    Kendra, it's simple and ingenious! You are now also able to track actions on your projects, even if there are several branches within one project (you just put the name of the branch in your index and go along with your system). I feel very inspired and grateful. Thank you!

    Thank you for sharing. This is genius! I've been trying to figure out a way to track project tasks in my BJ without having to rewrite them and being able to reference them easily no matter where they are written in my BJ.

    Love this video! Thanks! The way I see projects is similar to your perspective. I need to see the big picture to decide next step. Hate to rethink every-time so I need to store my thought process somewhere first and trust I can find it easily. I didn’t find much info on tracking GTD projects in bujo out there. I appreciate you taking time to share experiences!

    I love this. Loving all your videos. Question: you said you probably won't add waiting for in there, but do you add your tasks which are waiting for someone else? If so how would you know from the tracking index which are waiting? Last question please: how many next tasks so you add to the index tracking when you have multiple?

    Im so glad I've found your channel! First of all kudos on this system which is innovative and I'll follow up on the evolution, because I too have a bunch of work projects and I struggle to manage them all confidently. Then thank you for saying that you use GTD since 10 and more years which is reassuring as there's quite a debate on the effectiveness and I'm only immersing myself since last year but sometimes I wonder if it's the right way to go. Lastly I like your voice, your simple handwriting and the fact that your planner is very functional and doesn't have distractions. I'll subscribe for more! :D

    Hi Kendra, this is a great idea. I think I'll try to incorporate it into my system as well. Can you tell me how you differentiate a goal vs. a project or do you consider them one in the same?

      A goal is the same as a project in my eyes. If there was going to be a difference, I think it would be that sometimes a goal is better supported by creating a habit rather then checking off to dos (for example, goal of losing weight, supported by habits of exercising 30m every weekday and tracking your food intake of less than x calories per day). But honestly, a goal is a project, as is a problem/issue or challenge. A project is something that takes more than one step to complete. 😊

    I think your response to someone else's question may have answered this but am I correct in that your braindumping, brainstorming, project planning, etc. gets done somewhere else? Then the tasks are added to your list? Asana is working well for me in the same way that most people use Evernote, as an idea storage, but just like you mentioned I can't get an overall grasp of all of my projects and their respective next actions. I looked into the AutoFocus method but I have too many different areas with projects that one long list would be brutal to constantly review. I really think StrikeThru could work but I couldn't figure out where my project planning/brainstorming would go. I never realized that once I pull those next actions out of all the planning, I don't necessarily need to keep the rest with me. I could just reference Asana, email, or wherever the support material is.

      That's correct. I generally don't do many brain dumps because I try to capture as I go. If not directly into the to do lists, then into that small pink cahier notebook tucked in the back pocket of my bullet journal. If I have a large project that requires planning, then I have dedicated planning pages in my bullet journal/planner (2 pages for the onboarding project right now - one is a list of types/areas of onboarding that I need to remember to review, and the other is a habit tracker-like format to track job positions and which parts of the interview guide I have completed for each one). Brainstorming is messy, so I do that elsewhere and put the distilled, coherent info into my planner. (Half the time I can't read my handwriting later anyway because I'm writing so quickly.) Most of my projects are what I have been calling "bookmark projects" - they're not complex enough that I need the whole picture; I just need to know where I need to start when I pick back up again. So my new project tracking page is a list of my bookmarks - if I want to work on a project, I know where to pick it up. It has an added benefit that I can tell quickly whether or not I have a bookmark ready or not, and it's easy to scan (does it have a non-crossed out task reference or not?).

      (pt 2.) I was listening to a webinar through GTD Connect on Projects (after I made the video, ironically - and the webinar cemented I was on the right track). But several people were asking about how to track where project support is kept. A couple of people mentioned that they had a note about where to find project support in their project tracking. I think I already do something similar with my "p" (paper) and "em" (email) designations next to my tasks so I know where to find the backup for doing the task. But I got to thinking that when I get ready to make this permanent, I could also leave a blank line on the Project Tracker before the first task reference starts in case I want to make a note of where the different support parts for the project are being kept (labeled folder for paper? email folder? computer folder on desktop or in iCloud? etc).

      Kendra Bork I just watched the project tracker video and I really like that idea of always knowing if I have a next action ready for each project and what it is. Because I don't collaborate/share with others as much, I just send my emails that have reference info to Asana and the entire email is stored with the rest of the project info. I could always invite someone to the project on Asana if I need to collaborate. My email inbox does a good job of staying at zero but I have not mastered organizing the folders to where I could easily reference things.

      I did consider it, but because I’m not writing out the full task and am not against having more than one task reference number per line, I figure I should be fine. I think there are 10 lines between each project head, so if I get 5 reference numbers per line, then that’s 50 tasks per project. It should be more than enough. But that’s also why I’m using the loose sheet of paper. So I can test my theory. 😊

      (Especially since I’m not tracking all associated tasks, just the next one I need to do when I return to working on the project. If I have a project that needs to be fully planned out, that will happen elsewhere.)

    I was a property manager for over 20 yrs. This is really anal retentive. There is a much easier way to do and keep track of those tasks. If you need to do all that, to make sure a ball didn't get dropped... something is surely wrong. It's not like I don't like your ideas and I especially liked your first video tutorial, but this is a little much.

      Honestly, this project tracking system didn’t really get used long term as I was tracking projects in other ways and this was a trial method. But it was an option that others who use a paper-based BuJo system could potentially take, modify to fit their situation, and use. :) I’m not sure what you did as a property manager, but so you know why my systems sometimes have to be a bit of overkill: I am also an owner of the company and very involved in the apartment associations at the state, local, and national levels (eg executive committee and other committees). The reason I can keep a lot of balls in the air and projects moving forward while still meeting my deadlines is that I make judicious use of placeholders so that I know where I left off. That way I don’t waste time trying to remember what I need to do next. Of course, what I use as a planning system depends on what system is working for me in the moment. Right now I have a hybrid paper and electronic task system: recurring tasks are held electronically and one-time tasks are written on paper. Right now I’m setting goals for 2019, and those will get broken down into projects, but I definitely will need a place to track where I am on the related projects, as my work projects tend to be large, extended projects - not week- or month-long projects. Honestly, I think everyone should use what works for them in the situation that they find themselves at that moment. Sometimes, in the middle of the summer, when I have lease renewals, the accounting side of 105 turnovers to manage, 4 new employees in the hiring/onboarding process (plus all my normal daily/weekly/monthly tasks) and then add in near-daily meetings with city council regarding a section 8 ordinance, various weekly meetings at the local/state apartment associations...plus the national convention and its meetings...I need to be a little anal retentive or risk going crazy/dropping some balls that definitely can't be dropped. (Yes, that was my June 2018.) Definitely do what works for you. If it's overkill, hopefully there's another idea that works better for you. :)
