Yes, I am with you. Why not just start a Team if you need a long running chat. Then you can use subject lines and organize the content. Am I right.

In a recent lesson, I mentioned that if you forget to stop a recording, it will automatically stop when the meeting ends. But what if the meeting does not end because someone forgot to leave? Now what?

Microsoft moved some of the Outlook Settings in 2024. So, I figured it is time to update the Out of Office video. The overall concept is still the same. The biggest difference is where to start. These instructions work for New Outlook and Outlook on the Web.
I have a tough time with the iconic RE20 knock off. The mic has been a staple for decades. It really bothers me to see this design copied not to mention an unnecessary $65 pop filter on a mic under $200. You could have purchased the real deal for slightly more and with proper technique no filter needed.
Are talking about my Rode Mic? I don't know a lot about audio so I bought something that was recommended. Never heard of an RE20 until I read your post, so I did learn something new and that is always a plus. Also, I don't disagree with you about technique, that some people are amazing at controlling their voice when recording. I don't claim to be that amazing yet. Thank you for sharing something that I can research. Do you happen to know of resources that would help me develop my skill speaking to the mic?
Does Microsoft forms have duplicate detection built in ?
For example I use an application number 123456. 20 minutes later I forgot I captured the information wil it pick up build in detection
Hi, Forms does not have duplicate detection. If you are using the Forms only for people in the same company as you then you can turn on the option to capture emails, then limit to one reply only. If you get info from external parties, you can add a question that would require a unique identifier. Email could work there too. Then you can export the results to excel and use duplicate detection in Excel to highlight duplicates. Unfortunately there is no easy button here.

Hi all, it is November 2024, and the Settings menu has changed. Automatic Replies are no longer in the Mail section. Microsoft added a new section called Accounts and moved Automatic Replies there. Additionally, if you are using New Outlook Desktop app, the settings are the same. You no longer need to memorize two sets of instructions. I wanted to add staff member but the account is a shared inbox (inbox have calendar we use for the whole team.) the booking page I want to create is to get that calendar and base it on the service I want to create. I was able to add the shared inbox but its calendar is showing empty (available all time) which is not. Is there something I need to do so the shared inbox calendar get integrated with the booking service I wanted to create? Thank you :)
I looked through the Microsoft Documentation and could not find a way to pull the information in. The only thing was to how to sync a personal calendar and zero on shared calendars. When creating a test booking, the calendar invite does go to the Shared calendar indicating it is a one way sync.

Hi all, Microsoft is constantly changing its software, tweaking things, changing how things look on the screen, etc. I wanted to jump in here and say that a few of you have noticed that the bonus tip has changed slightly. While the underlying concept is still valid, a new web browser window will open instead of seeing the Form directly in the Teams interface.
Hi Heather, Looking into this for my workplace and wondering if you know of a way to schedule recurring meetings with either bookings or virtual appointments, of if you can think of a way to manage this within that 'ecosystem' without resorting back to straight up outlook calendar. The customer experience of bookings and VA is better, but we occasionally do long runs of recurring appointments that may not be covered in these apps. Any insight you have would on this would be great.
Hi, when it comes to scheduling features, virtual appointments are almost identical to regular Teams meetings. When you go to Teams and select a Virtual appointment, there is a Repeat option just below the Date/Time selection line. For Bookings, I looked and could not find repeat meeting options. Is it possible to group chats by category? For example, chats around a specific topic.
As chats are sent the most recent ones will automatically be at the top of the recent list. You cannot move those ones around. However, if you have a chat you want to keep tack of you can pin it(them) to the top of the chat pane. After they are pined you can drag and drop them in any order that makes sense to you. But if you are asking if you can create sections or folders to keep them together like we do with folders for email, chat is not that sophisticated.

It seems like you are saying that the audio ends but the slide does not transition as fast as you would like. The trick I have used is to go to slide show tab, use rehearse timing. Once the audio plays you stop the rehearsal. A box will pop up asking if you want to use the timing from the rehearsal. Click yes. This has made the timed transitions closer to the audio in my experience.

While I don't have a workaround when you are already locked out, I can help you avoid my mistakes. The Microsoft forums are full of people complaining about the Authenticator lockout problem but no solutions. It took me 2 weeks to get Microsoft to fix the problem. I had to literally tell the Microsoft rep that I was stuck in Authenticator Hell before it was finally fixed. Setting up a second MFA can save so much time and frustration.

@@katrinakerr1096 First, sorry you got stuck in this loop. First, I had to get screenshots so the admins could see that getting an authentication code was the only option when logging in. Then I told the admin that I had reinstalled Authenticator on my phone. To set up Authenticator, you must verify your identity, and the only option is to provide a code. However, getting a code before verifying who I am is impossible. I told them I did not have a backup method like email or phone. Then I told the admins that according to Microsoft Documentation, the only way to break out of this loop is to have a Global Admin reset my Multi-Factor Authentication. Getting the admin to understand the loop was difficult because they assumed there would be a second option. That is why the screenshots are helpful because the admin can see that I did not miss an option, it was not available.
We created a bookings page for appointments, however the only administrator moved on. Is there anything that can be done to remove the old and add new administrators?
Based on a search of the Microsoft Learn documentation, an Admin can use something called PowerShell to give someone a power user role. I am not an admin and have never used PowerShell so the exact steps are beyond my expertise.
How do I move Items from one list to another without having to type every item?
If it is just a few items I would suggest downloading the list to Excel. Open the second list > go to tool bar at top of screen and use edit in grid view. When in grid view you can copy and paste the data from Excel and it will all populate at once. If you need to move the whole list then you could use create new list from existing list.
True story, I do this all the time and forget to check the settings. Yesterday, when it happened, I noticed that the settings control had been updated. Wanted to share this quick tip in case some of you have not come across this update.

Is there a way to restrict no of times same customer can book slots
I looked through the Microsoft documentation and forums and found that Bookings does not have a way to limit how many appointments a person can make.
This is the last lesson in the free preview of the course. I hope it was helpful and cleared up some common frustration points. The plan was to have the full course out this week, but like you I sometimes encounter technology issues. Stupid computer decided it wanted to die. Market Research Question: If I made it available at a discount, would you get the course now knowing that you will get the lessons as soon as they are done? The new version has just a text box too. But my boss wanted it to move around because they saw it in someone's video. I had to figure out how to make it happen. My brain said "If I had to figure this out I bet someone else does too. Let me SHARE!!." Either way works with no wrong or right answer as far as I am concerned.
Hi Heather, I have a different query so I'm adding a separate comment. The previous service that I created was for one-to-one meetings between students and teachers and it works great. Now I'm interested in creating a service where a group of students can book the same service for speaking practice. So, I want multiple attendees to be able to book the same service/slot. However, the 'maximum attendees' option is disabled and shows '1' as the maximum number of people who can book the service. I see that it's the same in your video as well. I haven't found a way to activate that option, so that I can change the number of maximum attendees and that multiple students can book the same service to practise their speaking in groups. Any insight would be great, thank you!
Hi, last we chatted I looked at that feature and discovered that you can only change the max attendees when the service is first created. What happens if you use the quick start wizard, the option is not there upon creation causing an issue. What I did to get around that was go to the booking dashboard for the booking page, go to services section, click 3 dots, click add service. Now you will see all options at once, this includes the option to change the max participant. I would give a screenshot but UA-cam does not allow that in comments.

Hi Heather. This was very helpful. Question. I know you showed us how to record within each break out room but can you record all rooms discussions as one recording? I would like to share all the conversations from each room with the main group once done.
I have not seen that option in Teams. The Breakout rooms are treated like a separate call that is independent from the main room. The setup to record multiple calls and put them into one call would take resources similar to what the old live events required such as production software. Breakout rooms are meant to be more lightweight. The best suggestion I have is record the individual calls, then if you have editing software, dump each MP4 into the editor to combine them.
Is there a way to pull members list for any specific channels from the Team? as I know at teams level Power automate can fletch information but in case have channels in the sub then don't know how to pull or create flow.
Okay after some testing, it looks like no matter what Group ID that I chose, it is pulling the list at the Team level. Power Automate does not look to the private or shared channels for membership. Standard channels have the exact same membership at the Team so that is all Microsoft provided.

Can the Owner invite a gmail account or does the Team Member need to be signed to Microsoft account? This still doesn’t work for me
The answer is complicated because it depends on what license type you have and how the admins have configured the Teams environment. Most companies require that the email should be a Microsoft account from within the company. Some companies may configure guest access that allows you to add someone with a Microsoft account from another company. A few companies will allow guest access from a gmail or other free service. This is rare because there are security risks associated with that option. I am not an IT Admin expert so I don't know how each option is configured I just know that those are some of the options.

Hi Heather. Thanks for the video but its missing some vital information - how can you pick a group to invite to a meeting instead of just individual people? The video says you can invite groups but doesn't explain how to do this. I have looked but can't see how to do it so an explanation would be great. Thanks!
Hi, the short answer is the email associated with the group must be in your companies global address list (GAL). If so you start typing the name of the group into the attendees field. For example, my test environment has a group email address called London Finance. I start typing London, it comes up and I click the name to add to the meeting. If you are not seeing a group when you type the name, it is usually because the email for the group was added to the GAL when the group was created. Most times it can be added after the fact by the Microsoft Admins, the IT staff, at your company. P.S. thank you for asking. This is an example of the curse of knowledge because I am so used to just typing names I forgot to say it out loud in the video. Polite and constructive comments like this help me help others better.

What if I need to add more times to the poll, if there is no day/time that works for all recipients?
To add more times to an existing poll, go to the Scheduling Poll Dashboard > Select the poll > At the bottom of the existing times you can propose another time. The new time will be added to the list. If there is not a time for all participants after everyone has voted you can manually view the dashboard and pick the best option for most people and click Schedule Meeting.
This has been of great help, thank you so much for this video, Heather. I followed all the steps to set up something similar, however I have a question. The service is about offering students 20-minute one-to-ones with teachers. Each teacher is available once per week, during a one-hour slot. For example, Eleni is free to run a 121 every Monday 12-1, which means that three bookings can be made with Eleni on that day and time. However, at the moment, Eleni's availability through the booking form is based on her calendar. So, it is showing Eleni to be available during a range of days and times (not just Mondays 12-1). It would help me a lot if you could guide me on how to edit availability this way for each teacher (once per week, a one-hour slot); I haven't managed to figure this out yet.
In your example, if you only want to have availability on Monday only from 12 - 1 you need to adjust the default availability options. Go to the service > click edit service > Click second menu item Availability option > Scroll to the bottom of the dialog box to see Availability. There should be a chart that had dates and times for each day of the week. For every day but Monday click the Trash Can icon to delete availability. This will change what you see from time markers to the words Not bookable. On Monday change the time drop downs to reflect the times from 12 PM to 1 PM. If at a later date you need to add more times or date you simple click the plus sign next to the date to restore the option to add times to the day of the week.

Thx for the video! Does that mean the Owner can give editor access to inbox, while folders are being hidden at that same time, until Owner grants permission to folders as well?
You are on the right track but I would like to clarify just to make sure we are on the same page. Permissions flow from the top down. If you give editor access all the way at the top of the folder hierarchy using the default Editor set, it will flow down to all folders. It so happens that Inbox is on level 2 so you can give access to just Inbox. If your other folders are also on level 2 you should be able to permission them individually. If you have folders nested below Inbox on level 3 then you will need to use custom permissions to avoid editor access being inherited from level 2.
@@HeatherMajors Thank you so much for the clarification! So folders on level 2 are just regular folders - and Owner can limit their access, right? Given the inbox level 2 is delegated. While subfolders are level 3 - where permission cannot be configured, right? As long as they fall into the rule of their main level 2 folder. Trying to to understand if the Owner CEO for ex can delegate his inbox to his VA. For the VA to organize inbox mails into folders. While CEO still having his few chosen private folders non shared with VA Thank you so much! 🙌🏼
@@enfisya The level 3 folders can have different permissions, but you must set them up as custom; don't use the default settings. In your example, I would do one of two things. Set the inbox up with custom permissions and then individually set the level 3 folders so that the VA will only have access to what they need. Or I would make sure all of your folders are level 2 folders. For example, I set mine up so that Inbox is level 2, Webinars is level 2, and Collaboration Requests is Level 2. As compared to Inbox Level 2, Webinars Level 3, and so on. The only reason that I mention level 3 folders in the original post is people can often set up subfolders because they click create a new folder from the inbox by habit; it seems like the way to go and is a natural assumption. I, however always click create new folder from the word Folder. Many people think this is just a heading, but it actually has permissions behind it that are separate from the inbox.
