Wow! This is awesome! I had a bit of a meltdown today because I was so overwhelmed with my bookkeeping. I have dyscalculia and some PTSD over mathy things. I'm going to have to watch this many times. Thanks for this!
I feel like I just took a Master Class. You're flying through things in Numbers that I find an absolute PITA to do with Excel. Thank you for this video
At 59 and retired I enjoyed your video. Wonderful video. I have been using Excel for years on an old HP with windows 7 😆 and just bought a MacBook Pro 14 so my mind is blown. Took me half a day to watch and take notes then create as you did. I have watched some basics on Mac so I loved the challenge of all the simple things like copy paste etc and when to 2x clicking columns!! Looking forward to watching more of your videos.
I am a true beginner and honestly I felt as if I needed to know a few things before I watched this, thanks for the lesson I’ll comeback and learn from you after I learn the basic and shake off my frustration.
you are a lifesaver!!! i’ve been searching everywhere for simple software for my small business, but i knew there had to be a way to do this in Numbers, and i created it as i watched your video. ❤Thank You so much.
Gary you are so knowledgeable and communicate the features so clearly & easily. I used to use Windows for Mac until I started learning more about Numbers. Your videos helped with that transition.
Thanks Gary for a well explained example. I was able to create a spreadsheet to let me know how much I spend in any given year on my Mastercard and where I use it. Very handy.
Thanks for that. New to Mac and find your tutorials better than most because you go reasonably slowly. Seniors need that. I’m tired of yelling stop, stop, stop at a video that is going light speed. 😬
I knew I could do a lot more with spreadsheets than I was doing and this video showed me everything I needed to simplify my tax accounting reports! Thank you!
I think it is great that these videos are so unpolished yet so informative. Being a longterm Microsoft user and converting to Apple products, the transition has been enlightening and while Numbers does everything pretty much that Excel does it doesn't feel as intuitive but maybe that's over familiarity. Keep up the good work.
THANK YOU!!!! You have guided us all through this process so brilliantly. Thank you so much, I have tried to play around with the Mac Numbers app for sooooo long & I just couldn't figure it out. Without you creating this video I would still be using pen & paper trying to calculate everything & given up on trying to work out how to use these sheets. This whole video is worth the watch & will help any one with their personal accounts or businesses forever THANK YOU!
I have used Microsoft Office for many years and I was curious to see how feature rich Numbers is when compared to Microsoft Excel. I don't have a Mac as yet, but I think that Numbers will definitely meet all of my needs if I decide to purchase an Apple laptop. Thank you for the excellent video!
Thank you for this. Setting up my business accounts for the first time and this is really helpful. I pretty much made my spreadsheet with the formatting you did, I'll add anything needed as I go along.
Thank you Gary! Your tutorial was awesome. I built my spreadsheets as I watched your video and now I am ready to start doing my bookkeeping. I love your videos!
sorry to be off topic but does any of you know of a way to log back into an Instagram account? I was stupid forgot the account password. I appreciate any help you can offer me!
@Nickolas Reuben thanks so much for your reply. I got to the site thru google and im trying it out atm. Looks like it's gonna take quite some time so I will get back to you later with my results.
Your video was extraordinarily helpful. I made my personal and business financial spreadsheet with an automated dashboard! Now I don't have to hunt down my mistakes, I can just use the formulas you showed me and display things so nicely. Thank you!!!
I've just stumbled onto this when it appeared in my YT feed. Great job!. I've never really explored Numbers beyond using it a 'smart calculator' but this video has revealed so much more it can do.
Gary ..you're a pro..What I would really like to know is how to protect formulas so they don't accidentally get deleted by a novice user...Also using a iPad you lose a lot of functions or they are really hidden well..
How do you add a recurring expenses / fixed costs such as insurance premium or software subscriptions (that use automatic debit payments)? so that we don’t have to input them manually every month
Hi Gary, excellent video! Thank you so much. I had a quick question regarding cell 'total 1' I noticed the amount does not change depending on the year. I wondered if you/anyone else had the formula for this so it changes depending on the year? Many thanks
Not sure what you mean. Can you be more specific? This is a 47-minute video that I recorded 3 years ago (have made probably 500 videos since then). What is the formula right now and what do you want it to do that is different?
I can't thank you enough for your help. I created one following your footsteps. What's the best template for a tiny nonprofit ? How to make a 'statement of activities' in numbers? Please guide. I am 0 level learner and have the need of doing bookkeeping as I have a nonprofit with almost zero income but have to keep the records.
There is no one-size-fits-all solution. Each business has different needs and each user has different abilities. If you really want to build your own (as opposed to using an accounting app/site) then you've got to come up with a spreadsheet that is customized for you. You can always work with a bookkeeper or accountant on it and let them help you.
Gary, thank you for this video! its just what i was looking for! trying to get our family organized on our finances and track where all of our money goes!! And most importantly where we are spending the most!! I saw the Personal Budget template but I wanted to do several different things and you answered my questions with this video. Thanks again!!
Hi Macmostvideo, thank you for your valuable teachings I am learning a lot. But I just want ask you one think, I have a new external hard drive usually I am using it in windows but not working in my iMac. I would be pleased if you make a video about it or if you have old videos can you plz send me the link ? I tried to search but I couldn't find any. with more respect 🙏.
Hi - This is brilliant! Thank you. I grew up with Excel, so this is a brilliant quick root around, and helped me develop exactly what I needed for my small business. Well done. And again, thanks for the work and support.
Hey Gary! In ONE WEEK, I went from meltdown over bookkeeping with paper to a fully built spreadsheet! I have a General Ledger and a Profit & Loss summary sheet with totals both for YTD AND a Running Total! Now, Can we make it play a "Ta-da!" sound or event when I click that it matches what the bank has? 😁🤣 Thank you SOOO much!! -G
I was just looking for this, I need to become a Patreon. You always have helped me out big time. If I'd file my contribution as a Patreon, what would that fall under, profesional services or something else? You are the best
I''m new to Macbook and have learned so much by watching your videos, thank you. Question though. What if I want to filter by month and year? I've added a month table like the year table, added the month and if month columns, etc. and the filters but it just isn't working like I thought. Thanks in advance.
Hi Gary. Thanks for all the great videos. I added an image of a receipt to my business spreadsheet cell to correspond to the entry but I can’t subsequently open it to see it again when I need to. Any advice? Regards.
If you added an image to a cell it is now just the background of the cell. That's all you can do with it. A Numbers spreadsheet is no a good place to "store" receipts. Instead, just put the well-named file in a folder in the Finder that contains your receipts in case you need it. This will also save you from ending up with a massive Numbers file.
Thank you for sharing this video!! It was really helpful for me since I have a new MackBook and didn't know how to use the new Number style. :-) After watching this video you helped me to understand this new system on MackBook 🙂 Have a great week!!!
Gary do you have your Numbers tutorials in order eg. starting from basic and building up the knowledge base- eg 1st video, 2nd video etc. Loving your tuts .Mick
For that I have a course at courses.macmost.com. My regular tutorials don't really work that way: for instance I may talk about a topic and show the basics and advanced tips all in one video on that topic.
Gary, thanks so much for sharing your expertise! I downloaded the file you shared but discovered I am getting an error when adding subsequent rows in the "Is Year" hidden column. The formula is not following down the column and is instead marking the cell with a blue triangle note which says "The formula was replaced with its last calculated value." Why is the formula not continuing to function when rows are added and how can I correct it? I have to recopy and re-paste the formula to subsequent rows as a work-around.
Maybe I missed it in the video but I was wondering how to make a blank template (without any values entered) out of a created spreadsheet so that I can use it as a blank template. thanks for the videos. Ive learned so much in the past 24 hours from you and I've never used spreadsheets in my life.
Thank you for putting this tutorial out here, its been very helpful but, when I get to 47:25 in this video, you don’t point out which button to click to get my amount in my income summary. I followed this to a tee,but I don’t know if I should hit enter, the green check or what. I am not computer savvy so if I sound ignorant, it’s because I am. Thank you
My apologies, the time was approximately 15:45, but after going over it many time, I figured it out. Thank you for responding so quickly and for putting out tutorials they’re very helpful.
One year late, but I did enjoy and learned from this video. I do have two questions. 1) In the cells with a formula in it, how do you protect them from a user overwritten them? 2) On your summary table, if a new category is added in the detail tables, can that new entry be automatically added to the summary table? Gary, as always, you are an excellent teacher and I thank you for sharing that knowledge with us.
Great tutorial! I would like to set one up with a worksheet for each month. When I copy and paste the worksheet, the formula's keep referring to the first worksheet. How can I tackle that?
Hello, Gary. A couple of years ago, I watched you do a different video on a basic business spreadsheet. I can no longer find it on your channel. Specifically, I remember you setting up the spreadsheet, and then you created a column called the Due Flag and its input was either a 0 or a 1. Does this ring a bell and is this video somewhere on your channel. Thank you.
Thank you for the great spreadsheet. I am having trouble with 1 thing though, every time I add a new row, a blue triangle comes up in the “Is Year” column. It says it couldn’t copy the formula. Is there a fix for that? The only fix I have found is to copy and paste the formula into that particular cell
Yes. You can build it that way. You can just use the Find command in Numbers, or you can create something more complex with formulas, filters, other tables, etc. It depends on your spreadsheet skills.
I use NUMBERS app once a month for Inventory for a place I work at. My father has a nice graph sheet of each coin detailed on every line using the BLANK template (NOT CHECKLIST) Now, I want to know if theres a better way to add a picture of the coin on each line without having to take up 3-4 lines worth which makes the graph extremely stretched out & long.
Hi Gary, great tutorial, thank you!! I have a question about the functionality of a formula within a cell when the filter is on. When adding a new row in the Expenses table and the “Text is true” filter is turned on, the true/false function “a=b” in the “Is Year” cell of this newly created row appears broken: “The formula was replaced with its last calculated value.” I noticed that when turning the filters off this does not happen. Is there a way to make the a=b formula work when having the filter on? Maybe a tweaked formula of some sort? This would make the table more workable in the future when I have years of input in the table. ;-)
Depends on the bank. Usually a bank should allow you to download a CSV file. Get that and you can open it in Numbers. Then copy and paste what you want into your own spreadsheet.
Hi, very nice video, thanks. I have a question. Is it possible to have pop up menus depending on an entry? Let’s guess for example I choose the category “travel”. Then on the adjacent column I would like a subcategory pop up menu where I could choose among train, airline, car, etc... Or if I’d selected the main category as “meals”, the subcategory popup menu would be updated with “restaurant, takeaway, pub, etc...”. Is this doable? Many thanks
Hi Gary, I am new to your channel and right this minute, crying this video. Fro some reason, on the SUMIF I am able to do the formula, but it comes up with 0 on the Office expenses, however when I copy the formula, for the other lines, it works perfectly well. Any idea of what the problem is please? Kind regards, Nathalie
Hi great video, is there a way instead of having the summary divided into each tax year, to have it between two dates? My business year is 5th April to the 4th April the following year! Very new to this but any advice would be greatly appreciated.
Awsome presentation- my only thing is a “preface” stating that “sheets” feature Carrie’s a relevancy from one sheet to another* … I was not following the jumping between the “ sheets” wholly …
This is so helpful thank you. Is there a way to add a currency category, so that it if i input CAD or USD in a column that it sends it to a different summary?
I teach nested IF statements in ua-cam.com/video/4Kdr9d8Zl6k/v-deo.html , but the problem you have can't be solved by that. There's no way to use a formula to have the value set once, and then not update. The whole purpose of formulas is to have them update. Formulas don't "run" like programs they always reflect the values they reference. So to put the date in a cell, you have to use the Insert menu or type it. No way to use formulas for that. Or, use a formula, but select it, copy, then Edit, Paste Formula Results when you are done entering a row of data.
If I want to have a separate spread sheet for each month of the year, is it possible to have them there where you currently can select to view Expenses, Income and Summery? Like the first option would be to select the month, then either expenses, income or summery?
Not easily. I would recommend against separating things by month. It will make all sorts of things more difficult. Just put all of the transactions in a table together.
@@seagas2944 Not "the lead" key, "Delete" key. But I only needed to do that because I needed to cancel out the pop-up in that cell, clear it as it were, and then I can type.
@@macmost Thank you very much. I managed to set up the full spread sheet except for “Other” couldn’t get that formula to work. Seems not to like TRUE/FALSE rather blue triangle in top left corner of cell. All I really need is the error exclamation mark to be clear of the missed expense or income input. The total I need will add up when I update the missing category. Your so amazing, I love your content channel, knowledge and teaching skills. 😀
Doing a personal expense report and loved this super simple idea... is there any of doing this on a month to month basis? I want to be able to keep track of earnings. I like how you were able to see the different expenses during the years but I would like to see it done by months. Thank you.
I have a question and I now it's not necessarily on this topic. How do you glue together several tables in numbers to make one big one.. they are one under another with the same size on the same spreadsheet. Many thanks in advance!
I found it hard to keep up. I tried doing a spreadsheet along with you but I would get a false or a red triangle in the summary column using the expense and summary pages
Do you know of a way I could make a spreadsheet to calculate bread recipes? Like bakers percentages. So if I put a different flour weight in it would change all my ingridients to match.
Definitely. I don't know anything about "bakers percentages" but just work out the formulas for each item and build the spreadsheet. It sounds like you just need multiplication (or division) to do that. Should be relatively simple.
HI Gary, video at 8'20", how did you automatically fill up the "Category" column in "Summary" table with the contents in "Category" column in "Expenses" table? or you used "copy&paste"? thanks!
Hey Gary. Trying to do a similar sheet to yours, oh it takes so much time and effort. I wonder do you have any similar or updated video on expenses and income? Or do you suggest using any other apple app for this (it’s been two years for this video). Also is it possible to attach receipts? I would like to be able to capture quickly the data and add it especially on phone.btw this sheet shows sums of one year not total sum right?
You know what, nm my question below. I realized Box gives me the option to open in Numbers and doing so retains all my Mac preferences. :) Q: I've built a spreadsheet in Numbers and uploaded it to a shared Box folder. Now the horizontal scroll bar keeps disappearing. Does anyone know how to make it stay (both scroll bars) when opening Numbers on the Web via Box? Thanks.
Thanks so much for that - A really dumb question for anyone who knows more about numbers than me ( which will be most of you ). Is there a way to filter data to display the financial year (i.e. 07/01/22 to 06/30/23 )for Expenses , Income and Summary tables ?
Create a new column for the financial year. Then use functions to calculate that year from date ranges. Not easy if the financial years aren't the same as the actual year.
Is it possible to create a search cell that would generate an entire sheet? I am working with a class of students and want to use the spreadsheet with one sheet (type in student name, it brings up their data from other sheets)
Wow! This is awesome! I had a bit of a meltdown today because I was so overwhelmed with my bookkeeping. I have dyscalculia and some PTSD over mathy things. I'm going to have to watch this many times. Thanks for this!

Really useful stuff thank you Gary

@macmostvideo I got the same situation. Any fix yet? #macmost #macnumbers
Could u use a lookup kinda deal where u can search a specific date or number and find that part of the spreadsheet?
Yes. You can build it that way. You can just use the Find command in Numbers, or you can create something more complex with formulas, filters, other tables, etc. It depends on your spreadsheet skills.

Is there a way to make the a=b formula work when having the filter on? Maybe a tweaked formula of some sort? This would make the table more workable in the future when I have years of input in the table. ;-)
No you should always only add rows when the filters are off.
Man, you rules! Thanks a lot for all
This was really useful, thank you. Is there a way, as I'm in the UK, to change the year part to do from April to March (this is our tax year)?
You can set it up any way you like. Use this video to learn the basics and then expand on that.
Hello! Thank you for your video. How can you import bank transactions into this spreadsheet for Mac.
Many thanks
Thank you this was very helpful.
Check the cell references carefully. Make sure it is referring to the correct cells.
Hi great video, is there a way instead of having the summary divided into each tax year, to have it between two dates? My business year is 5th April to the 4th April the following year! Very new to this but any advice would be greatly appreciated.
Something like this: ua-cam.com/video/p1tqSLkxHdA/v-deo.html
Awsome presentation- my only thing is a “preface” stating that “sheets” feature Carrie’s a relevancy from one sheet to another* … I was not following the jumping between the “ sheets” wholly …
Thank you for the excellent video!
This is so helpful thank you. Is there a way to add a currency category, so that it if i input CAD or USD in a column that it sends it to a different summary?
I tried to do it, but don't know how to add a second condition to SUMIF, let me know if this makes sense
This guy is the best
Thank you for this tutorial!
Where can I find out about using a nested IF statement in Numbers? I used IF B5
Great Tutorial Gary!! What is "hit the LEAD key"...pop up menu?
I don't know what you are asking here.
Pop up menu 31:02
You solve query by “hitting the lead key”
What is the lead key?
Hi Gary, I have grey grid lines and know how to remove them in a table for for some reason some cells keep the grey outlines?
How can I add a collem for inventory for expences to remove from inventory from income sales?
Doing a personal expense report and loved this super simple idea... is there any of doing this on a month to month basis? I want to be able to keep track of earnings. I like how you were able to see the different expenses during the years but I would like to see it done by months. Thank you.
Nvm my brain seemed to have been working haha thanks for the informational video!
I have a question and I now it's not necessarily on this topic. How do you glue together several tables in numbers to make one big one.. they are one under another with the same size on the same spreadsheet. Many thanks in advance!
Thank you Gary. You inspired me to create some other spreadsheets that would help in my day to day work productivity. Much appreciated 🙏
I found it hard to keep up. I tried doing a spreadsheet along with you but I would get a false or a red triangle in the summary column using the expense and summary pages
Me too.
I come back here every year 🤣🙋♂(usually cursing SUM...IF)
Do you know of a way I could make a spreadsheet to calculate bread recipes? Like bakers percentages. So if I put a different flour weight in it would change all my ingridients to match.
Definitely. I don't know anything about "bakers percentages" but just work out the formulas for each item and build the spreadsheet. It sounds like you just need multiplication (or division) to do that. Should be relatively simple.
HI Gary, video at 8'20", how did you automatically fill up the "Category" column in "Summary" table with the contents in "Category" column in "Expenses" table? or you used "copy&paste"? thanks!
Looks like just a simple copy and paste.
Sounds like you are looking for more sophisticated accounting software (or a service).
@@macmost not really just moving from notion to apple apps. (Personal balance not business)
Awesome spreadsheet! How do you suggest we keep track of receipts? Can you create a columns to import or take a picture or scan a receipt? Thank you.
Really helpful. Thank you!
You know what, nm my question below. I realized Box gives me the option to open in Numbers and doing so retains all my Mac preferences. :)
Q: I've built a spreadsheet in Numbers and uploaded it to a shared Box folder. Now the horizontal scroll bar keeps disappearing. Does anyone know how to make it stay (both scroll bars) when opening Numbers on the Web via Box? Thanks.
I'm going to make my teenagers watch this video. Better than a whole semester of econ.
Awesome. Thank You...
THANK! YOU!
@@macmost Thanks for getting back and all the great work you do :)
this was so helpful. thank you!
Is it possible to create a search cell that would generate an entire sheet? I am working with a class of students and want to use the spreadsheet with one sheet (type in student name, it brings up their data from other sheets)
