Mr Nicos thanks so much for your videos. I'm taking the Oct/Nov series and I was really worried about Access because of labels, reports and forms. @@fattysaad3545 oh well it was kinda ironic, the invidualtors started the exam an hour late bc they didn’t prep the room and computers before hand, some of the computers were giving algunctiosn at times and we came across something that we never went over, how to create a primary key instead of simply selecting a existing column name so yeah… All I can I say is tried my best and I pray you did well. Most of us were bitter after that
@@maiabethel2351 Sounded like tough paper. lets hope they boundaries are low. Creating a primary key? So you imported the csv as a table and then you had to create a primary key? If yes then i am assuming you had to create a new field and make it an automatic number so that it filled in the data for all the records.

update: i probably lost a bit of marks since the header and footer kept getting deleted and had only 5 minutes to create labels.... hopefully i'll do better in p1 and p3 and get an A* or A
Not much difference. Add New will move to the last record which is blank (thus all the text boxes in the form are empty) so you can enter the data for the new record . Save record saves the details of the record displayed in the form. So if you edit the details of a record displayed in the the form you can click on save record button to make sure the record has been updated. You can have both Add New and Save record in the form so clicking on Add new will allow you to enter the new record and once you have added the new record data you can click save record to make sure the data is written to the table.
Not sure what you mean by user notes. if you want to add text on objects in the form so that the user knows what the textbox, button etc. is for then you can add control tips. In design view, select the object and in the properties find the property control tip. Type your tip or note there. When you view your form and place your mouse over the object, after a second your tip will display.

Open your form in Design View. Then in the section of the Form Design ribbon where you see the controls like adding a button. Look at the far end to the right of that section. There is a small arrow pointing down which allows you to expand that section downwards. Click that. You will now see a menu item called "Use Control Wizards". Click that and you should be good.

You need to go to the design view of the Form. Right click on the text box for the field, say Employee, and select properties. This will display the properties window of that text box. In the properties select control source and choose the field Employee from table B. Nkw the data you add will be added to the tae B Employee field.

If i having a table with customers and want to pull one customers adress and phone nr etc into an orders table as an new order, how do I do this from an form entry? I know how to via an combobox lock up an customer but not how i can bring over the different fields information i want to.
The best way to do this is to first make sure your database is a relational database with a customer id field in the customers table and an the orders table. See my tutorial on relational databases. Once you have a 1 to many relationship set up you can generate a form for customers with the order tae as a sub form. You will be able to review all orders of each customer and add orders also. The above will work providing i habe understood your question.

For the end of the page you should use page footer. If your report is more than 1 page your details will be added to all the pages. If you put report footer your details will be added only on the last page at the end of the report. For the top, then, again, if it is only one page you can add it in the title. If it says that your name should be at the top of every page the i would use the page header.
if the formatting of the labels (i.e background colors) is not specified in the exam paper can we do it ourselves to make it easier to read or will that result in deduction of marks?
You can and it will not deduct marks. Providing that it does not affect what you are asked to do then you will not lose marks. Examiners mark positively, so they are trying to give marks not take them away. At the same time doing something you were not asked to do will not gain you any marks. I would be careful with background colour as it may look good on screen but the examiners will only get a printout.
You can but you would need to add both fields in the form. If the field is Name in both tables then you would have to have the name field from 1 table added and the name field from the other. The main proem is not writting the data as you can do that with script. It is which data from which table is displayed in the form when viewing a record. If you have 2 or more tables you should not have the need to save the same data in 2 tables at the same time.

You are most likely facing the issue because while you are adding data through the form you also have the table open. When you have the table open it is like it is in edit mode and will not update dynamically. The table should be closed. Add all your data from the form and when you open the table it will show all the data you added. You should not really use the table. The table is the backend and should really not be accessed directly. Use queries to see your data.
maybe a bit late now but, if you open the form in design view, form the Form Design ribbon, in the ribbon section Controls, click the down arrow to show all the controls and you will see a small text men at the bottom, click Use Control Wizards. now the wizard will open

@@BroccoliJam so you will not be taking the P2 exam and your teachers will send predicted grades? lets hope you were a good student. Don't dwell on it. Focus on what is ahead and is within your control. for P3 make sure you understand your CSS and the meta tags in the head section (i have tutorials on these). you may be asked to generate a chart in Excel so make sure you know how to do that. You will have plenty of time to think about the Excel questions so dont panic if you do not understand what you have to do immediately. review the spreadsheets and read the question multiple times and you will figure it out. Good Luck
@@paphitisn Your advice is greatly appreciated! I have listed down the things I need to revise like a few syntaxes in html and css and formulas in excel. My predicted grades were pretty decent as I achieved a level 8 but I wanted to really push for a level 9 so I was quite disappointed I could not take P2.
Unique records are generated by assigning a primary key in the table. Primary key fields are unique so it will not allow you to enter records were or the fields have the same data, even if you are enterin records from a form.
@@paphitisn thanks for replying ... i had tried that, it is working .. I have one more issue, in my entries, we don't have unique id column, we need to concat 2-3 columns to get unique value .. now while entering data if i write formula to concat, it will show in the form but it won't get entered into the database nor will it check/alert us about duplicate values.. Can you tell how to automatic concat while filling form which will enter into the table and also be used for checking for duplicates in database
@@reenamohanta2994 create a new field in the table you will be saving this new concat data. Sounds like it will be a short text field. In the properties of the short text datatype, go to index and choose Yes(no duplicates) this will make sure that no duplicate values are added in that field. Now in the form, enter design view, select the text box which you used to write the concat formula. Right click on it and select properties so the properties window opens. In the properties find control source and click the drop down arrow to select the control source. select the new field you added in the table. go to normal view of the form and now that concat data will be saved in the table under the new indexed field. You will get an error message if it generates a duplicate value.

Close the table and open it again. Then search for your record. It will be there. The table is not updated dynamically if you have the table open.

How do we enter only unique records using Access Forms ?
Unique records are generated by assigning a primary key in the table. Primary key fields are unique so it will not allow you to enter records were or the fields have the same data, even if you are enterin records from a form.

I have one more issue, in my entries, we don't have unique id column, we need to concat 2-3 columns to get unique value .. now while entering data if i write formula to concat, it will show in the form but it won't get entered into the database nor will it check/alert us about duplicate values..
Can you tell how to automatic concat while filling form which will enter into the table and also be used for checking for duplicates in database
@@reenamohanta2994 create a new field in the table you will be saving this new concat data. Sounds like it will be a short text field. In the properties of the short text datatype, go to index and choose Yes(no duplicates) this will make sure that no duplicate values are added in that field. Now in the form, enter design view, select the text box which you used to write the concat formula. Right click on it and select properties so the properties window opens. In the properties find control source and click the drop down arrow to select the control source. select the new field you added in the table. go to normal view of the form and now that concat data will be saved in the table under the new indexed field. You will get an error message if it generates a duplicate value.
