  • In this step-by-step tutorial, learn how to use Rules in Microsoft Outlook. Rules allow you to move, flag, and respond to email messages automatically. You can also use rules to play sounds, move messages to folders, or display new item alerts. The easiest and most common rule to create is one that allows you to move an item from a certain sender or with certain words in the subject line to another folder. You can create this rule directly from a message you've already received.

    Protip... ALWAYS DO OUTLOOK RULES AND FOLDER RE-ARRANGEMENT in the BROWSER VERSION of outlook, that way it syncs across all your outlook installations without having to backup. The backups don't always work when they release new versions of outlook I was burned that way once, never again.... I don't touch rules outside the cloud version of outlook. Kevin you should make a video on this as it is way harder to navigate and find how to do rules in outlook browser login version.

    Hi Kevin, as always, your videos are extremely helpful and easy to understand for users of all levels. A huge thank you! Rules have always been a huge help in keeping my inbox somewhat clean and I know I could always use some improvement. Regarding the client side vs server(cloud) ones, do the aspects of the rules that can be done in the server still happen, such as moving it to the right folder, or does the rule just not happen until the Outlook client is open? If that is the case would it be useful to create 2 separate rules, one that will always happen and the other only if you have the Outlook client open. Just a thought, thank you again!

    Wow, this tutorial was amazing! Thanks for sharing such helpful content. I was wondering if you could help me out to know if it's possible to create a rule to categorize emails that come as attachments (. msg file). Specifically, I receive emails where users attach other emails, and I want to categorize them based on the sender of the attached email (the main sender of the .msg file).
    Let me provide an example to clarify: Let's say a user sends me an email with an attachment. This attachment is another email that they received from a different person or company. My question is, can I create a rule in my email client to automatically categorize the sender mentioned inside the attached email? Essentially, I want to automate the process of categorizing emails based on the sender information contained within the attached emails. Any insights on how to achieve this would be greatly appreciated! Thanks!

I had set a rule that if the subject of an incoming mail hit a specific wording, the email will fwd to a designated email. How can I confirm if the rule work and the email had been fwded?     Hi Kevin. Great video. Thank you. I have a question for you. Using your example, what if you don't want to receive the newsletter, but you would want to see any responses from the newsletter your company. How would you move (or delete) the original message, but not move any comments? Say that the original rule is sent to distribution and you would want to delete the message, but not delete any of the replies to that message.

    One major tip to know about rules in Outlook is this..... MS Office Outlook cloud version is not 100% compatible when dealing with rules.
    If you deleted all your rules and recreated them and they still do not work then delete them. Close Outlook then open MS Edge and type in Outlook and
    login via the web browser then setup the rules inside Outlook in the web browser then it will be working 100%.

    Thanks for the video, I want to know - the mail should get deleted if "2 specific words" are there in the mail body, how to do it ?     Hi Kevin, my question is about using Outlook. When attaching a contacts business card to an EMAIL I am forwarding, why does Microsoft not have a search option? When you have lots of contacts it's really hard to find the business card. I have to manually scroll thru 100s of contacts. Is there an easy way to do this?     HI Kevin, thanks for all this. I have bene trying to setup a rule in outlook 365 with multiple words in the subject or body rule. However, I have about 100+ words to input and inserting them one by one will take me days to do this over and over again for multiple accounts.     My outlook rules got corrupted somehow as I started using outlook on two laptops simultaneously. Could you help me here with settings which would enable me to make rules run on a particular selected laptop only.
