Streamline Your Newsletter Creation Process

  • If you're getting a digest email with the news you “might have missed” from SharePoint and want to know why one news post is being sent to you instead of another, we are going to explain it all. Microsoft also has an automatic news digest they will send once a week to users. In this article, we are going to focus on how Microsoft decides what will be included and what isn’t.

    Another great video - thank you for covering Newsletters, it is such an under used yet valuable resource in SharePoint. One future video could be on Taxonomy, Terms sets and using the modern (flat structure) for document libraries instead of the traditional Hierarchy and folders. It greatly improves search, knowledge sharing and reduces duplication and confusion. Oh and the magic of document sets!

    Thanks for this great video. Is it possible to schedule automatic news digest as per custom requirement? for ex: send out news digest email on every friday at noon?

      Yes it is possible with power automate. This guy doesn't even know anything.. he just blows off microsoft.

      No, the news digest is an automated process that you have limited control over. It's goal is to make it so you do not feel the need to send manual newsletters or your manual newsletter can be more focused on only things that are truly important.

    I love all of this but where I'm stuck is targeted news. We have a global Intranet and need various regional news feeds to be targeted at the staff in those regions. We can do instead a manual newsletter but then they'll be getting a lot of this news twice, in the manual newsletter and then automated digest. And not sure how to prioritize news but not have it at the same time go out staff who it's irrelevant for.

      If you want to only leverage the automated news digest you will need to carefully utilize the rules that determine what news is sent.
      - News on sites identified as Organization news.
      - Boosted News
      - News published by someone in the users management chain
      - News published by a user they work closely with
      - News on sites the user follows.
      In your scenario I could see a solution where your global news site is marked Organization news. Then each regional news is site is published by the executive for that region (assuming everyone within a region reports to on executive). You should be able to do this with Power Automate without having to have the Exec actually post the news.
      This way each news digest will include the organizational news and regional news as a priority. Then it will fill the remaining 10 spaces with news from other regions.
      Some other options would be:
      - Create regional Viva Connections in Teams that create a more curated stream of news.
      - Use the manual email digest to create specific emails within SharePoint for each region.
      - Change permissions on some of the news sites that you don't think are relevant to other regions. I like this one the least, but it will work and would be highly dependent on where all of your news content is coming from.

      ​@BulbDigital Thank you for the very detailed reply. I'll have to give this all a good think over and do some testing. For the targeting by who published the news, do you know if that means who actually clicked the publish button last, or who's name is listed as author under the title (which I believe you can manually change to anyone)?
