Came to that realization a while ago. Just pick a tool and stick with it 'til it's mastered - learn all the in's and out's before trying anything else. That saves time too
You're right there. It does save a lot of time.
I've been using emacs, particularly the org-mode suite of add-ons for a long while. I found emacs ideal because it's my primary text editor, my calendar, my agenda, my journal (I journal on paper then use OCR for a digital copy), my todo list and my email client. Because I use this one tool for so much the ecosystem can synergize and become a greater whole than the individual parts.

Great video! I used to switch apps but I've been with Todoist now for nearly two years (I know that doesn't seem like much - but for someone switching around every six months or so it's a big change. At the same time I've been slowly reducing the factors that lead to overwhelm so that I can just get on and make progress with things. It feels good. Like you'd think it'd be energising to change every once in awhile but it's not because every app has a learning curve. And if you stick with one app, you do learn those curves and how to leverage it in better ways. You've taught me a lot, Carl. But yes, I read and still have my copy of GTD too, and what a privilege to meet with David Allen himself.

Wise words Carl. There are a few other productivity channels I watch. Some of them seem to use 10 or more apps. Just the thought makes my head hurt. I always like your content for the focus

Such a simple concept but very powerful!. Ive been using Todoist since 2017 I have dabbled in a few apps over the years but always came back to Todoist. It just works. I have however switched my notes app as I've recently fallen in love with Notion after taking time to really learn the full in and outs of it after struggling to get into it for years. What really won me over is Databases I use it a lot for notes and personal development whether learning through books, videos, podcasts, even chat GPT and I also use it for project planning and I'll pull project steps from there and put them into todoist once I'm ready to do the next few actions. It's really worked well for me so far. It's also replaced pocket for me because it pastes the entire text from an article and I can use the AI feature to summarize the key points from the articles.
Well this is absolutely the best advice since looking for a time management solution it’s the most time consuming of all. Lol. Btw I did a big change when I stopped all time wasting activities like this.
Sometimes, you need to step back and look at a different perspective. Always a good use of your time 🙂

The difference between the hammer and the todo app is, that the hammer is the best it can be. If the ever comes a hammer that optimized the workflow of the carpenter they would also buy it. Todo apps are still evolving and also changing. So what's the best now can be different at a year. By the way carpenters also have a nail-gun what is like the modern hammer...
If you really want to try out new applications, do not switch. Source 15-20 minutes on your weekend just testing it, and do that for a few weeks. Then figure out what it offers which your current application doesn't and check it there will be any sacrifices for switching.
This way when you switch, you will have waited half a year testing it to make sure you won't have any issues and the transition will be smooth.
Good tip. Although, I'd rather just focus on getting better at doing my work.
Great video Carl! I have been using Apple Notes for a while for my private stuff, while OneNote is the go to tool my company offers me. Using two notes and task manager apps feels odd to me. Is there any advice you could give me?
Well, it's good using 2 notes apps and 2 task managers, if you don't want to mix the work and the personal stuff, specially when your company provides the tools (like Microsoft 365)

So how about the use of old (fashioned?)terms and names like time management for the modern use of the term productivity?
It’s al a fashion race to become the new guru that everyone wants to follow. Therefore new needs are created that are satisfied by new tools.
So if you want to succeed with your tool and system make sure your needs aren’t influenced by anything outside your world.
And then using even an analogue system could work perfectly for you.
Absolutely. It's all about finding something that works for you.
Some of the 'productivity' apps and tools I use are in my third decade of use! 😅

As far as I remember, David is good friends with the gentleman who created it for him. Don't think he needs to worry about the software breaking.
I disagree with you carl. I'm a stonemason from Germany and we use the same tools to get the stone in shape. the manual tools. but you can't compare technical tools with manual tools. We always have to look for better tools like stone saws with cnc etc. they will help in our company productivity a lot.. But let's get to the ground of productivity. GTD is all lists. No more and not less. And how you handle them. You have to decide what goes on them and what not. Many people load their list full and fuller. And then they said GTD doesn't work. GTD works great when realise to say no to many things. Just one look at your Areas of Focus.

We have been using Lotus Notes e-mail/calendar/to-do-lists at the office (in The Netherlands) for about 20 years.

Of course, it's nice for an app to be flexible and comprehensive.
However, it is necessary to balance this situation.

Currently I can only handle all my work with ticktick and mindomo (mind map app).
When I stopped "playing" and began doing the work, that's when I discovered I had more time 🙂
Sad to see it took you that Many years and loss of time to figure out to use what you have.
Oh, I see it very positively. I made the mistake and was gently pulled onto the right track. It's a journey and making mistakes is important to learn the right lessons.
I believe he thinks it's not worth it to migrate his entire system to another more up-to-date program. But he uses other more modern programs along with it.

I think DA & the GTD team has moved on to the Office365 suite of apps. As a GTD Connect member, I was lucky to see some of DA's lists in action.
