Creating a Literature Matrix in Excel (with Filtering!)

- Excel can be a useful tool in documenting literature information and filtering for specific studies. I'm old school, so Excel is the only thing that made sense to me. Others use tools like Zotero and Mendeley to do similar searching and filtering. This video shows my process for tracking and filtering studies.

@@giorgiaaddessi1335 it’s conditional formatting. You can remove it by deleting the conditional formatting rules or by entering data. It was how I flagged things that were not filled in.
Thank you Dr. Clarke! I wish I’d learned about using Excel for my literature summary table about 6 months ago! I am in a DNP (Doctor of Nursing Practice) program. Fortunately, I’m only 35 articles into my research. Most of them are tabulated in a word document. So I think I can copy and paste into the Excel spreadsheet fairly easily. I was having trouble finding what l needed when I needed it. I would flip pages back and forth, some would fall on the floor, I wrote notes on several pages, dripped coffee….. my printed literature summary table is a mess. And with each new article I read, it became obsolete. Your method is exactly what I need. I’ve changed some of the headings and added a few more so it will work for me. Instead of printing articles, I use GoodNotes on my iPad and I have my articles sorted into folders by themes, which is now a column in my new Excel spreadsheet.
Another mistake I made was taking notes on my individual articles. That is now proving cumbersome. I will now transcribe them into my spreadsheet in the Personal Notes column. Although I have to take a pause on writing to transcribe into my Excel document what I have in my Word document and what I have on my articles, it is going to be well worth the time.

Hello, This is very helpful. I was just debating whether I wanted to print my articles since I like to make notes on paper also. I like how the matrix can be filtered to help with finding articles based on multiple options. Are you able to send the Excel file? I am in the prospectus phase of my program for higher education leadership.

May I ask what is the meaning of every colour that you have? Like the yellow one or the black one? Thanks!
Sure! I use the red to show what I hadn't filled in yet. The yellow indicated things that I felt could support my study and could be included in the Literature Review. The black indicated that the information was relevant for the article I was reading (mostly when I used a thematic analysis or conceptual paper. I used green to flag key findings that supported by problem space and then added comments for other things I wanted to note. Hope that helps - you've given me an idea so I'll be doing a video to show the color use in my matrix.

For my purposes, the dissertation notes column was what I used to track information I knew I wanted to include or reference in my study. The general notes column was where I included questions, thoughts about what to research based off the article and things that were generally not going to be included into the dissertation.

Hello Dr !!! my first question is ; if i am selecting 1500 research papers for meta analysis in which 50 papers are included in the study , should i study all 1500 papers and extract the record to enter in excel or just 50 papers record ?
My second question is , after making the list of excel file, how can we use this file further? i
If you aren't going to cite an article in your study, I wouldn't include it in the spreadsheet. The idea behind the spreadsheet was so that I would be able to quickly access certain information about the studies I read (related to my research) so that I could cite them in my study. I believe my spreadsheet ended up having a little under 200 articles. If I wanted to know which ones used the UWES-9 versus the UWES-17 instrument, I wanted to be able to quickly filter, find that information, then review the article(s) that did use the UWES-9.

Very helpful!!! I'm currently in an MS program for IO psychology and it's overwhelming to do a literature review for the first time. I'll definitely be using this to compile my notes. How would you compare it to using programs like Zotero or Mendeley?
I tried both Zotero and Mendeley and I could not get my brain to work with them! In Zotero, specifically, you can upload your PDFs and tag them with key words. So you can search your key words, then pull up and review each article for the appropriate content. I liked having the Excel sheet because I could prefill the information I knew I would need and filter down to the right articles. Same concept, but I didn't have to open the articles each time I needed to see or confirm something. The other benefit with Zotero is setting up citations and references, but I found that I had to manually change so much stuff that it ended up taking more time than actually building my reference file in Word.

Hi Rebecca I have watched so many of your videos today after someone in the GCU facebook group recommended a video. I am in RES 880 and have one more class on regular courses left and have been trying to find a way to organize my literature and this is perfect. I did download the blank template but am unsure how to get the unconditional fields gone and mine says read only so do I need to request access? Also do you have a website for your dissertation coach program? Thanks

The conditional fields will go away if 1) you enter information into a field or 2) you remove the conditional formatting. You should be able to do a save as to make it editable. Hi, again Dr. Clarke. I really like your videos and find them very helpful. I do apologize for my earlier response and also for spelling your last name without the e. My brain is muffled as you already know from going through the dissertation process. I read your bio and I am very impressed with what you were able to accomplish after taking your breaks. I am thinking of taking a break before RES 885 just to get everything together, would you recommend it. I have not taken a break thus far through the program. I am trying to get my lit review organized and loved the matrix and was wanting to get started on doing it but was unsure how to get the red background off, and it also says view only so the best thing to do is start over and make a new spreadsheet? Also, I mentioned wanting to know about your mentoring or coaching program but after reading your bio, you specialize in quant studies and right now mine is qual, but it could change. @@DrRClarke
I would definitely recommend taking a break just so you focus on your dissertation work and feel more prepared going into RES 885. I did something similar and it really helped me get through Chapter 2. For coaching, I am more of a quant gal, but I do coach students who are doing qualitative studies, so am happy to chat any time.

Why no Zotero-Mendeley and Obsidion-Notion. The shown method looks outdated.
If you read the description of the video, you would see that I mention that this was my process and is an old school approach. I tried to use Zotero, Mendeley and others and they weren't tools that made sense to me. Not everyone is comfortable learning new technologies along with trying to obtain a doctorate, others are quite comfortable. This video simply provides insight into one way to do something, not THE way to do it.
