Use Autocrat to Mail Merge from Google Sheets to Docs, Slides, or PDF Files

  • Mail merge certificates, letters, forms and more from Google Sheets to Google Docs, Slides,, or PDFs with Autocrat. You can even set Autocrat to email merged documents directly to users for you automatically,

    You can also merge to Google Slides, which is more flexible in format arrangement than a Google Doc. If you change the Page Setup in Slides to 11 x 8.5", it'll print on a standard piece of paper.

    This is so great, Jen! I was going to make one but found yours to send to a colleague. Very clear and concise! I noticed at the 2:30 min mark (also at 4 min), you mention having type the field name in. Did you know that you can actually click on the vertical blue bar on the left to reveal the list of column names? When you click on a name, it is automatically saved to your clipboard so you'll just paste it into the File Name field.

    Thank you so much very helpful video!
    If you get the following error, here's how I fixed it:
    Autocrat says Exception: Invalid argument: timeZone. Should be of type: String when I try to merge
    Solution:
    Change TimeZone(File -> Spreadsheet setting) to others and change back
    Delete all data in any columns that AutoCrat created in the Spreadsheet file
    Run again, It works well for me!

    I have one concern/fear using this method - if Autocrat were to suddenly disappear/withdraw their apps/banned/etc, Id be up a creek without a paddle. Do you have alternative, more secure (or offline) suggestions?

    Hi Jen. Thanks so much for this great tutorial. Could you perhaps assist with incorporating a chart into this merge process? I.e. the spreadsheet has data that needs to populate a chart that goes into the final pdf. Thanks!

    I have a problem with mine. Some people received their certificates blank, with only the name or a placeholder like written on them. Most of them use mobile devices, but those who use a PC browser received their certificates with the proper template.

    Hi Jen. Thanks for sharing this info, super helpful! I have everything set up in a test version and it seems to be working well. I have added a column to my test Google sheet to run the merge with the Not Null feature so I don't have to run 900 past entries that were created manually. I just want to start running data as of May 1st. That works great too and is doing what I need it to do. I am nervous however that manually adding a column (in my live/official version) in the sheet will mess everything up. I am not very experienced with Google Drive and definitely new to AutoCrat. I guess the question is, can I add a column to the sheet without it affecting the data pulling from the form?

    Thank you for your work here. Question: Can I collect all the data from my students at the start of the school year and then selectively merge a particular student to create a certificate? I guess what I'm confused about is...does autocrate email EVERYONE in the spreadsheet? Thanks again

    This is a great tutorial video! Thanks for posting. I have a .png image in my template doc, but when I run the mail merge the outputted docs have broken image links which show up as a white rectangle with a question mark inside. Any thoughts on how to resolve?

      I don't think so since the pictures from the form don't live on the spreadsheet -- they are sent to a unique folder on Drive. Data must be on the spreadsheet to be merge-able

    Is there a time delay in the emails being sent? I am having trouble with the email being sent. PDF is showing in my drive but not in my email. Thoughts?

    Great tutorial. I couldn't get the email feature to work. Everything ran. No errors. But the emails didn't go out.

    the video was wonderful when I was using your exact label template but had to get smaller labels (Avery 1569) and made a complete mess trying to change the template. Where are your videos on how you're getting all these templates that you so easily inputting and pulling info from??

      The templates require a ton of trial & error testing. I start with the MS Word one from Avery's website & convert to Google Docs. Then I just start merging, printing, changing margins, font, & column width over & over & over & over until finally it prints correctly.

    Hello! This video was very useful. Now, I have a question. I am trying to have my DOC update every time I update the spreadsheet. My students get participation "bitcoin" in class. I keep their tallies on a Google Sheet. I would like to update the spreadsheet, and for it to automatically give them their new total on the SAME document that I will share with them automatically at the beginning of the school year.

    While using autocrat, i am not able to connect to my drive to look up the word template if i use my chrome or mozilla browsers. however it works on opera. any idea why?

    Autocrat only sends 100 emails per day with personal files attached. How can this be changed?

    So far I know Autocrats allows 1 header row, but how many columns of data can I merge? I can only merge 4 columns, am I doing it right?

      I'm not aware of a specific column limit. I've merged using well over 4 though

      Step 4 - choose output Type as PDF or Docs (can be a Slide if you chose that as your template in Step 2

      @@JenJonson thank you. I mean. How can i merge the google slide at the same time and the pdf saved in my google drive. ? I cant figure it out the formula in the google sheet. Is that impossible?

      I would just create 2 separate "jobs" (run it twice). I don't think you can export to PDF and Slides at the same time. But if you merge your slides as one full slide deck you can also just File > Download as PDF to save the slides as a PDF
