In a nutshell, use imap email protocol, it downloads a copy of your email and leaves a copy of the original in the server, in case you need to have access to it. pop3 does not leave a copy of your email in the server, once you download it to your computer, it's gone from the server and if you lose it, then it's lost forever. Depends on the organization. If they self-host the mail server, it will be on premises. If they use a cloud service like Gmail or Microsoft 365, it will be in the cloud. There's also a hybrid approach where the admins self-host an email server but run a cloud email server simultaneously.
