How to use the parkrun virtual volunteer app - v2.0 (QR code addition)

* Please note forgotten information:
- if you upload having scanned your barcode to identify yourself it will add you automatically to the roster.
- The enter your full name option which we didn't show is not a search function, it is a note maker.
- HQ will still be asking for printed barcodes only please from participants.
- If a position token doesn’t scan you can move onto the next person’s barcode and send the unscannable over to the relevant volunteer to note.
- The phone was on mute. The phone will bleep when you press for a time.
- The QR code stays the same unless compromised and it needs changing by HQ.

Great work Danny, love the presentation. I have used the app and am reasonably happy with how it works in practice already, looking forward to the new version. However I have always preferred app for scanning, but a real timer for timing, have found that the screen can be a bit sensitive. However will need to practice with the volume buttons!

Sorry if this has been asked before, or if this seems like an obvious question.. Is there a new QR code issued for each event each week? ie the code used for Surbiton Juniors week 236.. Will you use the same QR code for week 237, or will a brand new code be needed for week 237 and each subsequent week after? Thanks for all your work and of course HQ. Calum

Thanks for the demo Danny. Really fantastic additional features from the v1 version. A member of my core team asked if every event is using the app, can we now scan people's barcodes from their phones if they don't have a physical one?
Glenn Hancock good question and something also missed by me. The push is still for printed only please say HQ.
Great video Danny, thanks. Do you know, is the QR code different per event/week? Just wondered if it as necessary to print this every week or whether the RDs could have a laminated version in a wallet or something? I echo David Heathcotes comments on the layout of the volunteer roster on a printout!

Hi Danny. I have been testing with my android (having used previous app on an iPhone). Camera view is a narrow strip and I'm pleasantly surprised at how far away the token has to be to be recognised (about arms length)
Thanks Danny. You mention at one point "Print Volunteer Rosta" with the option of including the Event QR code. My experience of printing the rosta from that option is that it's really badly laid out on paper, I always take a screen capture of the rosta and print that - then what I see is what I get. It would be nice if someone could tidy that option up within WebFMS. (I realise my criticism is not of the Virtual Volunteer app, but hopefully word will get through...)

Thanks for the post! In my experience the roster has been ok to print if you change the print settings to suit but of course this varies with the tech setup.
HQ may see these comments and take this onboard.
This is great. Particularly as I hope to help with the new ParkRun in Sutcliffe Park.
Do you know if there are any plans to eventually incorporate cheap NFC bands and scanning in future? That could do away with position tokens, if the phone can scan each NFC tag in under a second at the finish. If it can't then it's a moot point.
No plans for that I believe. parkrun don't want to remove human interaction wherever possible.
You might be able to answer this one Danny. One thing that was handy about the previous set up with the app, was when data was emailed in to the event's email, a notification was received - therefore reassuring the RD that the info had been sent. Do you happen to know if the new uploads will generate a similar notification? Thanks for all your work again, Calum

Thanks Danny - volunteers will need to bring their barcodes - but - you mentioned they could be entered manually? You said it's not linked to WebFMS but didn't go on to say what the facility will do (or maybe I missed it) - can we just enter a volunteer by name, if so how does that reconcile with the correct record?
Hi Coops, yes, sorry about that, realised I missed that after the recording. I’ve added missed bits to the video description.
The enter name option is simply a note maker. So it would be there as an identifier with text of your choice for the volunteer without a barcode.
Does the event QR code change every week or is it "permanent"? As you get the option to print along with the roster, I'm assuming there's a date embedded in the code.

What happens if the timekeeper missclicks or the token handerouter drops the tokens putting the position and time out of sync. Is the data live immediately or still authorised and correctable before being published on the website.
Athlete first and position code lockout looks good.

Hello. This was really clear and helpful - thank you. I'm 'just' a volunteer (not part of a core team etc) so it was interesting to see how it will work as I have previously used the existing app for timekeeping.
I was wondering if someone else has tested the new app on Android phones as we have 4 different makes of Android phones (LG, Samsung, Alcatel & Honor) and the existing app does not work correctly on any of them. One phone will not load the app at all, one will load the app but then when it opens it immediately closes, one can time fine but won't scan because the camera screen bit stays black, one will scan fine but then not let you export it.
Thank you for your time making the video. I shall look forward to timing again at parkrun & junior parkrun once it restarts.

Apologies but I won't be able to answer the Android question 100% accurately, but I believe they are testing on an array of devices under the Android banner.
Barcodes that don't scan are to be written down and added later.

uninstall and re-install as there has been an Android update which works, phones with 3 cameras were also an issue that has mostly been resolved, if your phone still does not work after the re-install then email eventsupport@parkrun.com with you phone make and model and they will advise, thanks Chris

So how to tie a knot in the string of the time that we will NOT be using 🤪Also, would be good if you could see the scanned barcode or timer numbers with a different font or colour to provide feedback that you have uploaded them. Can you upload them twice? Can you can another person after uploading and its added?? We love the current app and just know this is going to be so much better 😄 Cheers
Hi Barnaby, attempt at answers: Tie a knot is same as before, noting the person who has a purest set of times. You can upload twice. Yes, add and upload again. :)

How does a scanner get past an unscannable position token? Is there a way to enter the number manually?
Matt Jones good question. No manual entry, you’d have to send the person over to the unscannables volunteer.
You can just move onto the next person’s barcode.
What happens if the volunteer’s phone goes flat mid data collection?
Data *should* still be there when power back on. Ideally battery level checked and phone charged!
Did I miss how to scan a position if someone has forgotten their athlete barcode?
You shouldn’t scan the position token in that case. You should just leave it.
