I hardly write reviews but couldn’t stop myself from writing one for this video. The video helped me a lot while I was stuck in the issue. Thanks a ton.
I've used Outlook for years and didn't know a lot of these tips. Thank you for this video. Plus most of these tutorials are boring, you made it interesting.
Hi Kevin, I missed the step for a distribution group to be placed in quick steps. Makes it even easier to send a group mail. Second, I like to make multipal quick steps and organize my mail in the morning into categories: - action today - action - file to a specific date for action - file for an answer - read later I know it’s advanced but it makes my day so much easier. I now go thru my mail every morning, categorize into the folders above (which I created under Inbox). The mail is also placed into my agenda (mostly done with the planner). The rest of the day I work with sceduled moments to work on my mail.
Quick parts is fantastic! I send out regular reminders with zoom meeting details so it's great to be able to save them all in programme! Up till now i've had loads of sticky notes all over my desktop! Thanks Kevin!
new job uses outlook and the quick part tip is MASSIVE! copying and pasting is never hard, but this saves serious time if i have to send identical confirmations all the time. thanks kevin.
Those were fab! Definitely sharing this with my work TEAM and branch members. So helpful for many of us new to Outlook or coming back to Outlook!! Thanks, Kevin!
Thanks, Kevin. I have lived in Outlook for much longer than I care to remember so I knew some of these items - others I needed reminding of. I look forward to some more Outlook related content.
This was by far the most helpful video. Kevin man you are doing fantastic job in helping us to use these functions at best potential. Cheers and keeping educating us!
19:09 delayed delivery is also available on the web. But I do the opposite. I work in the middle of the night and I schedule it to be sent during the morning, where I am supposed to be working but instead I am sleeping.
Smart...we all set the boundaries in the actions we take. Wonder if some bosses do the delay to send late hours setting a bar/ guilt trip to their subordinates 😂🤦♀️
Hey Kevin, just found your channel and as a newbie W10er I’ve learned so much from you already! Just want to add that I so much appreciate the way you Get straight to the nuts an blots without all the very annoying pre-ambles that are so prevalent on many other channels! Thank You and keep up the great work.
Instead of dragging the email to the calendar button (which degrades the email to plain text), you can click the "Reply with Meeting" button in the Ribbon. (It doesn't degrade email quality, and also adds recipients to the Required/Optional spots on the meeting.)
I think it's important to mention that if you schedule an email to be sent later via the Outlook client your computer must be kept on and Outlook running, otherwise it will be sent the next time you launch Outlook on your computer. Please, let me know if you have a workaround to this (not the web app)
The only alternative would be via cmd, although I think the machine should be turned on and running anyways. Another alternative would be a custom script (bat file, python or other languages) hosted on a Web server, but this assumes that a) you have the credential to access the mail server remotely b) you have a server c) the server is always running
Hi Kevin Great Video. One more tip for the Signatures. One can add an image of a company logo, then highlight the logo and click on the "Link" option, this will open a small window, on the left choose "Existing File or Web Page", then on "Address:" type in your company's URL. One can also add social media links as well and emails in the same way. Although I miss the option to use HTML files for signatures. One can animate their signatures ( I had construction workers assemble my signature). Unfortunately, this was stopped after Outlook 2010, due to malware took advantage of this option.
Don't get too excited... It's rubbish, because every time you close down the application (desktop) and open it back up.. Whether you reboot or not... They will be deleted... It drives me mad. So, if you fancy doing an internet search you'll find there are millions of "threads"on the same subject... With a variety of heath Robinson solutions to sort this issue.. It's been a known thing since only 2008...! One solution might work on a home PC... But as I work for a large organisation which controls the admin rights, then there is no chance of doing the work around. The result is, this feature does not work well.. And I believe this feature is not even available in the "web version"of outlook... In the year 2020, that is appalling.
I’m sure there used to be a thing on Hotmail, if there was an email sent to multiple people you could just press save all contacts. That would be useful in outlook a ‘save contacts to group’ option. My top tip from the video was the quick steps feature. I’ll definitely give that a go. 😊
It's really to learn Outlook etc and how to use it properly most books through things at once but you I can under stand clearly .thank you I am looking forward for more tutorials 😊 ☺️
Fabulous, thx Kevin I am using Outlook to forecast my workload by booking in tasks ahead on the calendar I want to be able to extract this information for my resourcing manager so she can see quickly my availability for more work.
You are very good at this and provide excellent material. Topic suggestion: ToDo and Planner integration with Outlook Tasks and Calendar and your suggestions on best use. Of course, then there is also Teams integration ... Thanks again
Definitely going to start using offline mode once I leave the office. Trying to get back that work/life balance and seeing emails come through at night does not help the anxiety 😟
My favourite and most useful tip is changing the colour of emails sent directly to me. I typically have emails with multiple recipients set to black, and emails just sent to me as blue. This allows me to focus on the important stuff first.
Check out "conditional formatting your calendar". That's also really helpful to automatically color-code entries if you have a calendar chock full o' meetings.
"Offline mode" A very common productivity tip is to stop email dribbling in all the time, especially if it notifies you-very distracting, takes you out of whatever you were doing which costs you time and can cause quality problems also. The alternative to Offline Mode which I use is to hit the F9 key whenever I want to do a bulk Send/Receive. To set this up, go… File > Options > Advanced > Send and receive section …and untick the Send immediately box. Instead of F9 you can use the Send/Receive All Folders button far-right in the ribbon Home tab.

Love the Quick Parts! I had previously been keeping "drafts" of regular email templates I would use. This is much cleaner.
Outlook has a great feature for setting up email templates.
I create different signatures.
Me too. Game changer!
I've used Outlook for years and didn't know a lot of these tips. Thank you for this video. Plus most of these tutorials are boring, you made it interesting.

Brilliant - all of it. Thank you! One add: I'd suggest Auto Text. Type 3-4 letters, and your entire (preformatted email) pops up!
new job uses outlook and the quick part tip is MASSIVE! copying and pasting is never hard, but this saves serious time if i have to send identical confirmations all the time. thanks kevin.

Will start doing it IMMEDIATELY
I do the same

Nice idea
I send at 2am to inspire sympathy and fear
The MOST useful video on Admin I have ever seen!

Kevin has been for years my number 1 guru on Microsoft matters. No one can replace him!

This is 2 years late, but you can right click and drag and get the whole email into the calendar
I really like that you can schedule emails. This is amazing! :)
This is a keeper! just found it though you posted it 3 years ago. It has helped me find many a function which I can use.
Thank you!
You're the best, Kevin. Great info, clear and kind delivery.
I’m loving the tips & tricks series. Can you please do a series on advanced features?😊
+1
Agree

What if I have the app running on my phone at the time I specified the email to send?

Rules probably deserve a video of their own!

Great list Kevin - thanks. I particularly like the QuickParts tip.

That's a great one! I'll have to use that.

This video help me A lot thank you so much creator 🙏😍
"Offline mode"
A very common productivity tip is to stop email dribbling in all the time, especially if it notifies you-very distracting, takes you out of whatever you were doing which costs you time and can cause quality problems also.
The alternative to Offline Mode which I use is to hit the F9 key whenever I want to do a bulk Send/Receive. To set this up, go…
File > Options > Advanced > Send and receive section
…and untick the Send immediately box.
Instead of F9 you can use the Send/Receive All Folders button far-right in the ribbon Home tab.
You could probably edit the check mail interval if you don't suffer from FOMO.
Great video, thank you so much.
This is GOLD!
As usual very helpful video
