  • Artist Hannah Armada of Studio Haebi is back to give us tips on how to ship international orders through Philpost or the Philippine Post Office. Hannah encourages local artists to try this cheap option so they can cater to a wider, international market.

    I was searching the web about Philpost intl shipping rates and how do they work. Went to UA-cam and I saw this on the recommended list. Dude, If I say that this is the first time UA-cam recommended me something what I exactly needed, I am not exaggerating.     Our post office and services are very outdated. While most businesses are already going digital and online, Philpost is still doing it manually, not to mention some of the employees who's super "mataray".

    This is super helpful! Thanks for sharing! ❤ Just a question: I was told they don't send to Czech Republic and showed me a list of countries where we can send resigtered mails. Have you tried sending there before? I wonder because I just received mail from Czech Republic last week... But I can't send one out?

      Unfortunately, we haven’t tried sending one to Czech. For Czech to PH, it’s possible their post office there sends out to PH or the sender sent through a private courier 😊

      Hello!! Yayy congrats on your first international order! I’d say, if there’s no unexpected changes in availability of international flights, tracking numbers should appear in the system within one week (at most 7 business days)! :D you can use websites like 17track to track it too (I prefer that over phlpost website

    hello! thank you so much for sharing this video, it was so helpful for anxious beginners like me just looking for as much info as i can before i go diving into the deep end 😆
    also this video is from a while ago but i figured i should ask anyways in case you guys can still see this! does the post office allow different colored mailers as well? i was thinking of going with more sustainable packaging and buying kraft mailers for my items! i remember reading from somewhere before that phlpost only accepts yellow mailers, but hannah seemed to have shipped their pink mailers out just fine! or does it depend on the branch? :o

      Hello! Yas they accept different colored mailers. They actually prefer the Kraft material (though they did accept my poly bubble mailers) and I’ve shipped Kraft mailers in yellow and light brown before already :) (luntian has nice eco friendly ones!). The branch shouldn’t matter but you can triple check with the one nearest to you to be sure :) - Hannah

    hello! thank you so much for making this video, it's a huge help especially sa amin na first time magpadala ng letter/artwork abroad. tanong ko lang po, nagshi-ship po ba ang PhilPost anywhere around Europe, chineck ko po kasi sa website nila yung rate, pero parang wala po doon sa list yung country of destination ng package ko :((

      PHLPost does ship to Europe, but if you don’t see the country you need, best to ask the branch near you :)

I'm planning to open an int'l shop and was searching for tutorials and I saw your channel :> I just want to ask, is the process also the same for shipping flat items? Most of the items I will be selling are stickers and prints, can plain envelopes (or those thick rigid envelopes) be used for registered mail? Thank you!

      Helloo @shc10 !! For my stickers, I actually use plain catalog envelopes and tape the sticker pack to a recycled cardboard (I cut up boxes used for grocery) just a bit bigger than my sticker pack for allowance and extra protection. Then I seal the envelope and the other stuff are the same as bubble mailers already :D Yes, you can use thick rigid envelopes if you have a supplier near you! In US or Europe, they have the thick rigid mailers made for paper items, but I couldn't seem to find any in the PH that are as rigid as theirs so I resorted to the cardboard + catalog envelope method. Hope this helps and that everything goes well for your shop opening

      Hi! From studio haebi - I print my own transmittal form :D You will have to print two copies. One for you one for the PO. what you do is collate all of the packages you’re shipping together in the same form by numbering them and placing the details in a row (package number, name of recipient, address, mini tracking number sticker). You don’t have to print one form per package :D unless you just want to ship one item and want a transmittal form for your own documentation purposes.
      *When I say mini tracking number: when they give you a tracking number sticker, it contains one big one and 3 tiny ones. Big one goes on your package, tiny ones go on your transmittal, one on each copy.

      Max weight should be in the philpost website :) But for your specific item, yes, they can ship 500g for registered mail :)

      Yes possible! Accdg to Hannah in this vid, anything below 500g is still okay to be shipped via philpost. Anything higher as expensive as private couriers who may have better service :)

    Hello! This was a very informative video, thank you for your insights ;w; I'm planning to ship some acrylic keychains internationally and a few questions, if you don't mind me asking--
    1. You mentioned in another comment that you had to print out the transmittal forms yourself. Where did you get the file for the transmittal forms? The official Philpost website doesn't seem to have one, and looking up "transmittal form for post office" gives differing results (some have fields the others don't); I'd like to know if there's a standard that's considered best/official for Philpost.
    2. How did you obtain tracking numbers in advance? Did you have to e-mail the post-office, or call directly? Like the transmittal form, there doesn't seem to be anything about this on the Philpost website.

      There’s not really an official one in my experience. I just made my own format. the important info are:
      - date of shipping
      - sender’s name and address
      Below this I would make a table with numbering on the first column, name of recipient in the second column, address of recipient in third column, and space for tracking number sticker in fourth column.
      For tracking numbers I just go to the branch in advance and request them.

      Hellooo 💖 thank you! I’m glad it helped :D Yung phlpost rates dapat yun na yun and no more extra charges. Although there are some branches that push na need ng “return card” which is a pink card that is signed by the recipient na nakuha nila yung item and this card will be mailed back to you, which has an additional fee ng mga 30/50 pesos ata I’m not sure. This should be entirely optional, and if the phlpost branch pushes you to do it, you might want to look for a better branch that doesn’t force you to do so

      way bill, either you write it yourself or print yourself :) Post office only provides postage stamps/metered stamps (which states the amount you paid for postage) -Studio Haebi

      Hi! They do open and ask a few questions about the items in the package. Very general ones like what the items are, where it will be shipped etc.. Not really detailed. But this is based on our experience. It may be different depends on the Philpost staff asking the questions.

      I use PayPal only right now since most customers have it and it allows credit card payments too (tho take note to factor their fees to your pricing) I’ve also seen something called payoneer as an alternative but haven’t personally tried it

      The pink mailer I used in the video is 15x18 cm. In my experience, this is the smallest they recommend me to go. There’s a smaller mailer size (which fits like a phone inside) but when I tried that before they told me there isn’t enough space for the metered stamp + other stamps + tracking number + the details I wrote on the mailer. They said the smaller size might get lost but international sellers do use the smaller size mailers esp for one enamel pin order, so if you really want to you can try it out.

    hello! i have another question, yung nakalagay ba na states/cities sa rates is yun lang yung pwedeng padalhan or kasama na dun yung cities in the same time zone?

      From Hannah @studiohaebi - For countries that are not US, kasama na yung other cities dun sa country/city rate they listed :D the city they write down is the sorting center that receives it. For US based places naman, dalawa technically receiving areas nila, los angeles or new york . The rates are basically, anything that is CA state based, will take the los angeles prices, then anything not in CA is New York price (this is what I do, but you can clarify in your specific PO rin :)
      Long story short: their rates are inclusive of all the cities in the country unless they give out a memorandum that states they only accept for certain cities of each country only (which happened during peak pandemic, but now should be fine na).

    This is my first time shipping something abroad and I was wondering if registered mail has tracking number?
    I noticed that on their website for the rates, they ship to specific areas in a country (e.g Los Angeles, USA), but I'll be sending a pins and keychains sets to a friend who resides in Boston. Does it change anything if I still choose registered mail? Since EMS's rates are just too much for small items that will be put in a small bubble mailer.

      Hi! Yes! Registered mails have tracking numbers. :) Same process as registered mails so package will be sent to the main port/mailing post of the area.

      Is the same link nung rates :D technically Yung nasa rates Nila yun yung countries they can ship to. For yung mga sudden changes naman where the post office limits to several countries, they usually update this through their social media or through release of memorandum through the branches. So for recent updates, best ask the branch nearest to you :) - @studiohaebi

      My Korean customers usually have their addresses in romanized Korean! For example: Jongno-gu, Sajik-ro-3-gil 23, 102-dong 304-ho Hong Gildong gwiha 30174, South Korea (sample address from google) - @studiohaebi

      Yes. Full payment always before order processing :) We don’t do COD also so the usual payment channels - gcash, paymongo for bank deposits/credit cards and paypal :)

      Yes! You have to specify registered mail, since yung mas mahal na rates is usually EMS

      From Studio Haebi on meds and cosmetics: from my experience I had to tape my receipt of medicine purchased on the package itself (I was shipping kremil s to relatives) and declaring the items in the customs form. I’m unsure on the process for cosmetics but it should be similar to the normal process. Leave your package unsealed so they can check for you also :)

      Hi! The tracking numbers are provided by Philpost. :) We don’t know what printer they used. Re payment - no payment for advanced tracking numbers but it depends on the philpost station if they will provide or not. I believe Haebi is a regular customer so the branch knows she would be able to use the advanced numbers.

      Yes, phlpost should work with shipping printed shirts as well as long as your customers are okay with the shipping fee :D but rather than bubble mailers, you might try looking into poly mailers or maybe cardboard boxes (watch out nlng for the added weight of this) for the shirts. Double check nlng with the branch you’re working with if they’re okay with poly mailers like the ones shopee uses :D

      Hmm for me (assuming you design the shirts yourself and have them produced already), Etsy really is the best place for an international market even if the fees are quite pricey because there really is traffic there. You can also look into bigcartel or storenvy but their marketplace isn’t as trafficked compared to Etsy. Most international artists/brands i see use print on demand services for shirts like redbubble/teespring/teepublic, etc. there are some intl customers that prefer these kinds of services but meron rin naman established small business brands and what they use is mostly shopify na for e commerce (lesser fees that Etsy but you’re solely responsible for the traffic). 🤔

      You can fill it out in the post office :) Filling out beforehand is just a recommendation for when you have a lot of packages to ship or if you want to save time. You can bring tape/glue just in case but the post office usually has tape/glue already - Studio Haebi

    Planning to use Philpost as my main courier shipping my stickers abroad.
    Yung waybill po na ilalagay sa package, what are the usual info you put? I saw you stated full name and address of the sender & recipient, but I also saw another paper attached sa other side ng package. Is that the custom form or ano pa po ba need iattach sa package / bubble mailer?

      This one is a bit tricky, if I’m not mistaken, they do have restrictions re battery like LI-ION even if it’s not on their website 🤔🤔 it might not be allowed, but I’m not 100% sure of their rules. best to ask a branch directly to be sure. - Studio Haebi

      Hello! Studio Haebi recommends using private couriers for items that weigh more than 500g :) Since it will be almost as expensive in Philpost and private couriers will have more safety nets/inclusions. 😊

      From danger in design: I just print/write their address in the middle of the mailer/envelope! Then hingi sila ng customs form sa PHLPost, maliit lang siyan na slip of paper you need to put the item and value on and sign it and stick it to the envelope. ✨

      Anyone here knows? I shipped an order last month and my customer didn’t get it cause she’s at work and USPS needs her signature. My customer asked me to send it again but I went to phlpost to ask if I can disable the signature requirement and they don’t know. They just said there will be a signature requirement if it’s a registered mail. Any advise or any information for anyone here who knows? Thanks!!

      Yes, it’s common na they want to check first before you seal it especially if d ka pa Nila kilala and what items you send frequently. So keep them unsealed then the next few times you can try asking if it’s alright to have them sealed na beforehand especially kung marami :) -@studiohaebi

      For drawings and sample paintings, I’m not sure if I fully understand the scope of your work, but my assumption is these will come in the form of flat paper documents (like drawing paper/archival/watercolor) which can either be shipped through rigid mailers or backed by cardboard in a regular mailer. If you’re thinking of shipping painting on canvas, you’d probably just need to pad this with bubble wrap. I don’t think you need any permit or approval, but just to be safe, don’t seal your package yet so you can show the post office what kind of items you’ll be sending and write them on your customs form and you should be good. - Hannah, Studio Haebi

Is it either you have a stable market na po here in PH or simply just go take a risk in shipping worldwide even though your market locally is not that stable? I’m glad you found it helpful ♥️ My take on this is: as much as possible have international shipping as an option to broaden your brand reach (it isnt as risky as it sounds! Tho quite overwhelming and intimidating at the start) but it also depends on your products and how you prepare for it. For me, International shipping is just an extension of local market, just an added shipping option to the list of local shipping options. Even if your local market isn’t stable yet, the international side could support it in the future but you won’t know unless you try 🤔 but again there are many factors to this, and if you cannot afford the packaging materials or other fees, it’s okay to wait until you feel you are more stable. But as I also mentioned in the video, it is okay to take into account the cost of fees and packaging into your pricing for intl listings :D You could also look into how much intl artists sell sticker sheets abroad and match their prices so you don’t undersell yourself internationally.
      For example, if your items are handmade clay keychains, and you prepare them for selling in a local market, but some of the stock are not being sold, you can try listing those items in an international platform like Etsy or big cartel (depending on your preference). If they don’t immediately get sold, don’t worry about it just yet and try to work on increasing your brand's reach in the social media platforms you are in so more eyes can be on your products. But if preparing stocks is your problem, either find ways to do preorders to fund or maybe study your brand and see what you can do to come to a more stable local market before tapping international market :D

    Hey, I shipped an expensive parcel from PH to UK with philpost on 4/10 and the tracking says 05/10 on route to next delivery office but hasn’t moved since. Is this normal with Phil post? I’ve never used it before 😬
