Awesome work John!!... I really don't think that the team at Trello could have done a better job at explaining the simple power of this tool. You have helped me very much in not only understanding how Trello works but also made it easy for me to actually dive in and use it properly - thanks heaps, cheers (hope you make that $1M!)
+George Cocciglia Thanks George... I hope you are on track to capture all you are seeking out of life and if this helped, all the better. Much success!
It's immediate and very easy to use. You can use it for many different things, from sharing and monitoring tasks to taking notes. You cannot order the pics you upload in an immediate way. I tried ZenTao which helps me get things done.I love its ease of use.
Very, very useful John. I've tried in the past to use Trello, but the lack of a calendar turned me down at that time. Now I know how to fix it (using a second free software) and, besides, I could understand the whole reach of this powerful tool (much stronger than I first thought). Finally, I appreciated a lot the way you organized your desk (should rather say your day, or life...), blending goals with tasks, and I will copy that, for mine (life) is so messy. Thank you very much for taking time in producing and sharing this. Hugs from São Paulo.
+Elcio Thenorio You bet. Life IS messy, right? Trello is deceptively powerful. It is one of the best SCRUM tools... I'm really glad you found this helpful...
Thank you for this video series! I am new to Trello but also new in a project management role. I wanted to maximize Trello immediately and your tutorials have made all the difference!
+Alexis McNeill So glad. Remember that Trello follows the SCRUM method of project management. See www.scrumalliance.org/why-scrum to learn more. "Traditional" project management is what is known as "Waterfall" management. For folks who are used to Waterfall style project management SCRUM can feel disorganized. +Guilherme Sproesser Ferreira You're welcome. Trello is really a great tool to handle basic to mid-level project management and PERFECT if you are a solopreneur.
I want to update what I said. We're finding Trello, even at the FREE level, is PERFECT for handling team-wide complex projects. We're having a blast with what we can accomplish.
+Robbie N. I'm so glad it was helpful. There are so many videos out there so I tried to make it cover an A to Z conceptual understanding with real-world application.
John, thank you for the very informative series. Very well put together. I would recommend it to anyone wanting a start to finish conceptual understanding of Trello.
You are most welcome. I'm working on a new series that will be on a different channel. This will introduce integrating Trello with CRM via Zapier for even greater project management control.
Thank you Jeralo. I've taken a little bit of flack for some slight repetition... but most folks learn through some repetition and since different people may come across the video series out of order, I felt a little introduction was worthwhile. I'm heartened to hear you got something of value out of the series.
Hi! Definitely wasn't trying to criticize you. I was just trying to help out other viewers who have a nasty habit of hurrying through things like I do. It was a great video.
No worries. I'm not offended. What would it be like if all videos started with something like, "Warning, the first 2:30 minutes of this video contain a refresher. If you are ready to move on, skip ahead to 2:30 for new material..." Hmmm
NOTE: Trello is still free but they've raised their business-class service pricing. Business Class is $8.33 per user per month. The price increase supports a number of integrations designed to make Trello instantly more powerful without the need to leverage Zapier. For team management FREE works but Business Class is more capable. IMPORTANT: Microsoft has officially killed Sunrise. (So sad...) Trello has incorporated some limited calendar capabilities via PowerUps that are helpful...
Thank you so much for these videos! I've been using Trello for about a year, but this has given me some ideas about how to use it more efficiently. I would love to hear your thoughts about when something merits creating a new board - do you create new boards for each client? For each project? Are there 2 or 3 simple criteria that you use to decide when you create a new one? Thanks so much!
Great question. We create 1 board for each client. Cards can then be specifically related to that client. And if you don't want to use Trello for client communication, you could always integrate with Slack to help with that... especially since Slack + Trello play nicely together.
Thanks for taking the time to produce the series. I have been using Trello for both my work (Business Analyst) and my personal (Certified Petrolhead and Car forum junkie) for a while now and it was good to validate some of what i have taught myself and also learn a few things. Was particularly interested in Gantt chart but.... How can you have start and end times when Trello only has a due date on a task (card) ?
+Colin Hingley Hi Colin, the folks over at gantt-chart.com help take care of that. Once you connect your Trello account you'll see the following instructions: To set a start date for your card you can add: 'start: 12/25/2014 01:00PM' to it's description (example). So this setting consists of three parts. Part one is the text fragment 'start:' then part two is the date '12/25/2014' (IMPORTANT:it's month/day/year!) and part three (which is optional) is the time '01:00PM'. If your card has a start or due date and the description of the card contains for example: 'duration:4d' or 'duration:2.5h' we will show a colored bar with a duration of 4 days or 2.5 hours (example).
At 2:30 in, you say they don't have a calendar for everything, and then you go on to discuss the Calendar power-up, which allows you to subscribe to a calendar for that particular board. This is somewhat incorrect. If you hover your mouse over a card and press the space bar, you'll assign that card to yourself. You can then click on your name in the upper-right corner, then click Profile from the menu, then click on the Cards tab, where you will find all your assigned cards in one handy calendar (make sure you've got sorting by due date enabled). These cards can be from multiple boards.
Some good news. There seems to be a replacement for Sunrise Calendar out there now called Kin. Check it out at www.kin.today Kin comes with a Trello (among others) integration just like Sunrise had. It is not free to use the service at the above URL beyond a free first month, but you do have 30 days to try it out. Interestingly Kin is released as open source, so that opens up many possibilities like running your own server if technically inclined.
We like kin.today and are hopeful the project takes off. However it is missing Sunrise's scheduling abilities. I'm not sure it is worth paying for in its current state but as a beta project it is headed in the right direction.
Noted this video refers to sunrise calendar - which is gone. One source for alternatives is: blog.trello.com/5-calendar-apps-replace-sunrise (FYI, I have no personal interest or income from Trello - just came across it so sharing).
This is specific to www.gantt-chart.com - "To set a start date for your card you can add: start: 01/18/2017 01:00PM to it's description. So this setting consists of three parts. Part one is the text fragment start: then part two is the date 01/18/2017 (IMPORTANT:it's month/day/year!) and part three (which is optional) is the time 01:00PM."
In case someone ends up here, there is one gantt chart system I have not found listed in the comment. Elegantt chart for Trello elegantt.com/ . I used to use it then it went premium and my usage was not enough to spend even few bucks. But it seems it is now back to free plan (and paid plan). Less features obviously with free plan but enough I guess.
Dear John. Based on your video I decided to download Sunrise Calendar to use with Trello. I found out that Microsoft has bought Sunrise, and integrated it into their Outlook for iOS (and recently removed Sunrise from the App Store). I downloaded Outlook and logged-in, only to find out that the new Outlook does not yet support Trello or most of the third-party integration that Sunrise did. Could you: A) verify that this is true B) include that someone in your video/notes so that others know this as well Thanks
Thanks for the update Steven! Sunrise was a unique calendar app and I'm not sure the features being integrated into Outlook will really do the same thing. Too bad really. To date, I've not found another viable calendar app that did everything Sunrise did with the same level of effectiveness. Hopefully Trello's in-house calendar development will help bridge the gap...
Hi, nice video; thanks for sharing! Question: If you are having conversations inside of cards with other team members on multiple boards how do you know when someone has responded and the ball is again in your court? Is there a "view" where you can see all the cards that need replying to without drilling down into each board? Thanks!
+Wes Mann Thanks for the the question! Trello should notify you when someone replies to you. You can change how often you hear from Trello. Click on your name in the upper-right corner then click on Settings. You'll see a "notifications" section where you can change how Trello behaves. You could set it to "instantly" in order to receive response notifications right away. Also, remember that trello has search shorthand. In the search box as you are typing you'll see this message: "Refine your search with operators like @member, #label, is:archived, and has:attachments. Learn more…" If you click on learn more you'll see a bunch of handy options. For example, edited:day brings back all cards edited within the last 24 hours...
That was a nice compliment. Practice speaking aloud. For example, read books out loud and record what you say. Then listen back. Listen for areas you do well in. Draw confidence from this. Then listen for areas you can improve. Work on those areas but be gentle on yourself. KNOW that if you practice you will get better. You'll find over time you can improve your speaking with this simple trick.
Exactly. The only issue is that each board has its own calendar. Trello has yet to introduce a "unified" calendar view or allow synchronizing that "unified" view with other calendars.
(Of course, you need to set due dates on your cards for this to work)
Thanks for sharing! Great tip. Please understand that when this video series was first conceived there was a specific and unique value offered by the Sunrise calendar that displayed entries in a true Calendar as well as assisting with calendar synchronization. The view you describe is valuable but is still not the same as having Trello Cards displayed in a true calendar by due date. As a reminder to others who might read this comment, one can also search n the search box at the top of Trello for due items. These include: due:overdue, due:day, due:week, due:month
You wrote: "The view you describe is valuable but is still not the same as having Trello Cards displayed in a true calendar by due date". I originally wrote: "... you will find all your assigned cards in one handy calendar". I'm struggling to understand what the difference is...?
Hi there, so as we all know that Sunrise Calendar has been acquired by Microsoft and will be removing their standard app soon. Thoughts on the alternative after 31st August?
Several. Trello's on "power up" calendar feature may be helpful. help.trello.com/article/811-viewing-cards-in-a-calendar-view The biggest issue is that Sunrise allowed for an easy "common" view of all potential due dates across available boards where the Trello PowerUp requires a more "manual" approach... which is fine for personal management but tough if you are managing many boards simultaneously. I'm presently experimenting with Zapier and CRM integration so that the CRM can manage the calendar from one central place...
Hi John Very nice video's i am also using troll and benefit from your video's assail, i have now this problem that i need al overall status of project progress, i have been thinking it would be nice, if one could push out list item's in a card to a new card i a list, so when finalised one could track overall progress on a single longterm item. and it would be nice with a progresbar. is any of this doable.
Lars, have you checked into Zapier? One of the reasons Trello is so powerful is that it offers so many API hooks versus all of the other project management tools. This makes it really extensible. While the scope of what you are asking for is way beyond something I can write here in notes, you likely could do something to make this work. As I've mentioned to others, I'm presently experimenting with using CRM as the master tracking of projects with Trello to be the overall container... but making a truly "systematized" method is always my goal so working out the kinks as I have time.
Lars, did you find a way to track progress the way you wanted? We've found that the Gantt charts offer a great overview. I'm planning a new series on more detailed project management. If you have suggestions, I'm open...
It's probably a very basic question but I am just trying to get started and I am finding some difficulties having my projects in different boards... on your tasks for Today or This week, do you move the cards due from other boards? Thank you!
That's a great question. Trello is really flexible in terms of how you might structure it for managing complex projects. One method is to understand that a Project Board (with tasks) stands alone. The cards moving through that project board stay on it as items move through. So if you are separately using Trello to track YOUR responsibilities, you can create a unique card in your own Trello board. This would have a link to the card on the Project Board that requires your attention. When you complete the task on the Project Board you would then mark your personal task as completed. That way teams see the Project Board and your updates. Yet your personal notes & details about getting that work done aren't visible to other team members. Again, that's only one possible approach.
Yes, Sunrise is long-gone. Sadly there aren't other calendar tools that currently offer the advantages that were incorporated into Sunrise. Trello has introduced some limited capabilities. In addition, if you are assigned to a card with a due date you can click on your name (in the upper-right corner), click on cards, and then sort by due date. Or, you can search in the search box using due:overdue, due:day, due:week, due:month to get a list of due items.
There are many great tools for project management. I also like Wrike under certain situations. But from a cost to impact ratio, Trello is the best value with the best features, excellent extensibility via API, and terrific FREE group management capabilities.
Hi! Unfortunately to the best of my knowledge you have to be subscribed to a given card to receive notifications about due dates specified on that card.
WOW !!! THANKS FOR THE FAST REPLY !!!! ( IM FROM BRAZIL, SO SORRY FOR MY ENGLISH) I SEE.... I HAVE TRELLO.... BUT I WOULD LIKE TO SEND AT LEAST A CARD INFOS TO PEOPLE WHO DOESNT HAVE TRELLO... WAS I CLEAR??? LOL.... IM NOT SURE HOW TO EXPLAIN ...
Your English is fine. You can add members to boards even if they are not already using Trello. Just enter the person's name and email address and click "Send." Test it for yourself using a separate Email you control to see if it works the way you want. More tips on users: help.trello.com/article/717-adding-people-to-a-board
Hi John, thanks for sharing this nice and handy video series about Trello and Work the System concepts. As I checked the discussion here: I am using the iCalendar feed within in the Calendar Power-Up to import to the Google Calendar. You have to add the single URLs from every board, but once setup is done you get a nice overview and can easily separate boards with custom colours. help.trello.com/article/829-using-trello-with-google-calendar
Hey Frank, thanks for the suggestion and for the positive feedback. The annoying part is having to add single URLs from each board. Not a problem until you have MANY different boards. I like the potential of kin.today but it is still missing scheduling. Still it is worth a look as it has many of Sunrise's great features.
Restyaboard is an excellent free Trello alternative, especially if you want to have Kanban and Gantt in a single solution. Here is the comparison between Restya and Trello restya.com/board/comparison.
Yes it does indeed. It isn't as flexible as Sunrise. The new Kin calendar (kin.today/) is similar to Sunrise except it is missing the scheduling function which we view as a "must have". We're watching that project closely with the hopes we can recommend it in the future. Presently it is still too "experimental" for us to give it a full thumbs up.
Yes Alex, thank you. I've posted some responses with the hope of addressing that point. When I originally suggested the use of Sunrise, the hope was that Microsoft would keep the Sunrise platform live, even if they didn't update it. But they want it all tightly integrated into their Outlook product and so Sunrise went into sunset. Sigh. Working on options...
one could go through all the trouble of hooking up these APIs or instead just use Sunsama (sunsama.com) it's like google calendar and trello had a baby.
Powerful, so easy to use. From a time efficiency standpoint, these tools are just awesome. Thanks for sharing John
My pleasure. Glad it is helpful!

Several.
Sunrise Calendar is gone (Microsoft shut it down, I think). What other calendars integrate with Trello?
Yes, Sunrise is long-gone. Sadly there aren't other calendar tools that currently offer the advantages that were incorporated into Sunrise. Trello has introduced some limited capabilities. In addition, if you are assigned to a card with a due date you can click on your name (in the upper-right corner), click on cards, and then sort by due date. Or, you can search in the search box using due:overdue, due:day, due:week, due:month to get a list of due items.
trello and dapulse are great PM tools.
There are many great tools for project management. I also like Wrike under certain situations. But from a cost to impact ratio, Trello is the best value with the best features, excellent extensibility via API, and terrific FREE group management capabilities.
HI THERE!!! IS THERE A WAY TO SEND A DUE DATE NOTIFICATION TOAN EMAIL TO SOMEONE WHO DOES NOT HAVE TRELLO? THANKS ALOT!!
OH MAN!!!! THANKS !!!! U R AWESOME!!! THANK U !!! REALLY GREATFUL !!!
Here is the comparison between Restya and Trello restya.com/board/comparison.
nice

Have you achieved your goal of saving 1.000.000 $ ? (: #hopeso
Trello Has a Power Up calendar
Yes it does indeed. It isn't as flexible as Sunrise. The new Kin calendar (kin.today/) is similar to Sunrise except it is missing the scheduling function which we view as a "must have". We're watching that project closely with the hopes we can recommend it in the future. Presently it is still too "experimental" for us to give it a full thumbs up.
This helps with creating 'Done' checkboxes github.com/JafarSadik/trello-done-checkbox
FYI, Microsoft bought Sunrise in February 2015, they did not make it, and now they are dumping the project: blog.sunrise.am/
Seems like sunrise is not available anymore....
there just appears a 404 tumblr page....
one could go through all the trouble of hooking up these APIs or instead just use Sunsama (sunsama.com) it's like google calendar and trello had a baby.
please make subtitle by English because we can't listening well.So please make English subtitle for another language Country .we are poor!
Ganttify only has a free 14 day trial - after that it is $6.99 a month
The 2.5 minute blah blah lost me. Who knows when the meat started.
Going to this "site" causes you to set up a Tumblr account. WTF?!
Terrible! 1/3 of the video is just about nothing. Do not waste your time!
Two minutes of meaningless yammering to start off a 16 minute video?
get to it.
