Database vs Spreadsheet - Advantages and Disadvantages

    In this video, we will focus on the advantages and disadvantages of spreadsheets vs databases.
    What is a spreadsheet? It is an electronic ledger, an electronic version of paper accounting worksheets. It was created to facilitate people who needed to store their accounting information in tabular form digitally. So, it is possible to create tables in a spreadsheet. This is one reason some people believe spreadsheets and databases are interchangeable, while, in reality, they aren’t.
    There are similarities between the two. Both can contain a large amount of tabular data and can use existing data to make calculations. Third, neither spreadsheets nor databases are typically used by a single person, so many users will work with the data. The differences between the two forms of data storage lie in the way these three characteristics are implemented.
    Ok. Imagine a spreadsheet. Every cell is treated as a unique entity. It can store any type of information - a date, an integer value, a string name. And then, not only can we have different types of values in various cells, but we can also apply a specific format to these cells.
    This is not inherent to databases. They contain only raw data. Each cell is a container of a single data value. It is the smallest piece of information there is. You must pre-set the type of data contained in a certain field. This feature prevents inadvertent mistakes - for example, in a field containing date values, should the user try to insert a string, the software will show an error and she will have the chance to correct herself. This won’t happen in Excel - if you insert a string in the column with date values, you wouldn’t obtain an error message, and Excel will store the string value.

    Data integrity is so overlooked when it comes to databases. So many times I've had to import data from old databases or Excel to a new database, and it was a nightmare because of incorrect date formats. I'd say the #1 reason for data migration failing is for bad data types. One project, I saw cities where states should be, countries where ZIP codes should be, all because there was no checking for data types as you demonstrate with dates in Excel. Great video!

      You posted this 2+ years ago, so I doubt you care anymore, but you can actually do the same thing in excel pretty easily. It is called "Data Validation" in Excel, and it lets you restrict entries.

    Your explanation on the differences between using a spreadsheet and a database program is comprehensible. I am a fan and an avid user of Microsoft Access, but I do use Microsoft Excel only for heavy-duty number crunching.

      @@bzflowerbee I use Microsoft Excel mainly for files that call for number-crunching. I have not used the application program for business art, because my jobs do not require that task. However, the Excel graphs are more than those would be found in Microsoft Access. Both, Microsoft Access and Microsoft Excel are fine programs. Thank you for tapping or typing to me.

      @@captainkeyboard1007 I've been using Excel all my life but lately I am thinking about learning something new like SQL. My job needs to interpret data alot especially using graphic to grab people attention.

      @@bzflowerbee Fortunately, I learned to use Microsoft Office first with Office XP Professional in 2002. I discovered some techniques in Word 2002, Excel 2002, Access 2002, PowerPoint 2002, Outlook 2002, and Publisher 2002. Many of the techniques would not be likely taught in a job. Those programs enabled me to use my keyboarding skills in an advanced way without the speed. After all, the speed did not help me gain successful employment. Today, I am using Microsoft Office 2021 Professional, that is nested in Microsoft Windows 10 Pro. Also, I am trying to revive my typewriting service, even though many people do not request work that requires much keyboarding. I print on paper with a color laser printer, and I print label tapes with a label tape printer. Your comment is interesting to me. Thank you very much for tapping or typing to me.

    As I agree with all, 1. Spread sheets can be configured with data validation.2 Spread sheets are front facing to the user of any skill, you cannot ask end user to work on databases 3. Well we can always have Databases connected to excel in the back end .. problem solved? look forward but yes useful

    With excel, one can deal with day to day data needs without the need to convince IT to create the desired output from the current database. I use excel to make database that existing database and query cannot provide. It has help me to handle enterprise accounts that the companies I worked for is unable to provide.

    This is a very useful and concise explanation. My questions:
    1) Is working with databases faster than with spreadsheets because, (since there are no formulas, formattings etc.) the overall CPU and RAM usage is lower?
    2) is there any software or data management method that includes best of both worlds? Like one that can handle lots of data with integrity and speed but also has the capability of detailed analysis and visualization?

    In the example of changing the McKinley(?) email address in Excel, could you use the Find and Replace tool so that you only have to do it once instead of several times manually?

    You can reference tables or specific cells in Excel so the data will update in other tables as well

      Yep. I'm not saying this video is useless, but 90% of the things he mentions as being advantages for databases are 100% possible to do in excel. Will a Database do it better? Sure, but for the average person it won't matter that a database uses slightly less resources per entry, or can go past one million entries.
      It is weird too, because so many videos on Access say the exact same thing, and I know it to not be true because I have literally made spreadsheets that do everything they are talking about that they say you need a database for.
      Want to limit users to only entering Dates, or selections from a list? Excel can do it.
      Want to create data that auto-updates every other instance of itself? Excel can do.
      Want to set user edit permissions? Excel can do it.
      So on and so forth.
      Like I said, a database may be able to do it better, but they aren't framing it that way, they are framing it as Excel not being able to do it AT ALL.

    I've been an excel user for a long time, even I know macros, but knowing this I'll surely try SQL, although I might continue using excel for presentation by far

    I feel that there is something fishy about spreadsheets in the long run. I feel databases are more reliable. Please correct me if I am wrong

    Excel is perfect for project management if you know how to use it. Database is for operation.

      I find that Excel is suitable for intensive number crunching and various calculations, and Access is right for information management, indexing and filing data. Its tools such as tables, queries, forms and reports are remarkable.

    I have access and excel although I find Excel is far easier to use for the graphing features and with Access the userface is not very good in the sense that they make the program hard to learn. Fooling with it will eventually get you to learn it though although the chart tools are hard to find and if you set a certain rule it can be difficult to undo it and if you have tables open you cannot run things although thats it

    Can anyone explain why a database would be better than a spread sheet fro creating a mailing list? Is it just because the columns have information preset?

As your friend, I have to tell you that Someone loves you so much that they would die for you .. they want you to talk to them, to open your door to them ... the door of life.. they really want the best for you and you're probably gonna be reaally upset that I'm talking to you about GOD but I have to I'm scared for you. please don't cut yourself I know how hard it can get but God will deliver you through it all.. just talk to him ..bring all your problems to him.       I think this comment was to emphasize the data integrity offered by databases over spreadsheets. In database software (like Microsoft Access) calculations can only occur in a certain space in the workbook, separate from your table of records (rows of data), so if you are looking for only the original (raw) data or only the calculations on those data it is very easy to find and distinguish between them. This is different from spreadsheet software (like Microsoft Excel) because in spreadsheets you can have data and calculations occur in the same space- even the same row; this mixing of raw and processed data can become confusing, especially if multiple users are working with the same dataset.
      As an example scenario, let's say a forest research team has a set of data describing the trees growing in their research plot. These data may contain information like species names, dates observed, descriptions of the tree's condition, heights, or other measurements. Perhaps some of the team members need to know information about the growth of the trees over time: these people would need to be able to make calculations for the data. But maybe the other team members need to report on the current status of the trees, without any changes. If the data were in an Excel spreadsheet, it would be possible for the calculations team to start typing in the raw dataset and potentially change the information, which would make the reporting teams' job more difficult because they would have to sort through which data were raw and which were edited. In Access, the calculations team would NOT be able to type calculations into the same rows as the raw data, but would be able to complete their work in a separate section of the workbook, allowing each team to complete their tasks without interfering with the success of the other team. With careful management of and communication about the data, Excel could be used effectively by this team, but they would need to agree on how to use the sheets so that they would not accidentally undo or inhibit the work of others.
      Essentially, Access allows more control over where, and by whom data can be manipulated (more organization features) and Excel allows more control over how data can be manipulated (more calculation and representation features).

    I think I need a little more convincing. There’s not anything really that o haven’t been able to do with spreadsheets yet. But after all, database is more useful for large amounts of data and so maybe that’s why I find spreadsheets the better for now.
