OH MY GAWD, you just blew my mind- I've been tracking my expenses with pen and paper for the last year bc I didn't know squat about spreadsheets (and was intimidated). I'm now actually excited to make my own thanks to this video. Thank you so much!!
Thanks so much! Im trying to get my head around Numbers after decades of Excel Yours is the first tutorial I've seen that really explains what a Pivot Table is and how it might be useful.
Very useful, Gary. I've done this for several years in Excel. What you've shown looks much simpler than what I created (I have dropdown menus for the Categories). I will be trying out what you've so well explained to get a record of expenses with less effort than I've had to put in over the years. Thank you and best wishes for the Season and the coming New Year. As usual, you've knocked this one out of the park!! Thank you.
I was jotting down (pen & notebook) expenses for our home renovation and all the inserts etc were a nightmare so now I am transferring the written info to numbers - thank you for this wonderful and easy to understand tutorial🙏
I try to live by "KISR" Keep It Simple Ray - but often fail. Thanks to you, Gary, my extremely complex self made Numbers Monthly spread sheet can be made into an easy to use and read Spending sheet. I'm back to KISR in my expense tracking. Thanks, Gary !
Thank you for the tutorials, this is really life-saving, im working on my new spreadsheets for household expenses because I found ur tutorial is a new level.
Spectacular, as always! I did my tax records for 2023 in 3 hours, granted that I had to look for the data in a very defective table that I have used for a year! Thank you very much!
Gary, you’ve given me the confidence to build my own expense spreadsheet. I’ve been looking for one already formatted but they never seem to fit my needs. I can’t thank you enough for your video content and the way you present the information is amazing.
I’ve been tracking expenses since 2005 with a separate page for each year. It was good enough for me, however this tip will revolutionize my efforts going forward. Thanks.
Just discovered your videos and they are excellent. As a Mac user since 1987 I am still shocked how much there still is to learn. I have watched your Numbers videos and learnt some things I had not considered. For example I have been using a seperate sheet for each month and just duplicating a sheet when I have it setup the way I want. Here is my issue. I want to do something like you show in your checkbook video and tracking expenses video but I want to combine these ideas. What I mean is I have multiple accounts such as a chequing account and Credit Card account and the expenses are common for both just two different places the money comes out of. What I struggle with is am I best to create one sheet and have multiple tables on the sheet for each account or one sheet and one table and a pop up of what account it is from and then use Pivot Tables to pull it all together. Are you able to suggest the best way to do this or maybe use this idea as a video topic Gary?
Thank you for this! I did add the starting balance to the first row and did the formula from the next row down. This seems to be working well and I did not have to add a separate table for the starting balance.
Hi Gary, I’ve been doing that for some of the past years. I go all the way down on my expenses for a year and I keep sheets for different categories such as expenses, money that I make, bank payments on credit cards, gasoline on my two cars and figure out what I do with my money. This is a way to handle your earnings as a business man, especifica you’re retired. Thanks for sharing our expertise, pretty useful
Gary - great video! Much appreciated. I stopped using Quicken when me and my wife switched to Apple Cards cause we could not automatically import the transactions. I have have already using some basic spreadsheets to just calculate the household expenses, but this just gave me some additional ideas on how to do track all expenses! Great work!
Was looking for a way to track our mortgage payment info ie date, amount, check #, and USPS shipping information; and this is exactly what I needed...Simple and straightforward.
It adds a dimension of complexity, but of course many people keep such detailed records in a spreadsheet. Just figure out what you want to track and design it.
Thank you Gary. These short videos are a great way to help us to develop our knowledge. Is there a way to clear cell history description. I mean when you start to type in a cell and it shows all previous entries in that column. These previous entries can get out of hand. Thank you.
@@macmost Thanks Gary, I was thinking when you typed a lot of entries into a column cell, they are all stored and I wondered if there was a way to clean this cache stuff out. I only recently found the channel. It's great and you are very professional, thank you from UK.
Very helpful video and you can apply this same in other spreadsheet apps like Excel or Google Sheets too if you have a Windows PC and want to access there
This is excellent. Thank you very much. I have been looking to really keep track of my expenses now that I am retired. I will be using this .... will have to study how to do it. I appreciate YOU !!!
Very interesting information that I did not know how to do. Can you use pivot tables with the MAC template "personal budget" or will it crash the pre-formated template?
Love this! Would it be possible to have sub categories (e.g. Food/Groceries and Food/Dining Out) and have the main category (Food) and / or sub category data (Groceries, Dining Out) show in the pivot table?
Yes, keep it simple or your summary pivot table will become useless. On the other hand, you can always add another column. So the Category column could be "Entertainment" and the Subcategory column can be "Movies" or "Concert" etc. Then don't use the subcategory column in the pivot table at all.
You wouldn't use a pivot table for that. Just use SUM in your regular table. But you need to have them all in one currency for that, of course. So maybe another column where you list the cost in a single currency at the time of the transaction, and then a SUM in the footer row?
Gary, thank you for your informative content. Please create a video explaining how to troubleshoot the "category" column when it only gives you an option to pick from a pre-selected list instead of typing out the customised category list.
Hi Gary. I want to say thanks for your video on Numbers. I have just set up as a self employed delivery person for Just Eats and a few other ventures and was wondering how to record it. I will now be able to see at a glance what is working and what is not. I have a question - if I filter so I can see what is relevant such as you show on the later part of the video and keep it on that does the background data that is hidden still keep refreshing? kind regards Jim
Hi do you mind going over how I can delete the currency symbol from a expense spreadsheet in the amount column so that I can sum or average them. Thanks
Not sure what you mean. The currency symbol won't stop you from doing calculations. Put perhaps you typed it in some odd way, with some extra spaces or characters? When you select the cell with that value in it, at the bottom left does it show TEXT or ACTUAL VALUE?
Not sure what you mean by a "cash flow." But think about how you would do it on paper and then built a spreadsheet to do exactly the same thing, for starters.
This is amaaazzing wizardry thank you so much! I want to use this for my tiny artisanal/art business. Would it be possible to add income to this sheet to compare and calculate to substract the expenses and calculate profit? Or should i create a separate sheet for that?
Great tutorial! Very helpful to me as I am just learning this program. Question, is there a way to add a row at the top easily or automatically? As the list of expenses gets longer it’s increasingly time consuming to scroll to the bottom of the table and add a row at the bottom, especially if I’m using my phone. I’m currently primarily using the latest version on ipad(with a keyboard).
First, you can just use the "End" key on your keyboard or FN+Right Arrow if your keyboard doesn't have one. If you really want to insert at the top, you can select the first row under the header row, can click on the number to the left or use Table, Add Row Above.
Yes. Select the Table tap it to bring up the context menu. Then select Table Actions. Then Pivot Table. Or, select a set of cells, context menu, then Cell Actions, Pivot Table.

Can relate..I have started an Expense Journal spreadsheet and have listened to this video 4 times as I have worked on my journal..
I've learned in 11 minutes more about how to organize a spreadsheet than in endless tutorials. Thanks for sharing this.

A very useful and informative video tutorial today! I always learn something new! Thank you, Gary! 👏🏻❤️
Once again, you find a way to explain things simply, encouraging us to try them.
Well done!
Very useful, as always. I made my spreadsheets years ago before Apple offered pivot tables. What a bunch of work that was.
This might be the single greatest video on UA-cam!!!
Excellent tutorial. Very useful approach to keeping track of this data. Many thanks!
Just what I've been waiting for. Thank you so much Gary. Great video as always.

Basic rule of thumb: If the data is similar, store it all in one big table. Use other tables to extract summary info, etc.

You can turn it off, but it certainly comes in handy in the Category column where you should have a small number of possibilities.

Very interesting information that I did not know how to do. Can you use pivot tables with the MAC template "personal budget" or will it crash the pre-formated template?
Probably. Why not create a sample document and see what you can do. Playing around with sample documents is a great way to learn Numbers.
Love this! Would it be possible to have sub categories (e.g. Food/Groceries and Food/Dining Out) and have the main category (Food) and / or sub category data (Groceries, Dining Out) show in the pivot table?

Gary, thanks for the useful content!
Is there an option to calculate the total amount of expenses in the pivot in case I use multiple currencies?
You wouldn't use a pivot table for that. Just use SUM in your regular table. But you need to have them all in one currency for that, of course. So maybe another column where you list the cost in a single currency at the time of the transaction, and then a SUM in the footer row?

No. How that would work really depends on your specific needs.
Very useful material. Thank you!
nice, I will try setting the up it would be less work than what I am doing now. Thank you
This is very helpful. Thank you. Is there a way to add a feature for zero-based budgeting? Ex. every dollar has to be assigned to a category
Not sure of the details of that, but I'm sure you can work it out once you learn basic Numbers skills.
Thank you! This is very helpful.
Love it, really you are the master. Thanks and keep it up!
Gary, thank you for your informative content. Please create a video explaining how to troubleshoot the "category" column when it only gives you an option to pick from a pre-selected list instead of typing out the customised category list.
Not sure what you mean. You can type whatever you want in the category column. There is autofill, but you don't need to use it.

Yes. You can test it for yourself and see. (Testing things with sample documents is an important technique when working with spreadsheets).
Do you have a video on using the Project Breakdown in Numbers?
"Project Breakdown?" I don't know what you mean by that. There's nothing in Numbers called that.
