Business Scenario (Flows Lock & Unlock the Record):
To maintain data integrity and prevent unauthorized changes, it is crucial that once an order is marked as "Delivered," the Sales order records are locked from any further edits. This ensures that the records reflect the final state of the transaction without the risk of accidental or intentional modifications.
However, there are instances where a system administrator may need to unlock these records to make necessary adjustments or corrections.
Requirements:
1. Automatic Locking on Status Change:
o When an order’s status is updated to "Delivered," the order record must be locked immediately.
2. Admin-Only Unlock Capability:
o Only users with the "System Administrator" profile should have the ability to unlock the order.
o The unlock functionality should be secure and only accessible under the specified conditions.
Solution Design:
• Locking Mechanism:
o Utilize Salesforce’s automation tools such as Flow to monitor the status field of the order. When the status changes to "Delivered," a trigger is set to lock the order record.
• Unlocking Mechanism for System Admins:
o A custom "Unlock" button is added to the sales order record page and is only visible to users with the "System Administrator" profile.
o This button, when clicked, will unlock the sales order record, allowing for any necessary modifications. The unlock action should be audited, recording which admin performed the unlock and when.
