I guess one of the issues with the current setup is I can scan my friend's QR code, and it will work 😅 It seems that we need some authentication to make sure that no one can cheat. Another idea is making a dynamically changing QR code based on the time the instructor opens the sheet
Yeah you can make a dynamically changing QR code each day. Just add a date field to your Google form and add that to the Google Sheet with each qr code. Prefill as usual and you're good to go

However, the QR codes would only take me to the blank Google Form - not the pre-filled link. I tried it with an iPhone and an Android. I also tried it with a form made with my school's Google account and then my private Google account. Same issue in all of the ways I tried. Any suggestions?

Hi Jenetau, I just tested it out. I managed to get mine to 5000. It took a while to paste in all the data, but it got there eventually. I did it in three parts: The first 3000 took about 30 seconds to load. The next 1000 took about 15 seconds to load. Same for the last 1000.
There is the Table view in Looker Studio that doesn't aggregate (like sum or count would in a pivot table). This will be able to give you their times. It might be easier just to do this in Google Sheets, though. It won't look as pretty but it'll work faster.

I run an after school program and I want the kids to scan their code to check in, but I need it to show the day and time they scanned it. Great info Hash. I have watched all the videos on using QR codes for attendance. I do have a question, though. Is there a way to easily see which students DO NOT scan the QR code showing their attendance? Looker Studio does a great job of showing who checks in each day but I can't see who does not. That would be helpful in a large class so I know who I may need to reach out to and make sure everything is okay.

You could using the snipping tool to create a jpg out of it. You can scan the qr code offline, but it won't submit anything since Google Forms requires internet to submit.

Thanks for your videos! I was able to recreate this last year, but for some reason I am having trouble this time around. I need to create a unique QR code for each class date rather than each student--we want to just show a QR at the beginning of class and have them scan, enter their name and hit submit. I got a pre-filled link that marks down the class date and when I click on that url from the google sheet, it will take me to a pre-filled form. However, when I use the code to create a QR code, the QR code will take me to the form without any prefilled date (so students would have to select). I've tried this with both 'viewform' and 'formResponses', but with no luck. Any help with getting the QR to link to a pre-filled sheet or generating unique QR codes without student names would be super appreciated!

Absolutely. First, make sure you are using BinaryEye. It is open source and it's the only one I have reliably found that does instant scanning. Once open, click the three dots in the top-right. Click preferences Go right down the bottom. The eighth option from the bottom is "Open Immediately". Turn that on. Scan away!
I'm finding it difficult to know how it's works afterwards. Are the students suppose to scan their individual QR code to register them? If yes, do you leave the PC on for them to scanned each time or how?
There's different options. You could create a student ID for each person and give it to them. Print off all the QR codes, have the students stick it on the inside of their workbooks, then when they come into school they get scanned as they come in. Or you could have the full list on your computer and scan them as they come in (but if you're doing it this way, it'd just be easier to have tickboxes!)

Hi Jason. There's been a change to the way camera apps work. It's just happened in the last week or so. Download the BinaryEye app and use that to scan. Once you've got BinaryEye, click the three dots in the top right corner, then hit preferences. Go right down the bottom. The option that's like 8th from the bottom is "Open immediately". Turn that on, then scan away.

Not with this method, sorry. You could turn on the option to require email sign-ins. However if you do this, the person scanning will need to click "Submit" and it won't automatically go to the submit page.

Your videos are outstanding and so helpful. Is it possible to generate individual QR codes for each teacher that go to different PD sessions offered during the day? Everything I have watched from your videos works but I can't figure out how one individual assigned QR code can be linked to multiple PD sessions.
Thanks for the kind words. Unfortunately there's no automated way to do that using the method from this video. If you want a less automated way using this method, there's two options: 1. Create a different Google Form for each PD session, then send out the QR codes for each one. That'll be a total pain in the butt. 2. Put a field in the Form for attendees to select their PD session they're attending. This could be problematic because they'd have access to the list of attendees. Fortunately I've got a different method. Just create your own all using App Sheet for one PD session, then duplicate it for each of the other sessions. I followed all the directions and everything worked great, but not the scanning of the QR code... if I click on the created URL in the google spreadsheet, it does exactly what expected, the submission of the response in the form, but when scanning, it just opens the form as if I had not changed the viewform to formResponse... it opens the browser (chrome) and the form to submit... No, not using a free version. Geolocation requires dynamic QRs, whereas Google's platform only accommodates static QRs. You'd have to pay for a different platform/service if you want geolocation. Hi Ali, great video and I have already implemented it. However, I keep getting entries even during nights or from people who were not actually attending the class. It looks like someone else is simply using the URL to submit responses but I don't know why and what they can get out of it. Is there a way to "secure" the scanning to only those people authorized to do so? I know I can collect the emails but I don't want to add this extra "manual" steps. Thanks
Hi Damiano, Unfortunately there is no way to add super security to this system. I am working on other projects that will improve on this one, so hopefully that will solve the issues.
I noticed that when I set my form to collect email automatically , it recorded the scan as coming from my email, no matter whose code I scanned...could be a great way if students have to be signed into their school google account or network when scanning. just having someone else's qr code will not help. you'd have to have their phone or sign in information... @@HashAliNZ

Hi Fernando, It's possible but you'd need a new QR code for each different option. Let's say you have 5 people, three questions each. That's like 125 different QR codes. Not very manageable

I have a qr code scanner hooked to my computer which is what I will use not iphone ... that said, a usb scanner will dump data like a keyboard into any app, like text, excel etc. The question is, is there any software that you can recommend that is simple and not overloaded that will allow me to dump simple data and organize it with name, date and time ... as I find nothing out there and may have to create simple page in excel on my own ... if you keep excel open or any text app ... the scanner scans the data into it. I have setup this up and have it working. A question though: How would/could it be setup so an iPad automatically scans the QR code when a kid holds their badge under it, processes it, and returns to scanning for the next code?
Hey Nick, I wish I had a good answer for you. That's a feature that QR scanners avoid because someone could be malicious in their scans. If you use BinaryEye you can auto-scan, but you'd need to push the Back button to get back to the camera.

Hi Julie, I'm guessing you have multiple questions and those are set to "Required". So when you scan the prefilled link to go straight to fromResponse in the URL it's saying that you can't submit right away because there's still some required questions to answer. All you need to do is either get rid of additional required questions, or add those required questions to your clickable link/qr code

Hi Fatima, There was a recent change with stock camera apps that means the scans don't go directly to the submission page. Try downloading the BinaryEye app and scanning from that. Let me know if that works.

Hi Kelvin. I don't have any experience with bar code scanners, so you'll need to Google your own model to see if yours can identify QRs. You can definitely make QR codes without Google Sheets. I use Sheets because it's insanely fast to populate a huge list of people. You can add automatic 30mins break time, but it's better to correctly record their time in and time out. Some people work through their break times and it wouldn't be fair to automatically deduct the 30 minutes without checking first. Another option you might want to look into is Jibble 2. I'm not affiliated with them, I just think they have a great system (and free for the first tier!): www.jibble.io/

Security can be an issue with this method. Unless you're willing to pay big $$$ for an app, you can't restrict using this method. If you've got Power Apps as part of Microsoft Suite, you can use that

Hey No One, what id suggest is a qr code for each building that directs to a Google form with just a text field. Teacher inputs their unique code and submits it. Have all Forms attached to the same Google Sheet for easy reporting. This method prevents people from signing in other people and keeps students guessing as to what the teachers unique codes are
No, the date is not taken into account. The date and time is automatically recorded by the Google Form. I have a new method coming out soon, so stay tuned!

This was very helpful and I will use it! Thank you! My only question is I got everything to work but scanning the qr code. I was able to generate qr codes but using binary eye didn't say your response has been recorded. I tried my camera and it'll send me straight to the Google form and I have to click on their names to record it. Binary only gives me the option to copy qr code. I believe I'm missing a setting.

Thanks for the video, however I was wondering if we can do the method backwards... Imaging that we send the QR codes to the students and make the teacher scan the code at the time he access class. Question is, if there is a way to automatic send the QR codes to the students once we have the google sheets ready with the QR code. Thanks!
Absolutely - that's the way most people do it, especially those that go to daycare or kindergarten. Each person gets a student ID card or fob which has the QR code printed on it. As they come in, the teacher scans it with their own phone. Just have the Google Form collect email addresses so you know the scans are coming from the teacher's account. Unfortunately when you do turn on "Collect email addresses", you lose the ability to auto-scan, so the teacher will have to click the "Submit" button before it submits.
Can this be done with Excel 365? The problem I run into is printing the QR's with mail merge. My organization does not permit the use of the Google Docs mail merge extension.
sir can i ask, can we use 2 columns instead of just 1 column for name and add another 1 column for category, so that after getting the response it will also appear with 2 columns when being reflected to excel, for example: we get the first column for time, second column for name, and the third column will be the category for example. thank you so much

The already printed codes work swimmingly, but they are not showing in my setup sheet.....I was able to backup to a previous version last week to restore, but no longer. When you click the Link To Spreadsheet button, you have the option to link to a single spreadsheet instead of multiple. Or you could use the IMPORTRANGE function to collate all the collected data.
Hi both of you! You could have just the one QR code, then turn on the "Record email" option in the Google Form, and instead of having the radio buttons with all the names, just have a name or ID field for the individuals to put in their own name/ID Number. The downside to this is that it won't automatically go straight to the "Form Response" screen and will only go to the "View Form" screen they will need to click on the Submit button. Hi Ludwig, There was a recent change with stock camera apps that means the scans don't go directly to the submission page. Try downloading the BinaryEye app and scanning from that. Let me know if that works.

Yeah you can make a dynamically changing QR code each day. Just add a date field to your Google form and add that to the Google Sheet with each qr code. Prefill as usual and you're good to go

I am working on a Google Form that I only want the name to be pre-filled. I was successful with making the hyperlinks and using your formulas. However, the QR codes would only take me to the blank Google Form - not the pre-filled link. I tried it with an iPhone and an Android. I also tried it with a form made with my school's Google account and then my private Google account. Same issue in all of the ways I tried.
Any suggestions?

The way we've done it in the past is to just scan the same qr code and filter out the times. It has some issues but it's super easy

Hi Jenetau, I just tested it out. I managed to get mine to 5000. It took a while to paste in all the data, but it got there eventually. I did it in three parts: The first 3000 took about 30 seconds to load. The next 1000 took about 15 seconds to load. Same for the last 1000.

There is the Table view in Looker Studio that doesn't aggregate (like sum or count would in a pivot table). This will be able to give you their times. It might be easier just to do this in Google Sheets, though. It won't look as pretty but it'll work faster.

Great info Hash. I have watched all the videos on using QR codes for attendance. I do have a question, though. Is there a way to easily see which students DO NOT scan the QR code showing their attendance? Looker Studio does a great job of showing who checks in each day but I can't see who does not. That would be helpful in a large class so I know who I may need to reach out to and make sure everything is okay.

You can scan the qr code offline, but it won't submit anything since Google Forms requires internet to submit.

Thanks for your videos! I was able to recreate this last year, but for some reason I am having trouble this time around. I need to create a unique QR code for each class date rather than each student--we want to just show a QR at the beginning of class and have them scan, enter their name and hit submit. I got a pre-filled link that marks down the class date and when I click on that url from the google sheet, it will take me to a pre-filled form. However, when I use the code to create a QR code, the QR code will take me to the form without any prefilled date (so students would have to select). I've tried this with both 'viewform' and 'formResponses', but with no luck. Any help with getting the QR to link to a pre-filled sheet or generating unique QR codes without student names would be super appreciated!

Absolutely. First, make sure you are using BinaryEye. It is open source and it's the only one I have reliably found that does instant scanning.
Once open, click the three dots in the top-right.
Click preferences
Go right down the bottom. The eighth option from the bottom is "Open Immediately". Turn that on.

I'm finding it difficult to know how it's works afterwards. Are the students suppose to scan their individual QR code to register them? If yes, do you leave the PC on for them to scanned each time or how?
There's different options. You could create a student ID for each person and give it to them. Print off all the QR codes, have the students stick it on the inside of their workbooks, then when they come into school they get scanned as they come in.
Or you could have the full list on your computer and scan them as they come in (but if you're doing it this way, it'd just be easier to have tickboxes!)

Hi Jason. There's been a change to the way camera apps work. It's just happened in the last week or so. Download the BinaryEye app and use that to scan. Once you've got BinaryEye, click the three dots in the top right corner, then hit preferences. Go right down the bottom. The option that's like 8th from the bottom is "Open immediately". Turn that on, then scan away.

Not with this method, sorry. You could turn on the option to require email sign-ins. However if you do this, the person scanning will need to click "Submit" and it won't automatically go to the submit page.

Everything I have watched from your videos works but I can't figure out how one individual assigned QR code can be linked to multiple PD sessions.

Unfortunately there's no automated way to do that using the method from this video. If you want a less automated way using this method, there's two options:
1. Create a different Google Form for each PD session, then send out the QR codes for each one. That'll be a total pain in the butt.
2. Put a field in the Form for attendees to select their PD session they're attending. This could be problematic because they'd have access to the list of attendees.
Fortunately I've got a different method. Just create your own all using App Sheet for one PD session, then duplicate it for each of the other sessions. The teachers can sign in using the same QR code

Hi. This is interesting and useful. I have a question. Can I use the same QR codes to record attendance on different days for the same students? For example, students attending a club meeting on different dates. Can I scan the codes for different dates and have all the dates in 1 sheet?
Yes you can do that. It automatically records the date and time it's scanned. You'll just need to figure out what times relates to which club.

Yes. Just make sure everyone that's attending is in your Google Form. However, this method doesn't use Excel it uses Google Sheets.

I followed all the directions and everything worked great, but not the scanning of the QR code... if I click on the created URL in the google spreadsheet, it does exactly what expected, the submission of the response in the form, but when scanning, it just opens the form as if I had not changed the viewform to formResponse... it opens the browser (chrome) and the form to submit... No, not using a free version. Geolocation requires dynamic QRs, whereas Google's platform only accommodates static QRs. You'd have to pay for a different platform/service if you want geolocation. Hi Ali, great video and I have already implemented it. However, I keep getting entries even during nights or from people who were not actually attending the class. It looks like someone else is simply using the URL to submit responses but I don't know why and what they can get out of it. Is there a way to "secure" the scanning to only those people authorized to do so? I know I can collect the emails but I don't want to add this extra "manual" steps. Thanks

Unfortunately there is no way to add super security to this system. I am working on other projects that will improve on this one, so hopefully that will solve the issues.
I noticed that when I set my form to collect email automatically , it recorded the scan as coming from my email, no matter whose code I scanned...could be a great way if students have to be signed into their school google account or network when scanning. just having someone else's qr code will not help. you'd have to have their phone or sign in information... @@HashAliNZ

No, not with Excel. You can with Microsoft Forms + Sharepoint + PowerApps but to implement it would take understanding of Azure.

Hi Fernando, It's possible but you'd need a new QR code for each different option. Let's say you have 5 people, three questions each. That's like 125 different QR codes. Not very manageable

I have a qr code scanner hooked to my computer which is what I will use not iphone ... that said, a usb scanner will dump data like a keyboard into any app, like text, excel etc. The question is, is there any software that you can recommend that is simple and not overloaded that will allow me to dump simple data and organize it with name, date and time ... as I find nothing out there and may have to create simple page in excel on my own ... if you keep excel open or any text app ... the scanner scans the data into it. This is amazing. I am so excited doing the arrays haha. I am noticing when I try to compile the QR codes, it is opening as text and not in my browser to complete. Any suggestions? I am scanning with an android if that matters.

I recommend using the BinaryEye scanner. It gives the option to open the QR code without having to click the URL link that pops up. Just head to the preferences and it's about 4th-ish from the bottom.

hi, a very helpful video, however, when i pasted the formula to generate the qr code, the link from qr code did not go to the page "your response has been recorded" instead it went to the list of attendance where i have to manually tick n the names. Could you kind enough to check why?

I have setup this up and have it working. A question though: How would/could it be setup so an iPad automatically scans the QR code when a kid holds their badge under it, processes it, and returns to scanning for the next code?
Hey Nick, I wish I had a good answer for you. That's a feature that QR scanners avoid because someone could be malicious in their scans. If you use BinaryEye you can auto-scan, but you'd need to push the Back button to get back to the camera.

Hi Julie, I'm guessing you have multiple questions and those are set to "Required". So when you scan the prefilled link to go straight to fromResponse in the URL it's saying that you can't submit right away because there's still some required questions to answer.
All you need to do is either get rid of additional required questions, or add those required questions to your clickable link/qr code

There was a recent change with stock camera apps that means the scans don't go directly to the submission page. Try downloading the BinaryEye app and scanning from that. Let me know if that works.

Hi Kelvin. I don't have any experience with bar code scanners, so you'll need to Google your own model to see if yours can identify QRs.
You can definitely make QR codes without Google Sheets. I use Sheets because it's insanely fast to populate a huge list of people.
You can add automatic 30mins break time, but it's better to correctly record their time in and time out. Some people work through their break times and it wouldn't be fair to automatically deduct the 30 minutes without checking first.
Another option you might want to look into is Jibble 2. I'm not affiliated with them, I just think they have a great system (and free for the first tier!): www.jibble.io/

Security can be an issue with this method. Unless you're willing to pay big $$$ for an app, you can't restrict using this method. If you've got Power Apps as part of Microsoft Suite, you can use that

Hey No One, what id suggest is a qr code for each building that directs to a Google form with just a text field. Teacher inputs their unique code and submits it. Have all Forms attached to the same Google Sheet for easy reporting. This method prevents people from signing in other people and keeps students guessing as to what the teachers unique codes are

No, the date is not taken into account. The date and time is automatically recorded by the Google Form. I have a new method coming out soon, so stay tuned!

This was very helpful and I will use it! Thank you! My only question is I got everything to work but scanning the qr code. I was able to generate qr codes but using binary eye didn't say your response has been recorded. I tried my camera and it'll send me straight to the Google form and I have to click on their names to record it. Binary only gives me the option to copy qr code. I believe I'm missing a setting.

In BinaryEye, click the three dots in the top-right. Click Preferences.
Scroll right down the bottom. The 8th from the bottom is "Open immediately". Make sure this one is activated.
Then you're good to go

Not at the moment. However there is a way to do it with MS PowerApps. It's actually a good method, but I unlisted it from my channel because I'm not great at answer questions about PowerApps. There are tutorials around if you search for PowerApps Attendance System

Absolutely - that's the way most people do it, especially those that go to daycare or kindergarten. Each person gets a student ID card or fob which has the QR code printed on it. As they come in, the teacher scans it with their own phone. Just have the Google Form collect email addresses so you know the scans are coming from the teacher's account. Unfortunately when you do turn on "Collect email addresses", you lose the ability to auto-scan, so the teacher will have to click the "Submit" button before it submits.

Can this be done with Excel 365? The problem I run into is printing the QR's with mail merge. My organization does not permit the use of the Google Docs mail merge extension.

Hash Ali! What if the data that you need is more than one data in Gform? How do you set the gform link for it?
When you click the Link To Spreadsheet button, you have the option to link to a single spreadsheet instead of multiple. Or you could use the IMPORTRANGE function to collate all the collected data.

Hi both of you! You could have just the one QR code, then turn on the "Record email" option in the Google Form, and instead of having the radio buttons with all the names, just have a name or ID field for the individuals to put in their own name/ID Number. The downside to this is that it won't automatically go straight to the "Form Response" screen and will only go to the "View Form" screen they will need to click on the Submit button. I have a few other Attendance videos coming out over the next four weeks, so stay tuned and I'll give you more options for taking attendance!

Absolutely. You'll need a full list of all students, then compare who is on the full list with who isn't on the scanned list.
