In this video I will be going through all my cake business paperwork, this should help you get ready for your kitchen health inspection.
I also went through my spreadsheets/record keeping for allergens, recipes, cleaning schedules, temperature checks and the sfbb pack etc. I hope you find this helpful!

So cool that you have a cake business! I never realized that you need to have so many documents when running a business. So smart you have a list of ingredients written down in case of allergies. The cleaning schedule must be so helpful to get everything done at work. I found the portion of the video about health inspections very interesting! I didn't realize you have to apply for certain licenses online. Good thing you have a chart for that too :)
There's so much even I didn't know that's why I registered two weeks before trading as I didn't realise I had to! I love being organised so I thought I would share all my spreadsheets. Glad you found it interesting! x

Due to covid they are taking a long time for an actual inspection which is good and bad. Thanks so much for your videos, and detailed information. We updated our spreadsheets organised in a pretty similar way after seeing yours and got 5 stars from our inspection today. We found having the computer open was enough so didn't print anything unnecessarily.

Hi Amy! I am very grateful for your videos, without them I was left feeling a bit confused. Almost finished working through my spreadsheets and have my inspection due next month. One question I have is I registered in April but have only been baking for friends and family for free or sometimes they pay for ingredients only, so I have no logs of receipts for things bought. Do I just tell the inspector this? And show how and where I will keep and log them in the future? Your help would be appreciated 🙂
Yes that's fine, you don't have to keep receipts I do so that when i do my tax return I can see how much of a £50 payment was baking or not :)

I've registered with my council and now in the process of getting all the paper work. I stumbled across your video at the perfect time 👌🏾🙌🏽. Just one question, after registration, do I just wait for the council to get in touch?
Thanks for watching, Unfortunately its a waiting game! They took months to get in touch with me but others say a week or month :) You are able to call them to speed up the process if you have all your paperwork sorted.

I want to ask if your paperwork (tax and business related) is all online or if it’s on paper too. I don’t know how or what information to collect/process through, for e.g when looking to calculate a tax return. It’s tricky to get an understanding of, at times.

Hi! I've watched almost all your videos on the baking business and its been SO helpful. I just had a question - when you speak about the allergens table you flipped over and there was an allergen risk assessment. Did you take this from somewhere or did you make it yourself? If so can you share what you have on it? x
Made it myself, Its just a list of how things can be contaminated an how i stop that. Eg risk knives solution clean or change utensils, cake tins - use different tins for allergies x

Thank you so much for the videos. I just wanted to ask, how would you recommend labelling cake pops with regards to allergens? I’m going to be selling individually on a market stall. Would a sign on the table be adequate? My original thought was to put them in paper bags and seal with a sticker but I find most people don’t want them in bags.
Hi, so market selling is not classed as prepacked as you sell the item then box it up. Therefore full ingredients or allergen stickers on the products aren't required. Just a clear label on the table saying the item name and allergens is sufficient :)

I would like to sell pizzas from home, but to be honest I think the best option for me is rent a studio/flat for this only purpose!
Do you think they may see it differently bcs I’m using the place just for business and not living there ?

Renting is slightly different to owning the house, you have to double check with landlords as some aren't insured for business use (not your insurance but the insurance the landlord has) hope that helps :)
Hi Amy, how long do you keep your records for? I know you said you use a plastic cover to wipe them off for temperatures etc. rather than wasting paper. do you need to keep a log of them for an amount of time? Many thanks, Lauren
Not sure, I don't use the plastic cover for temps as these are taken every baking day. But non important info yes. I just keep everything incase needed :)
Hi Amy I am petrified at my inspection this week. I cook scones at home, started with markets but didn't like waste, so trying corporate. At moment as only recently started have one regular customer. I didn't want to get any more until my inspection is over. I have the safer booklet but confused as to what to write in. Do I fill in the Prove it Records? I make cheese and fruit scones usually once a week for the customer that's it at mo. Do I also fill I. Weekly review? As I feel I am just repeating same words? Please help. Regards Sarah Birch

Most non scented anti bacterial sprays are suitable, just check the back on the bottle for a “complies with bs/British standards”

Noticed you use the spreadsheet for your cleaning schedule with date last cleaned. Do you use the diary sheets provided in the Safer Food Better Business pack or not?
It’s up to you, my inspector was happy I had been filling it out that way. I like it as I don’t always bake everyday so I can write whatever date I like in there. Whereas the diary pages has a whole week view, I’d ask you EHO but as far as I’m aware if you have a log of some sort that’s good 👍🏼

I think it’s in one of my videos but you can easily make your own. Basically make a table listing the risks, frequency of the risk, what to do if it occurs and how to prevent it from occurring.
Eg cross contamination, using separate bowls and cutlery, cleaning etc, notifying customers of “traces of” in allergens 👍🏼

Do you have any pets? I notice you had a cat flap and wondered if you had to make any special arrangements for your inspection for having pets on site while running your business? thanks
Hi Yes we have 3 small dogs, when I had the inspection they were locked in the lounge and despite the dog bowl and flap the inspector never asked my routine for that.
I usually lock them out the kitchen when preparing and decorating, then let them in whilst things are in the oven or fridge as that's the only way they can get out to the garden.
Some inspectors will ask some won't. I am not sure if its different for cats as I know from owning them years ago that they can get on worktops etc so I am not sure how that works? Maybe that was why my inspector didn't mind as I had dogs.

I am not sure, I believe it’s recommended by all as a formality but for some areas it’s compulsory. I’d recommend asking your council x

Hi Amy, may i ask what disinfectant and sanitisers do you use for cleaning? The most tricky part for me has been to find the right product that meet BS EN 1276 and BS EN 13697 standard! thanks in advance!

Is there a list of all the documents that are mandatory for the food inspection?
Every region is different on what they require so double check with your council. I’d recommend the following:
- fridge temperature checks
- Allergen list for each of your recipes
- cleaning schedule
- safer food pack
They also ask you how you log orders so you might be asked the same. Usually you need either a written book or digital diary 👍🏼

I would say yes as if someone claims and you don't have it you may be fined
Do you need to do the allergen checklist for every recipe if you aren’t catering to any allergies?
The allergen checklist is for the kitchen if I remember what I said rightly. So you are saying what allergens you have in your kitchen eg using nuts

What is the requirement for keeping confidential information, customers addressed etc? Are all files passworded?
Hello, I would ask your EHO if you're registered as this has never been covered by them during my inspection. All my files are kept on my pass worded work computer and all orders are made through my etsy and website also pass worded :)

Hey! You can definitely register first, all I had when registering was my certificates, order log and allergen list. Due to not receiving an email from the council until 3 months later I didn't have a lot of this paperwork when I first started as no one told me I needed it x

Either at room temp or fridge but i keep in fridge. Bring to room temp before mixing as it affects the cake mix if its too cold :)

I’m currently in the process of registering my business, I keep an order log, and am fully aware of allergens and things. I wasn’t aware receipts needed to be kept, will this be a problem when being inspected? X
Hi, it’s not a problem for the inspector but it’s for tax purposes so that when you register and put in amounts from your bank statements you can say what was business and what was personal based on items on the receipts. X

Its just the name of your business eg tescos, riverisland etc
if im just selling to people around my estate, do i need to sign up? also im only 13
Yes, it doesn’t matter where or who you sell to the rule to remember is if you making a profit you have to register.
This means if you get paid anything over the ingredients cost eg. If it cost you £8 in ingredients you can’t charge more than that.
There’s also risks that if someone got ill and reported you (hypothetically) you wouldn’t be registered or insured.

Hi, Amy, I'm due to have my inspection but due to COVID is been cancelled and re-booked I would like to use your spread sheet how can I find it on Etsy? I was searching but couldn't find it🤷♀️
On the email I received after registering my food business, it says "You may also receive an unannounced food inspection from your local council" can it really be unaccnounced or do they call you?
I actually didn't get an email due to the COVID backlog however when I received a call from the inspector, she advised that they cannot come to home businesses unannounced. They couldn't operate like that due to not knowing your working hours, living situation, whether you would be home etc.
If you have a business complex e.g a restaurant then I believe they can come unannounced.

Only if its prepacked e.g. made and packaged before its sold. If not then its just the allergen list :)
One more question please. Is that ok to register my kitchen even if I just rented?
You will need to get permission from your landlord for running a business in a rented home. 👍🏼
