  • RFIs can be really helpful for effectively managing a project and maintaining clarity with everyone involved but don't let yourself get too carried away! Learn all about how to write an RFI in construction without making it a source of delay or conflict in this video!

    Here's a checklist based on the tips provided in the video on how to write an RFI in construction:
    1. Maintain Clarity
    Clearly state the information you're looking for.
    Use straightforward language to avoid confusion.
    2. Include Context
    Shape the context for the recipient.
    Provide project details and context to help understanding.
    3. Use The Standardized Format
    Follow the standardized format and templates in your company.
    Keep formatting consistent for predictability.
    4. Be Specific
    Clearly identify what you want and need.
    Avoid vague or ambiguous language.
    5. Include Additional Documents, Drawings & Sketches
    Reference drawings, specifications, or attach sketches.
    Ensure recipients know where to reference for context.
    6. Prioritize Urgency
    Indicate if the RFI is time-sensitive.
    List deadlines and avoid batching urgent requests.
    7. Organize Requests Logically
    Structure the RFI logically with an introduction, body, and conclusion.
    Provide multiple options if possible.
    8. Use A Formal Tone
    Keep the tone professional and positive.
    Avoid accusations or unprofessional language.
    9. Identify Responsible Parties
    Clearly state who is expected to answer the question.
    Include contact details for follow-up if needed.
    10. Track & Reference
    Assign a unique identifier to each RFI.
    Reference previous communication for easy access.
    11. Review For Accuracy
    Have another engineer or manager review critical RFIs.
    Double-check for completeness from the recipient's perspective.
    12. Consider The Impacts
    Clearly communicate impacts, especially if it involves additional costs or schedule extensions.
    Notify the owner and designers separately if necessary.
    13. Request Alternatives If Necessary
    Provide suggestions and alternatives.
    Encourage collaboration and problem-solving.
    14. Acknowledge Receipt
    Confirm receipt and acceptance of the RFI.
    15. Follow Up
    Track RFIs, especially those impacting work.
    Communicate deadlines and progress in meetings.
    Remember to adapt this checklist to your specific needs and project requirements.

    And Whence the great electrician came down from the mountaintop (roof) he spoketh to me thus. "Visions have I had of a wayward circuit whose power remaineth active when their switch be off". Thus I asketh you please check the as-builts and confirmeth the circuit labels are up to date. -Jason's first RFI
