Very useful hints as usual, but, alas! I tried it and it works well except that the records in the focus file are not properly orderer according to the date and time set. The folder itself cannot be sorted, but the three list inside it yes, notheless the final result is not ordered, and therefore, partially unuseful. I wonder why.
Thank you, Carl! Very useful video, as usual. Just a question: would you please describe your tagging criteria (i.e. communication, etc..) and how you define your list (i.e. NEXT MONTH, NEXT WEEK, etc..)? Is just a matter of date/deadline? I don’t know if there’s another video about this topic (maybe i didn’t find it!) Thank you in advance!
So glad I found this today! I’ve just decided to keep my master to do list digitally and not in my paper planner. I can still brainstorm on paper, but I need a to do list that’s with me even if my planner isn’t! I’m happy to also write the todo’s down each morning - for me that’s my physical way of commiting to getting them done. I’m considering using a flag instead of a date for the filter on the could do today list and maybe consider the date as the deadline - so i know when it needs promoting to the should do list. I’ve just retired, so no longer have the same burden of imposed deadlines and it’s proving far more difficult to manage than I thought it would! 😂
Hi Dorothy, that's what I'm doing with my Franklin Planner experiment. My task manager is the master task list and my daily planning is where I fine-tune my day on paper.
Hi, Carl, much appreciation here. My question is that if you stick to your time block, then what if a task is in the "could do category" but its tag/label match to the block, and those "must" match that to the afternoon?
Those kind of things I sort out when I do my daily planning. That said, as I mentioned in the video, I don't use the tasks on the calendar. To me that's just duplication.
Oh no, no, these are just some ways I have helped my clients manage their work. I have a system in Todoist that works for me. So, yes, I still use Today's Objectives, and Focus and tomorrow's focus.
Minor topic, question - Every time we add a reminder to the calendar, it sets up an alert/notification. Add 5 reminders and the phone beeps 5 times - quite annoying. And the only way around seems to be give up notifications altogether. Did you, in your travels, discover any solution for this. Thanks for the video and your thumbs up for this integration. Debating between this and the new Todoist GCal integration.
Ah, we should remember that we are integrating "Reminders" As far as Apple's concerned, a reminder needs to remind you to do something at a specific time. I'm guessing that why it defaults to giving you a notification.
@@Carl_Pullein Ha, yes, can't argue with that. Although Todoist does do the same thing and, as it does, offers a way to switch off the alert. Just saying :)
I tried to set this up last week based on your other videos, the only issue I found is that you can't plan the day before as the tasks are smart list rules are set for tasks dated as today - any work around?
Although not perfect, you could utilize the “this week” or “next week” for planning upcoming days. EDIT: I found that one of the Date parameters is a relative range where you can view set to view what’s in the next day(s), week(s), etc…
@@quincyfreeman2901 Yes I found that too, for me tho I found its to much friction having to change 3x smart lists dates every day. For now I have one list, with there sections - must.could and should
Thanks Carl, first video I have seen of yours and very much appreciated! I have already implemented your ideas and also added monthly bills in the same way!
Don't know if anyone has mentioned this, but one can also drag tasks into the smart lists and they will immediately be updated to the smart lists due date and priority. That makes me very happy, because I don't like how much clicking and scrolling you have to do to change priorities on tasks (especially when there's a simple keystroke for flagging!).
And yes, thanks for this video. Also thanks for your sojourn back into the Franklin Planner. I had one myself about two decades ago. I didn't use it to its full extent, but I did love it. I *really* appreciate having the today's view and day calendar side by side. I've also picked up Hyrum Smith's book. I've finally written down my personal values after all these years. It's been a big win for me.
@@Maizeak When I'm planning my day. I find the way to set priorities to be rather cumbersome. I know it's a little backwards (smart lists are supposed to do the organizing for you), but it's nice to be able to prioritize my stuff just by dragging them into the list.
This is great content, but-it is way too complicated for my add brain. I spend more time trying to plan than actually DOING things. There has got to be a better way for me.

Great video Carl. Is there a way NOT to have the reminders included in the calendar?
In calendar app under “calendars” you can deactivate reminders
Yes. You can turn off the reminders in the left-hand sidebar.

I struggle with this as it when first implementing the system it misses out tasks that are don't have a priority attached - any thoughts?
Those are your low value tasks and you can see them from your Today view.
What's the differentiation between these low value tasks and "could do" tasks?
@@Maizeak that depends on how you prioritise your tasks. That will be different for everyone.
Thanks Carl, first video I have seen of yours and very much appreciated! I have already implemented your ideas and also added monthly bills in the same way!
what does he do with monthly bills?
I have my monthly bills in there too. I love the way the notifications work in Reminders. Never going to forget any bill this way 🙂
Exactly what i needed 😊
Glad to have been able to help.
You can move routine tasks in the calendar, if they have a time. 😉
Thank you Carl
You're very welcome.
