How to Be an Effective Project Coordinator

    Getting a project coordinator job is a great way to get into project management. It’s one of the few project management jobs you can get without any direct project management experience and where you can effectively learn another role on the job.
    I know loads of project managers that got their start as a project coordinator. I also know a number of highly skilled and in demand project coordinators that love their job and have no intention of becoming a project manager.
    The project coordinator is at the heart of the project and it’s their job to make sure that the project runs smoothly. They help the team manage the flow of information and are responsible for all of the administrative tasks. This includes updating the schedule, document management, report preparation and distribution, communication support, and keeping the various registers up to date. They’re also the best person to talk to if you need to get something or meet with someone in the team. Sometimes they coordinate diaries, travel and meeting invites but this is not always the case.
    Project coordinators use a range of tools such as spreadsheets, financial management systems, project management tools and word documents so they need to be comfortable with a range of technologies.

    I just started a position as a project coordinator and this video was great, it gave me a sense of feeling that I am doing what I am supposed to do and that I'm on the right track :)

      @@miamahalo no you don’t you can do google and get a certificate for it that’s what I did and was able to get work after passing the exam. It I believe 30 hours of actual class time and then you study for the CAPM

    I have been doing the role of project coordinator since six years and have always found myself confused in this role because everyone expect me to do PM tasks with peoject coordinator salary. It is important to know the lines between these roles so as not to get exploited as well.
    What are the difference between the PC and PM ?

      Hi Sunflower, that’s a great question! In all honesty project coordinators tend to do much the same work as project managers. The main difference is that you’re doing the supporting work, such as taking minutes in meetings, chasing people for status updates and liaising with vendors. It doesn’t mean your work’s less valuable though, just different. Project managers quite often pass on some of their work to the coordinators when there’s a lot going on so I'm not surprised that a lot of what you are doing looks like it’s PM tasks.

      actually project coordinator is the second hand of pm et you will gain insights and experience of how pm work in reality and then you can move to this position when you have enough experience( some friends told me so) like i am a project management graduate, i still need to begin as project coordinator

      I'm definitely being exploited right night. I hate working and I'm over this. A $2 raise which puts me at $18 an hour for carrying this multi million dollar business. These people are gross 🤢 I'm ready to buy a van and travel maybe leave the States. Just beyond burned out.

      @@Debbi.O fantastic question where do I start. My position is on a secondment basis. In my substantive position I am a Team Leader for 10 secretaries and two medical consultants. I oversee all their work recruitments. I ensure all tasks are completed and followed up. I manage the consultants diaries ensure meetings are booked and accepted. I ensure clients are booked in to see the consultants and follow up is arranged. I ensure clinical correspondence is written up and communicated to the consultant and the client. I deal with telephone consultations regarding my consultants availability for meetings. The list goes on, but based on my experience I was offered the secondment. I am learning so much. It's so different, but rewarding. I got the role because of my experience and my transferable skills. Good luck. There are loads of jobs in London at present in this field. London is my hometown.

    Im working on the BPO industry and my team leader is encouraging me to apply as one of the accounts program coordinator. But im hesitant since ive never had any experience and the closest ive been with events and programs is when i was doing videography on weddings. What should i do?

      Hi Tong, that's an interesting one. I'd suggest you speak to your team leader about what experience the coordinator will need. Keep in mind, they must see something in you or they would never have suggested you apply! Once you know that, you can decide if it's something you want to do. It sounds like it's an internal position, so you should already be familiar with some of the systems. If not, ask if you can get training on them. Doing videography at weddings will be great experience. You'll be used to communicating with loads of different people, getting a plan on paper, sticking to a plan, sorting things out when they go wrong and getting people to do what you want. All of that are great skills that a project coordinator will use in their day to day jobs! Good luck with whatever you decide!

    Often times as a project coordinator
    Especially since I am in a 3rd world country. Things get tough and I find myself ending up paying for procurement. Does anybody face something like that or am I just dumb ?

      Hi Ibrahim, thanks for the question - sorry, I'm not sure what you mean? Are you paying personally? Here in New Zealand, we don't pay for procurement unless you outsource it to a 3rd party, for example using a recruitment agent to find staff.

    I started working as project coordinator in program that contains multiple projects. I had to learn about each project in details and also manage risks and issues at program level. I'm still confused about what I should and shouldn't do . Many projects managers keep their work to themselves and treat me like an intruder in their work. I always explain that I'm there to help, i don't intend to disturb. But many times they think project coordinator is just a spy sent by the project lead to oversee project managers job. This is so much disturbing in my day to day work.

      It’s not you and you’re not alone! Horrible as it sounds, every project coordinator goes through this at least once.
      Here’s some suggestions to help you get over the hurdle.
      • Find other coordinators in your organisation and talk to them. They’ll know exactly what you’re going through
      and will likely have strategies on how to help.
      • Speak to whoever it is that you report to or send information to. Work out with them what is critical and when it
      needs to be ready. For example, if risks and issues are part of a weekly program management meeting that
      happens every Wednesday you need to have them by Tuesday morning so you can get the report ready. This will
      give you a schedule that you can share with the project managers as to when they need to have the information
      to you.
      • Do you have a project management tool? If you do, get a mandate from the Program Manager that all data
      needs to be in there, no exceptions. That will stop you having to go round every PM to get information. You'll
      likely have to bug them about updating the tool but the information will all be in one place instead of 100.
      • To get round the spy thing, start praising the Project Managers that are decent. E.g. after the program meeting you
      could go to one and say something like, “thanks for the great risk report. Senior Manager thought it was really
      thorough.” Something along those lines, to get people onside.
      • Finally, if all else fails, look for another job. No job is worth making yourself ill for.
      I hope this helps.

    So I got a job offer as project coordinator for automotive manufacturing- engineering related.
    I have no experience at all or prior knowledge about the role of project coordinator so I am kinda stressed out about taking the job.

      Hi Abdulelah, congratulations on your job offer!
      Don't stress, the fact that you got offered the job means they like you and are happy with the experience you have.
      I'm not sure what you're asking about re the schedule, shift etc. I'm assuming working hours - that should be agreed with your new employer. Each company will have their own rules.
      As for tips, my suggestion would be to spend the first wee while learning who everyone is, how the organisation works and what they expect you to do, as each job will have its own quirks.
