    Very useful video. To further improve efficiency, you can create a custom shortcut (Edit> Keyboard Shortcuts) and assign it a custom shortcut. I assigned it Opt + F (to remind me of Footnote) and it works like a charm because this shortcut is not assigned to anything by default in InDesign. Having this shortcut makes it a lot easier to insert Footnotes!

    Thank you, this is very helpful. Do you know how I can link footnotes across my whole document (about 40 pages)? I am writing a dissertation and need all my footnotes to follow each other/not reset on every page, and am not able to figure out how to do this!

    It is 2019 and this still helps, but Adobe could restart the numeration as it does with numbering bullets configuration. It could really be more simple.

    Useful video, but I wonder if there are any ways to make the numbering continuously throughout the whole document without linking the articles? The book I am working on is about 400 pages, and it makes it more complicated if I have to link all articles togheter.

    Thank you for your video. I have a question for you, I am having a footnote problem- I am working on an annual report and have a number of text frames that have footnotes. Is it possible to place all footnotes in one document from different text boxes that I don't want to connect- (because some are callouts and different paragraph styles) but have all footnotes land in a new textbox that I have at the bottom of the page?

      You can add endnotes just as easily as footnotes! You can right click where you want to put the citation and select INSERT ENDNOTE (it's just below INSERT FOOTNOTE) or you can go to the menu at the top under TYPE / INSERT ENDNOTE. Hope this helps!

    Hello, thanks for the tutorial, but you haven't showed how to have continued footnotes from unlinked text-boxes. Say I have many chapters. Once the chapter ends, I won't link the text to the text of the next chapter, because if I make any edits on a chater I want to have full control, and not start to mess the whole document, but I still want footnotes to flow continuously from beginning to end, and not restart every time I add a new chapter. How is it done? can't find it anywhere. Thanks

      In order for the footnotes to continuously flow in numerical order, they would need to be linked. If you don't mind restarting the numbering for each chapter, they don't need to be linked. Perhaps endnotes would be a better solution?

    Hi Graphics Girl, great video. Thank you. I'm having issues with the footnote appearing at the end of the paragraph, not the bottom of the page, any ideas to fix this?

      Hellooo, Kelly! Check to see if you have any paragraph styles applied to your text. For example, you could have a Header paragraph style and/or a Body Text paragraph style. See if you can change the Column Span attribute back to Single Column and if that puts the footnotes in the body text down to their proper place at the bottom of the page.       Hello, Eric! Sorry for the delay, but I had to update my InDesign to the latest and that always takes me more time to get around to than it should :) I have 16.4 now and can confirm that it still works. Doublecheck that you have the + symbol indicating there's more copy selected and then your cursor icon will appear to have text in it that you then click on an empty text box to fill. Check your linkages throughout your doc to see if anything got broken along the way!

    How about when I can't join the text? I need my footnotes to be continued throughout the document I can't link the pages because the content would mix up. What do I do in this case?

      If you can't link the text boxes due to flow issues, the only other workaround I'm aware of is to manually set the footnotes. That's not best practice as human error can set in, so question: are endnotes an option for you?

      Yes! What you're talking about are endnotes and in the latest version of InDesign CC, you can add endnotes just as easily as footnotes. You can right click where you want to put the citation and select INSERT ENDNOTE (it's just below INSERT FOOTNOTE) or you can go to the menu at the top under TYPE / INSERT ENDNOTE. I'll make a video on how to make, edit and export endnotes as hyperlinks, so be sure to please subscribe if you haven't already so I can continue to help you!

    Thanks. But I have one problem i hope you would solve. I am working on a text. The information is taken from different materials. I am using the footnote for all of my sources. I wanted to use some of the information as a sideline information in its own text frame. I did this by cutting and pasting the text. but the footnote is coming along with the text. I dont want two footnotes situated in two places in the same page. so how can i have all the footnote at the bottom of the page?

      In order for the footnotes to all flow as one and appear at the bottom of the page together, the text boxes must be linked. I understand you want to have the information in its own text frame, but you could 'fake it' but having the text actually BE a part of the same text box and just put a graphic box around it to visually separate it on the page. Or, you could have it be its own text box- but you would need to link that to the other text box. Hope this helps! Please subscribe to my channel if you haven't already!

      Let me give you back your sanity: it's not you, it's the program! Footnotes cannot be easily added to a table in InDesign. A workaround is to create the footnote just outside the table in order to create the footnote at the bottom of the page. Change the color of the footnote to none and then add a superscript number inside the table to represent the footnote. Remember, unlike normal footnotes that you can add to non-tabled text, these would have to be manually renumbered if you add/subtract footnotes that appear in your table. Hopes this helps!     Thanks a lot for this! I have a problem with aligning all the text columns, I want the text on each page to end at the same point, then the footnote goes under the text. So if a page has 3 footnotes, and another page doesn't have, the text still ends at the same height and the footnote is placed under it. Like a placeholder for a textbox. Is this possible?

      Hi Nour! You can do this by making separate text boxes for the body copy and the footer and linking them so if you have footnotes on a page, the citations would go into the footnote text box at the bottom of the page and if you don't, the box will be empty. This way, the body copy text box always lines up!

    Hi, i wrote a novel and can’t make the footnotes number continuously even if i link the text boxes between chapters, what i did was, duplicate the previous chapter pages to start the next one so i belive this creates like a diferent section, so no problem getting continuity in the same chapter but is not working though the entire document. Don’t know if you have any idea how to fix this, Thanks 😊

      Congratulations on the novel! That's a HUGE accomplishment! Hopefully this will solve your problem: go to TYPE/DOCUMENT FOOTNOTE OPTIONS. In the dialog box, check to see if the box for RESTART NUMBERING EVERY ___page, spread or section is checked. If so, uncheck and see if it is continuous now with your linked boxes. If not, you can change the number to begin with in each section (so you could pick up with the last footnote number in the last section). Let me know which approach you take!

      Sure, but obviously that would not follow AP style :)
      To set note 2 after note 1 on the same line, do this:
      1. Place the cursor in note 2 and increase the note's first-line indent until the note has moved far enough to the right.
      2. Select all the text of note 2; then set the selection's leading to zero in the Character panel:
      A drawback of this method is that everything needs to fit on one line. If you want to set a longer note as an inline note, then you need to set not the whole note to zero leading, but only its first line.
      You could do this manually, too: go to note 2, increase its first-line indent, then select the whole first line and set its leading to zero. But if you change anything in note 1 you'll end up with a mess. The remedy to that is to create a character style with just one setting, zero leading, and use it in a nested line style in the note's paragraph. In that way, zero leading is always applied correctly!

    thanks for the great video! What if you would like to have the footnotes at the end of the spread and not at the end of each column. I have my spread with 4 columns, so 2 per page, and the footnotes look abit strange spead over so many columns. I would like them neatly at the end of the spread to the right.       actually I would also really like to know how to make footnote numbers span over a whole document that consists of many different text boxes that do not want to be flowing into each other.       ​@@MrRosieee Hmmm... I think I need a visual to see exactly what you're hoping to achieve, so feel free to email me the file at: contact@graphicsgrrrl.com if I don't nail it with this answer. It sounds like you want an endnotes-type of page to appear after every double page spread. I think the best way to achieve this would be to make each its own section or chapter. But this generally restarts the numbering each time from 1, so you will have to go under Footnote / Options to change that (you can tell each which number to begin from). The only other workaround could be to link all the boxes so the footnotes are contiguous-- and just put hard returns so the copy stays on its own doublepage spread.

      Hellooo, Myat! The footnote appears below the column of text where it was inserted. If you want the footnote to appear in the left column, the citation needs to occur in the body copy in the first column.

    Do you have a tutorial video that shows how to make the footnotes in a book that is using multiple InDesign files? I have footnotes that in chapter 1 are #1 to #7. Then in chapter 2, the footnotes start again at #1. Same for the chapters that follow. I guess a fix might be in chapter 2, the starting number for the footnotes should be set to #8, but then if I add a footnote in one of the chapters, I would have to go to all the chapters that follow and change the start footnote number. I am hoping that there is a simple setting for this that will automatically do this.

      Thanks for the question, Ara. To date, this is one of those things that Adobe has yet to fix! You either have to set the start # at the beginning of the InDesign file to pick up where the last one left off (a manual process ripe for human error!) or try running this script that I found as a workaround on this forum: forums.adobe.com/thread/1304157

      @@graphicsgrrrl one other question. I have the chapter title on the odd pages in the header. It does this on every odd page. Is there a way when it's the first page of a chapter, which displays the chapter title in big letters, to have indesign automatically not put the chapter title in the footer, or do I need to manually delete it from the first page of each chapter?

    Great video. One issue I'm still having: I don't see the red plus sign when I click the first text box. Is there another way to make it flow?

      If you're not seeing the red plus sign (more box), it's because your text must not exceed the text box. If you make a text box, insert placeholder text, select all of that text (ctrl or cmnd A) and increase the point size of the text, you will see the more box. Hope that helps!

      @@gnostie This has been an issue with InDesign for ages! The only ways I know of solving for what should be a built-in feature in book format is to link the text frames across chapters for continuous numbering or edit the footnotes in an exported PDF.
      I would opt for the first approach if you can, but to take the second approach, export your file from InDesign to PDF and edit the text in Acrobat Pro.
      The only other manual solution I’ve heard of people doing is to “fake” the footnote numering by setting the style to something like .1 pts with no color and entering the right number manually.

    Somehow this checkbox you're zooming in on @3:19 isn't even available for me.........
    HOW DO I FIX THIS?
    Does this cause my footnotes to not continue numbering (they all stay '1') ... Please help me out!

      Make sure you've clicked on the LAYOUT tab in the Footnote Options dialog box to see the 'footnotes span across columns' option. If all your footnotes are saying 1, that means that it's restarting the numbering on each page, so you have to link your text boxes. Click on the red plus icon at the bottom of the first text box and then click at the top of the next text box. The footnotes will renumber to be continuous. Hope this helps!

      New problem: the footnotes don't appear neatly on the bottom of my pages .. like MS Word does automatically.
      I tried the solutions to this available, but I have an older version (CS6) so it's way more hidden, Adobe gave the program more footnote-option dialog boxes.
      Do you or anyone else reading this know how to get the footnotes underneath each page in InDesign CS6?
      Instead of at the end of each text-box.

    I want to change footnote icon in to bullet. But basically I started from number style. Like 1.2.3.4 . Besides this, I want to put bullet style again and again in same document. Can u help me? (In word document it is very easy)

      Under Type / Document Footnote Options, you would select one of the symbol choices instead of a numbering style from the dropdown. In order to have the same symbol as the bullet each time, you would have to check the ‘restart numbering every’ and from the dropdown choose Section. Then, you would have to set sections in your document, so it repeats the symbol. An easier approach may be just to manually insert the bullet symbol (like an asterisk) where you want the footnote and then create a little line (known as a rule) and manually set your information. By default, legal caveats, disclaimers and footnotes purposefully have their own unique symbol, so you know what goes with what. If you want to repeat the same symbol, it may be easier to just do it manually. You can see my video on how to create rules in InDesign here: ua-cam.com/video/Ue7byksGV-o/v-deo.html.     How do you get continuous footnotes from multiple linked word documents? This method causes problems, messing with my paragraph styles and combines links into one link.

      Hellooo Tom! If I understand your situation correctly, you are importing separate Word documents into text boxes in your InDesign file? If so, I would doublecheck that the text boxes in InDesign are linked. As far as paragraph styles, I would check that you are substituting styles from your Word doc into your InDesign doc as I show in this quick video: ua-cam.com/video/UydP5JbVLlo/v-deo.html

      Yes, that is correct. I’ve linked multiple word documents to one InDesign file as I’m continuously updating them. By using the text box ‘flow’ method between two linked word files it merges them in to a single link, removing the ability to ‘edit original’. (Although, it does make the footnotes continuous.) It also overrides the paragraph styles, making was the second link start directly underneath the first. This seems to be a reoccurring issue as I’ve tried it in a new InDesign document with different word files.
      There is a short video on my channel depicting the problem. If you’d be kind enough to check it out. It might explain the situation better than my description.

      Well then all you have to do is go to TYPE/DOCUMENT FOOTNOTE OPTIONS and change the START AT field to begin from the number you specify!

    I really wish we could treat the whole document as the scope, not restarting each story. My very picky client is married to that idea. Even the ability to specify numbering for each story would do it. Of course, Adobe would much rather spend time on stupid AI toys.

      Do you want each chapter to have its own footnote numbering? Don’t link the text boxes. Do you want to specify the start number? Go under options and enter the number it should begin with. If you have multiple stories, perhaps have separate unlinked text boxes for them so you can specify numbering independently. I’m not sure of your unique situation, but I empathize with your frustration so I’m trying to throw out ideas for you. Hopefully one of these solutions will help!     What happens if I don't want to link the two text boxes? I have different sections in my report with some text on a different object and can't link it. Is there a way to fix it? it's driving me insane :/

      Well the only way to have the numbers automatically flow would be to link the text boxes, but you could keep them separate and alter the start number of the second section to pick up where the last one left off.
