    What is your advice when the nature of your job requires you to respond to all urgent, non-important tasks? I work in a clinic where my role is direct patient care (urgent and important), but it is also required for us to answer phone calls almost 100% of the time, respond to emails and complete all tasks given to us by supervisors (tasks that come "after patient care" ...but patient care never stops....)These tasks can't be rescheduled or delegated. do they become "urgent and important" because of the consequences of not completing them per the supervisors?

      Thanks for your question! Yes exactly! If phone calls and emails are a part of your job, then they also become "urgent and important". However, since patient care is your main priority at all times, you can try to spread out the admin work throughout the day and do them multiple times for a shorter time whenever the amount of patient care is a little less.
      When there is a never-ending amount of things to do (and they're all urgent and important), energy management can help a lot. By managing your energy (mental/emotional/physical energy) and making sure that you are taking care of your own well being, you become more efficient when completing your tasks. With low energy, you become more reactive to low priority tasks. Taking breaks also helps with productivity and mental concentration. So remember to take even 3 minutes to collect your thoughts, drink some water, reorganize and breathe in between the tasks.
      To avoid feeling overwhelmed by the workload, try to focus on the task in front of you and be 100% in the present moment. Here is another video regarding multitasking that you can watch: ua-cam.com/video/KP51Xdczi6M/v-deo.html

      Hello and thank you for your question. If you're a full-time student, then the task "study" would generally be categorized as "important & urgent".
      Since reading your textbook is an important part of the learning process, what will determine whether it's urgent or not urgent, is how much time you have left to learn the subject. If you're studying multiple courses and have exam #1 in two weeks and exam #2 in two months, then #1 would be "important & urgent" and #2 would be "important & not urgent". That would make exam #1 your top priority to study for right now, but don't forget to also plan in a couple of study sessions for exam #2 throughout your week (so you don't fall behind, procrastinate for weeks and run out of time to prepare). So even though they're both important, make sure to evaluate how much time you actually have to study in order to be well prepared and properly learn it. Hope you found this answer helpful!

      I'm taking Law at university of DISTANCE education so it means I study most at home but I still need to apply my assignments for the first and second semesters to the university at respective deadlines, which falls on every 4 months, finally, around October, I need to go to the university for answering the end of year examination.
      I'm clear enough on 3rd and 4th boxes but I find it hard to distinguish 1st & 2nd boxes.
      Q1: Which task should we do first? Important & urgent or Important & not urgent?
      Q2: Chore is an "important" task and it has an "IMMEDIATE" consequences so I consider them "urgent".
      Study is an "important" task and it has an "GRADUAL" consequences so I consider them "not urgent".
      Which task should we prioritize first on a to-do list during a day? Which one should we do first on a to-do list during a day? Chores or study?
      Q3: Do you distinguish between "urgent" and "not urgent" tasks by the distance of their deadlines?
      a. If I don't take a shower today, then I'd probably be stink tomorrow.=close deadline= important & urgent?
      b. If I don't study at my available times during a day, during a week, during a month until I reach the deadlines (tests & exams), I couldn't be able to do well at an exam= distant deadline = Important & not urgent task?

      A1) Do the important and urgent (1st box) tasks first. Try to schedule in the important & not urgent (2nd box) tasks as soon as possible.
      Preparing for your exam is the main goal and since it has a distant deadline, you can divide it into sub-goals (monthly and weekly goals) that can be translated into daily tasks with more urgent deadlines. By breaking your main goal into clear daily tasks with deadlines, you add the urgency factor that will ensure its completion. In that way, you're turning your study goals into a 1st box task that is important and urgent, even though the deadline is self-imposed.
      A2) It depends on the number of chores you have and how much time your study workload will require.
      - Since studying for an exam is the main goal with a gradual consequence, you can turn it into a smaller daily study goal with a shorter deadline, making it an important & urgent task.
      - Ask yourself if your level of concentration is the best during the morning, afternoon or evening? Depending on your answer, plan your study sessions around those mental energy peak hours and chores during your study breaks. Try to avoid wasting your high mental energy hours on chores, use them to study instead.
      - Chores usually require less mental energy, so do them when you need a break from studying. For example - break #1 do chore A, break #2 do chore B (write a chore checklist). If you have a lot of chores that are very urgent, here is a brief example of how your daily schedule can look like:
      7.30 am - 8.00 = chores
      8.00 - 10.00 = study session #1
      10.00 - 10.30 = chores/study break
      10.30 - 12.30 = study session #2
      12.30 - 13.30 = lunch break/chores
      13.30 - 15.30 = study session #3
      15.30 - 16.00 = chores/study break
      16.00 - xx.xx = study, chores or other activities.
      Dividing your time into study blocks is also great. Adjust the length of your study sessions to what works best for you. For example - 2 h studying & 30 min chores, or 45 min studying & 15 min chores, or the Pomodoro technique of 25 min studying & 5 min break and then a longer break after a while.
      Another idea is to set aside one full day a week as the main day for multiple chores to save time throughout your busy weekdays. For example on Sundays - meal prep, clean home, do laundry, run errands, shop groceries etc. Throughout the week you can complete minor chores as you go during your non-studying hours so that the chores don't add up to a mountain.
      A3)
      - Urgency can be determined by the distance of the deadline. The closer the deadline, the more urgent it is.
      - Importance can be determined by the level of impact the task will have on your life overall from a long-term perspective (1-3 months, 6-12 months or 1-5 years).
      a. Yes, that one is important & urgent :)
      b. Yes and this is why it's important to break the main goal into smaller ones with closer deadlines, little by little turning it into a 1st box task.

They were long because they were filled with useful information and facts! I'll follow what you instructed in my sophomore year when the university is reopen again. In my country, I'm currently having a two-month break from university since I've finished end of year examination at university on November, so, I'm awaiting the results.
