Using Outlook Rules to sort and handle incoming email

  • Chances are a lot of the emails that come into your inbox are routine and predictable enough that they get handled pretty much the same way every time: you move them to a subfolder, you review the email, file the attachments in the document management system, etc.
    If you could automate that filtering process - if Outlook could “set aside” these items for you automatically (without the risk of losing track of something important), would you feel better about the state of your Inbox?
    The answer lies in Outlook’s Rules (a.k.a. Rules & Alerts) feature. Here, I show you how to set up a simple rule to flag an email based on the sender and some words in the body of the email.

    At the suggestion of my computer tech, I started making folders and having email from certain people, subjects, etc. moving automatically into the folders. But the problem was that I then had to look at a lot of folders on the left side of Outlook to determine if I had a new email and would miss emails.
    Is there a way to ask Outlook to automatically move an email AFTER it is read in the In Box, but not when it arrives in the In Box. I suppose one could run a rule to clean up the In Box, then delete the rule afterwards, but that doesn't seem like the best solution.

      Short answer: No.
      Longer answer: Not with Rules as described here. Rules fire when a message enters the Inbox or leaves the Outbox. As I see it, you have two options:
      (a) Make your Rules but uncheck the ones you DON'T want to activate when a message enters your Inbox, then go back into Manage Rules & Alerts and use Run Rules Now to run those rules manually on demand.
