Hi. Really appreciate the instruction and video. Is there anyway to have the grade tracker only visible to a certain student for their grade? I have tried to only give access to each student for their personal page in the students database but the grades from the grades database will not show up since they do not have access to that database. Any thoughts or guidance would be greatly appreciated. Thanks!
Hey Matthew. One way would be to go into every grade and then invite the student using their email to view that page. However, I would not recommend that lol since it would take forever and you would have to not only do that for every student, but also every time you add a new grade. One thing you could do is: 1. Set the permissions on the grades database to view only, but don't share the database page with students. 2. Individually invite students to view their student page. Students will then only be able to see their page and the grades that are tagged to them. Hope this helps!

What about a student dashboard? How would that work? I'd like to organize the work in the homeschool planner, but I guess sync it so my children can see an organized dashboard each day with assignments and tasks. Would they need separate accounts?
So the student dashboard pages shown at 1:38, these can be shared with your children. On the student dashboard pages children can see their lessons, tasks, and anything else related to them. Some things to consider: 1. Set the permissions on the main Homeschool Planner page to "View Only". Then the student pages and the linked views of the databases on those pages can be viewed by your children. 2. Your children do not need to have an account or even need an email to be invited. If you set the permissions on the main homeschool planner page to view only, then your children can view the student dashboard pages. Just make sure you give the link to each of your children for their respective page.

Is there a simple way to create a template project with set tasks be able to duplicate while still having those tasks be unique to each project??
Yes in the project template, create a button that creates set tasks tagged to the the project. Then when you create a project, just click the button to create unique copies of those tasks tied to the project.

@@notion4teachers Thanks for the reply. This is the solution I ended up going with and it worked for me. I made templates of all the tasks that I wanted to be created and then had the button in the Project Template to generate them.

Hey, what's the difference between this Notion template and "Notion4Teachers"? Second: I have group lessons (class) and single lessons. The group lessons are not on a weekly basis, but on specific dates that I schedule with the university secretary. Can I still use your template for this? Also, regarding the attendance tracker: I need to track attendance per lesson, not per day. If a student was absent for a specific lesson, I also need to be able to note whether they were excused, and if so, whether this happened within or outside of 24 hours before the lesson, or if they were entirely unexcused.
Hey Daniel 1. Notion4Teachers is my channel and website name. The template demonstration in this video is for the flagship Notion Template of "Notion4Teachers". 2. Yes you can. The template works especially well for this kind of situation (classes and scheduled lessons). 3. As for the attendance, you don't need to take attendance each day. Whenever a student attends or does not attend a lesson, you can use the attendance tracker as is.

Hi Milo thanks for your super helpful video! I am currently y trying to organise my lessons with Notion. I have a question regarding lessons and students. When you add lessons to a student’s profile and click the “done” checkbox. Doesn’t that checkbox show as done in all of the rest of the students who would have that lesson as well? Since the lessons belong to a database and each student profile simply has a linked database of all the lessons. Clicking on “done” for a lesson would automatically show it as “done” anywhere else you link that database. I hope I explained myself correctly. This is something I’m wondering if we can see which students have done such lesson and which ones have not. Thanks again for all you do!!
Yes you are correct. If you have one lesson and tag that lesson to multiple students, checking the box will show on that lesson across all students tagged to that lesson. One thing you could do if create a Relation Property and link it to students. Then call that Property "Students Completed" or something. Then when a student is done a lesson, just tag that student to the propety. This way you could see which students have completed the lesson or not.

Yes you can actually! 1. Make sure your student list is saved as a CSV file. 2. In Notion, go to the top-right, click the three dots "..." and click on "Import". 3. Select your CSV file. 4. When your CSV uploads as a database in Notion, select all of your students from that imported database. 5. Click "Move to..." and select the "Students Database" of the Planner. 6. Finally, go through each student and apply the New Student template. Let me know if this works for you.
Hi Milo, Love the UTP! I work at a small private school in China and we are working on implementing the UTP as a department wide program for our English teachers. I am pretty new to notion and have a few questions. What do you do about tracking a grades for a student who is in multiple classes? I am also thinking about publish student pages to share them with parents so that every week they could see the progress of their child. I have tried this, but when publishing, the grades for individual assignments and quizzes are not shown, do you know how to have this data appear on a published page? On the grades page, is it possible to assign specific grading topics to a specific class? Thanks for putting this system together, it's really great. Looking forward to weighted grading!
Hi Paul, that's great to hear you're planning to use the planner with all your teachers - so awesome! I believe I can answer your questions: 1. Sharing pages properly with parents When making a student page visible to the parents, you also need to make sure that the "Grades Database" also has permissions to view. Right now you are just giving parents permission to view the student page but you must add this permission rule to the other databases shown on the student page. Go into Grades database from the main page -> Database and change the permissions. 2. Tagging grade topics to classes & tracking grades for students in different classes a. One way you can do this is to go to the Grades Topics database and add a Relation property that connects to the Classes database. Could be one way so you don't see the grade topics showing up on the classes pages. Then you can tag grade topics to classes. b. To take full advantage of this tagging though, you can then go to the Grades Database and add a Rollup property. Select Grade Topic as the rollup, then click on Class, show original. Now you will have the Class show up directly on the grade, if the grade is linked to the Grade topic, if that makes sense. c. On the student page, you can create a linked view of the grades. Click on the grades database on the grades page and click copy, then paste it on the student profile page and clicked linked view. Then set filters for the student and the specific grade or create a table and group by class. d. Doing this you can then filter grades based on class directly on the student profile page. I like the concepts, but I need an actual conversation; do you ever provide that? I am not good with learning only by watching videos, even though yours are great. I've already run into issues I cannot find info about.
I do sometimes hop on a call with Notion users but it's usually to solve a specific problem related to teaching, as most of my services are education related. However I'm so busy currently with everything that I don't have much time to hop on a quick call. I would say the best way to learn is to just start using it yourself. Even if it feels overwhelming at the start, the best is to just jump in with both feet and see what you discover on your own.
Thanks for the template and tutorial! I have several classes, so when I add a new attendance day and try to view the students it shows me every single student in all my classes. Is there a way to filter by class in the new attendance page? TIA
Yes you can filter by class! Around 9:24 in the video, you can see I make a database view of the present, absent, late students. You can add a Filter to this view and have it filter by class. This will show you the attendance of a specific class.

For the attendance formula is there anyway to round it beacuse i would get numbers like 72.345463647 % which is ugly.
True I didn't use a round formula for simplicity. Use: round(number * 100) / 100 Change 100 to 1000 if you need less zeros
I still don’t get how my “due dates” can be reflected in the calendar . It doesn’t work for me 😢
On the Calendar, go and edit the view. Go to "Layout > Calendar > Show Calendar by > and make sure this is set to the correct date property.

Hi, your template is great ! I search a way to show the % of present by day of one class, is it possible ? How can we manage is a student belong to 2 classes ?
Yes! Go into the Attendance Day database and add a new Formula property. Then add the formula: round((((prop("Present Students")+prop("Late Students")).length())/((prop("Present Students")+prop("Absent Students")+prop("Late Students")).length()))*1000)/1000 Change the Formula to show as Percent. This will just add up all the Present and Late students, then divide the Total students to get a percentage of students that are here or late. However, if you have the Ultimate Teacher Planner and would like to see the attendance of the entire class, go to the Class Page and add a Formula property with the formula: round(((prop("Students").filter(current.prop("Present Today") or current.prop("Late Today")).length())/(prop("Students").length()))*1000)/1000 Again, change the formula to show as a Percent.

Does your scheduling allow for scheduling the works on a cycle instead of day of the week? My school uses a 6 day cycle.
Yes absolutely. You can just edit the "Day of Week" property from "Mon, Tues, Wed, etc" to "Day 1, Day 2, Day 3, etc." And it will work the exact same way.

I’ve been working on a homeschool notion setup for my children and I’m wondering how to incorporate filtering and formulas so that i can generate reports showing the lessons completed for a given year as i plan to use it for years to come. I’ve managed to adapt a lot of your info for our needs and also create a database that will log the lessons completed. I think there is an audience (myself for sure) that would love to see a homeschool version. There are so many parts of your template that are perfect for my needs but there are a few more functionalities (like the one i mention here) that I’d love to have for a homeschool scenario. Thanks for all you do!

my teacher planner doesnt look like this? i just purchased but cant see the calendar and projects side bars on mine. i thought that it would be like the same without the content.
Just recently I added a new/upgraded version. You still have access to the old version, the one in the video. But now you can choose between both.

Actually a few people have asked me this! A weighted grading system. It's on my list of to-dos and definitely something I need to figure out. There's a few ways I think it could be done but I want to find a way that's intuitive for the average user to use

Yes this is something I'm planning on figuring out in the future. Just need to find a way to do it cleanly without the function being too overwhelming for most people
@@notion4teachers I found a way but it's messy, requiring two properties per category in an Assignments DB with corresponding rollups in a Student DB.
