What happens if the spreadsheets gets either archived or deleted from the in box, does one loose the underlying data or query within powerbi?

That’s correct! The source is email and it needs to be there in the same folder whenever you want to refresh the data.

What if we didn’t get any files or attachments, I am getting mail only with data in the email with out any attachment

If I remember right - You can also bring in the body of the email. It will be under step where we removed the column.. Do take a look
