Do you have any best practices for sharing excel files with links to other data sources? I’ve been using power query a lot more recently and not sure if I’m sharing the final files correctly
It depends if you want those you're sharing the files with to be able to refresh the queries or not. If you do, then you need to ensure they have access to the source files too.

Thanks Mynda.I have a question, maybe for another video: Can you protect a hidden sheet with a password? I tried File Info, protect workbook structure. That works fine. But the user can not find this hidden sheet anymore. So the only way to solve this is to unprotect the whole file. greetings Bart
Hi Bart, if you want the user to be able to unhide the sheet, then perhaps just password protecting the cells, rather than the sheet would be a better solution.
nice, but doesnt matter how I view the share dialogue or share settings, or whether view/edit rights given, the block download is just not available. frustrating. even chatGPT didnt have the answer. and it said I can block download with "allow editing" as well. cant see why we cant block downloading even if we allow editing (entering cell data).

I have a file, where I want the users to populate data. Full edit access on that tab. A second tab then reorders the data (simple "=" to formula) and add other meta data that we need. Can I protect the second tab with the "=" data on it. I tried a few different ways, but it looks like the static data is password protected, but not the cells with the "=" formulas in them.

Mynda, I have a Pivot Table with Data source with over 40 to 50 columns and I am instructed not to send the whole Data Source to other Groups I can send them maybe 15 columns and one column has over 30 Names and I need to send maybe 10 of them by filtering that field. Others are not supposed to see those 30 names so what is my best option? Is there any way that rather than going through the whole process with fewer columns and filtered columns, I hide those columns which I should not be sending but I don't even want them to see that they exist. Hide and Unhide won't work. They will be using double click to see the details but, in those details, I don't want them to see the hidden columns? Is it possible, or not? Thanks
I'd create a file for each user group using Power Query to connect to the source data. Each query will filter the data to only import the data the user is allowed to see. From here you can build your PivotTables and give each user access to their file. Be sure to protect the workbook so the users cannot open the Power Query editor and change the filters whereby giving them access to all the data. No. If the files are on SharePoint then you may be able to deploy folder-wide read only access.
