND from Style Heaven! THANK YOU!!!! I will refer to this video because right now I'm looking at a disaster of a document that has a mishmash of styles in it, mixing some Word styles with Google Doc emulation styles.

Well I'm having another problem after getting my mutli-level lists sorted but it might require some troubleshooting. I have a big white space after a paragraph when I select a certain style. The problem seems to be connected to the Style but maybe it's something I did/didn't do when setting up the lists. I've checked for page and section breaks. I searched for tutorials on "white spaces in word" but only came across very basic problems. Maybe you already have some posts on this? A troubleshooting tutorial on potential causes of white spaces might be good. I use word 2016. Many thanks
Hi James. Try this.
1) Right-click the style you are using, then choose 'Modify'.
2) In the bottom-left of the dialog box, click 'the 'Format' button, then choose 'Paragraph'
3) In the Paragraph dialog, check the setting for 'After paragraph'. I'm guessing that will be a big number. Reduce it.

Hi Connie. Thank you for your comment. As body text is generally not numbered, you can simply create and use regular styles in the Styles Gallery (on the Home ribbon).

Hi Roz. Thanks for your question. As my training videos are mostly Microsoft Office, I use a PC for recording and editing. Here's my stack. It's very simple:
- Camtasia 9.
- Rode Podcaster mic
- Audacity (for minor audio editing).
I mostly use Mac for everything else in my business. It's just that Microsoft and Apple don't play nicely, even with Parallels or Bootcamp running, so I keep my two worlds separate!

first off, a big thank you for this life saving video. i also watched some of your other videos and i can say that you saved a lot of my time.
but i'm facing a problem and i hope you could help. i need 5 levels of numbering but im stuck at level 4. i triple-checked: multilevel list -> define new ... -> chose level 4 form the list -> include level number from level 1 -> dash -> include level number from level 2 -> include level number from level 3 -> then chose my preferred style from number style for this level list (also assigned each level numbering to its corresponding heading number, because my ultimate goal is to make a table of content for a plain text of 61000 words).
i followed the exact same path for the first three levels and it worked out fine, but even with this setting I still get 1-1-1-1 at the forth level.
It sounds like you have set it up correctly.
So, does the numbering do this ... ?

You do a great job of breaking down a complex subject. And you helped me see how to "edit" the list settings (really wish MS had included a true edit mode for multilevel lists, but at least now I know how to start with an existing list, rather than totally from scratch). However, you might confuse some people by combining indented list styles with autonumbered headings. Numbered headings aren't normally indented like this (at least in the market where I work).
Thanks for your comments and insight Guy. Aside from unravelling the process of creating / amending / fixing multilevel numbering, the video is also an exploration of the important options. I totally accept your point. It's up to each individual if (or how) they indent their numbering. There are 2 settings and even if you leave 'Align at' as zero, as your numbers grow in length, it's useful to know about 'Indent at' too so you can indent text consistently for a given level.

Hi Helen. Yes, for numbered items that's all controlled within the 'Define New MultiLevel List' dialog (at the bottom). First choose your level to display the current settings. The 'Aligned At' figure is the distance between the left margin and the number. The 'Text Indent At' figure is the distance between the left margin and the text.
If you wish to align regular body text (i.e. unnumbered) then there are two ways to go.
1) Make sure the ruler is on (View tab then tick/check ruler). Drag the triangular markers on the ruler to your desired position. The top marker sets the first line indent. The bottom marker sets the indent for the second and subsequent lines. These days most people keep these the same.
2) For larger docs, it's best to create a style and apply the style whenever you need it. Here's a quick overview:
(a) Format a paragraph the way you want it, including your indentation settings.
(b) On the Home tab, on the bottom right of the Styles gallery, click the little icon that looks like a down arrow with a line above it, then choose 'Create a style'.
(c) Name your style and click OK. Your new style will now be the first icon in the Styles gallery. Any time you wish to use it, type your text then click the style icon to apply all the settings.

A quick question - When I apply my chosen multilevel numbering, sometimes few of the third level letters (a, b, c) show up in bold and others in normal (non-bold). As an example, if there is point 2.2 and three sub-points (a, b, c) under it, letter "a" could be bold, and letters "b" and "c" in normal font. This leads to lack of consistency. I am not able to figure out what I might be doing wrongly. Thanks. Ram
Hi Ram. I'm glad you're finding the videos useful. To solve your problem, in the 'Define New Multilevel list' dialog, select the number level that has the issue, click the Font button and set the Font Style to Regular.

Thanks for this video. I'm standardizing my company's SOPs. Now that I have defined my custom multilevel list for one SOP , how do I make it available to all the different SOPs that we already have? I have set it up in the SOP template, for future SOPs, but do I have to recreate the multi level list in each of the previously written SOPs?
Hi Upsani. You have 3 options, all of which requiring you to attach a unique style to each numbering level.
1. Use the Organiser to copy styles between the Normal template and individual documents.
2. Save a new StyleSet.
3. Write a simple macro to copy all the styles from a 'master styles' document into your current document.
Option #1

1. Select the Design ribbon.
2. Click the launcher in the bottom-right corner of the StyleSet gallery.
3. Choose 'Save as new StyleSet'.
4. Name it and click Save.

Simply type the brackets around the letter. Just make sure that the letter has grey shading which indicates that it will adapt throughout the document.
