    My biggest lingering question after watching this video (and trying the InDesign/InCopy workflow), is HOW do I save the INDD and InCopy file in a single place in the cloud? You suggest Dropbox, but that would still require the editors to download the file to their computer, which breaks the link to the primary INDD file. SharePoint does not support opening Adobe products (they must be downloaded), and Adobe Cloud itself does not support opening InDesign or InCopy in the cloud.
    So the only solution I can find is to package the InCopy files, send them out to each editor, and then have them send them back, so that I can relink them. But this is very laborious and breaks the links to multiple people who could indeed be editing at the same time. Am I missing something here? Thanks for any feedback you have!

      Hey Devon - you’ve highlighted the most annoying problem with using an InCopy workflow. The centralised workflow. I believe that this is why InCopy hasn’t had the impact that it should have.
      I advise my editors (which luckily have been Mac based) to download the Dropbox desktop application so they can access the files directly through the finder without having to download them each time.
      This has been kind of successful until I get someone who is on a PC, working offline or who has to download the files. In this case I revert to the workflow you suggest by passing the .icml files to the editorial team.
      It’s obviously not ideal. It’s surprising that Adobe Cloud hasn’t figured out a way to facilitate this workflow.
      Maybe someone else out there has a successful platform that supports the InCopy workflow?

    This is insane that such a crazy workflow (and multiple roles, programs) is needed to complete a fairly basic task. Adobe in a nutshell lol

      Totally agree. So much software just gets in the way. Just because there is an application for everything these days doesn't mean it's necessary, improves productivity, or simplifies processes. Simplifying is best. Needing to know how to operate five or six different applications to accomplish the same task that didn't require them not so long ago seems to bog systems down, not improve them.

    Thank you so much for the nice video! I have one Problem: I created the InDesign file and made an assignment. The Editor is writing inside the assignment, not the InDesign file, because the InDesign file is local. I added new elements to the InDesign file and inked them to the assignment as well. But the updates will not show in the assignment. Do you maybe know what is wrong? Thanks if you find time to answer!

    Hello! I’m so glad you found my video helpful.
    Without actually being able to see the files in question I'm going to have to make a few assumptions.
    Firstly, when InDesign creates an ‘assignment’ it produces a .icma file that it automatically adds into an ‘assignments’ folder alongside the InDesign document.
    When your editor is working on that .icma file using InCopy and not through InDesign you, as the designer will not get a warning that it has been checked out. Once the editor has checked that assignment back in at their end you will then get the yellow hazard triangle saying you need to update the file. Much like what happens if you edit an image outside of Indesign - you need to update the link.
    Now if you are creating new assignments (so new text boxes) and adding them to InCopy you should get the option to add them to the existing assignment (Indesign default name is ‘Assignment 1’). If you add the new assignments and DON’T assign a location then Indesign will put them into a folder called “Unassigned InCopy Content” in the Assignments tab.
    You can drag them to the master assignment folder (The default “Assignment 1”) you originally set up within the Assignments tab.
    You’ll not be able to add text to an existing assignment if someone else has it checked out. Your changes will be overridden once the assignment is checked back in.

      Hey Lea, I un-link the text assignments for housekeeping only. If I've been working with an external team I will unlink all the text at the end of the project and package the InDesign file to archive. If all the text is on one layer then it is super easy to assign that whole layer to InCopy in the future if the project becomes active again. Thanks.

    Hey Manuel, Thanks for taking the time to watch my tutorial.
    Sorry for the confusion, let me clarify!
    When you add a text box into InCopy (creating an assignment) it makes one ‘assignment’ per text box.
    If you had a novel for example that was one continuous text tread, you would only have one assignment that only one person would be able to check out and edit it. Everyone else would still be able to open and view the InDesign file through InCopy but not edit the exact assignment (text box including its thread) that someone else has checked out.
    If you are working on a publication such as a magazine for example, it would be more likely that each article would have its own text tread. So one person could have the article on page 2 checked out while someone else could have a different article on page 6 checked out at the same time.
    Different people can edit separate assignments in the same document at the same time!

    Question: which is better to do all work in Word and transfer to ID or do it in IC Adobe and then transfer? thank you

      Good question Raul. It depends on who is writing the content. In a perfect world I would be getting authors to write directly into InCopy (the file would ideal be set up with paragraph and character from the sample design) because the transition from InCopy to InDesign is seamless.
      However I've found most writers are more comfortable in word. Although its slightly messier, as long as the word document had been styled correctly (using paragraph and character styles) then matching the word styles to the existing InDesign styles during the import process should be fine.

    Too bad we cant use creative cloud storage for syncing InCopy And InDesign and should have our own cloud. That would solve the problem of simultanious edits of InCopy file by editors team.

    My hunch is just that using InCopy to InDesign is slightly less painful (due to ASCI character mapping glitches, etc.) than Google Docs to InDesign. Google Docs you can share with an unlimited # of people to collaborate, whereas with InCopy, they all have to have a CC license (convenient, Adobe ...). This to me is a barrier to productivity and not economically worthwhile.

      Hey Daniel. Good question, a few different answers…
      When you create a new document in InCopy you have the option to have ‘Facing Pages’ ticked on or off. This will decide if your document pages are presented as single pages or spreads (facing pages).
      If the document has already been set up in InDesign then the designer will have to change the document setup from within InDesign. File/ Document Setup/ tick or untick ‘Facing Pages’.

      Hey Sidney, Sure. InCopy is awesome for complex type types like technical and instructional books. Whenever a body of text is used it can be linked into InCopy. I would avoid using it on super heavy mathematical text books with lots of equations although it could still be used for chapter openers and plain text instructions/explanations.     As an editor, I work on pdf only. I have comments coming from author for further edits at the proof stage. How does InCopy handle pdfs? Acrobat Reader is painful to work with. If a pdf has around 600+ edits to be done, Acrobat just slows down to a crawl. Please again bear in mind this is pdf.

      Hey - firstly I’m so sorry that you are having to edit PDFs - that sounds clunky. InCopy only works with the InDesign file, it doesn’t work with the PDF. If you are having to make 600+ edits then you should have access to the native InDesign file. I’m sorry if this is not the case. I didn’t even realise you could make edits directly in the PDF!

      @@thedesigndept6611 well we are not directly editing anything. You, know just marking up, commenting, highlights. Things like that. These then are passed on to typesetting, where changes are incorporated to the pdf. But thanks anyways.
