Wow! This is the second video I've watched from Dr Nitin, and he just packs so much useful information into them, it's astonishing. They've rolled out "new" Teams at work, with loop, and all that other stuff, but the training has been very focused on people who RUN meetings (i.e., admins, running large corporate meetings, planned months in advance, with 100's or 1000's of attendees), with a heavy focus on polls and content management (muting the audience, etc.). That's a particular kind of meeting (one-to-many). But Dr Nitin is giving advice for people who are actually IN (moderately sized) meetings, trying to make decisions, move projects forward, keep track of decisions/actions/discussions. It's really powerful stuff. I'm subscribed!

Very informative video. I have tried with Project Go Live meeting but unable to assign task with external users despite they have federation access with our Teams. It only allows me to assign tasks to people within my organization. Pl let me know how to assign task to other people outside organization but are part of meeting invite. Thank you.
Loop does not allow sharing with external domains. That is by design. If you want well-managed and functional external delegation with accountability, tracking, reporting, and execution, you have to use MS Project along with Project Online.

Thanks @diob450 I don't know for sure. But I would not mix formal data structures with collaborative data structures. So, in my opinion, Loop should not include a database. On a generic note, comparing ONE product of some vendor with ONE product from Microsoft is not appropriate. That is because Microsoft is a platform. Many essential things are pre-integrated. Individual apps are successful because of a key idea. But most other components are either an after-thought or are patched later to fulfil security / compliance gaps. Lot of content available in social media covers specific products, trending topics or new features. That leads to more confusion rather than education. Thank you Dr. Nitin. i wonder if using Teams note taking feature is where i can add tasks with loop components can be transferred from a colleague that left the company to other new member and allow to get up to speed quickly or it is better to transfer those tasks eventually with a power automate flow to a company sharepoint list? My concern is in my company where we manage more than 300 projects worldwide with many project managers across continents, if a resource leave or change roles, is how to transfer information in a most productive way without needs of PC backups, etc. Anyway great contents and extremely helpful videos
Thanks @kitesurfingtravels3522 You must use Project Online Plan 3 for project managers and Plan 1 for all resources. Loop / To Do / Planner are for ad-hoc tasks with no links. My meeting notes are not showing up in the recurring meetings as you described. Is there a setting or a particular way to set them up so make sure they carry through all meetings occurrences?

I cannot find the loop component when creating a new Teams meeting. Also, when i use loop component to create task assignment in Teams chat, it doesn't get sync up with Outlook Tasks. Could it be the IT policy restricting the integration?

What it is not clear to me is how we keep track of the execution of tasks assigned during a meeting. They will be tracked in the loop, but in an organization with many meetings per day, it becomes impossible for a manager to track tasks they assigned during a meeting...if they have to go through every single meeting loop. So, how do we track such tasks?
Thanks @alexmilesg3. That is a very good question. The short answer is - there is no centralized way. Why? Because each Loop Task List is associated with specific meeting. Having said that, if you have a recurring meeting, the same task list will carry forward. If you want a central task list for a project or any initiative that is long-term, create a Team and add Planner Task list. This is a shared task list on a per-project basis. Have a look at the Task Management Best Practices video for details - ua-cam.com/video/vLFpWVfUfQ8/v-deo.html Again, you will need a consolidated view across projects. But that is not available. If you really want a auto-consolidated view across all portfolios and projects, you need to use Microsoft Project Online Plan 2. It is the most structured, unified, integrated and brilliant way to manage all types of tasks by project, bucket, initiative, priority, department and more. Sadly, very few customers use it properly (globally). Incidentally, it is NOT a part of Microsoft 365 and needs to be purchased separately. Check out my other best practices videos as well. Need to switch my corporate device to Windows soon. Hate how Mac version of MS office is missing some of the basic features. For e.g., no ToDo in Outlook 😫
If you have Office 365 subscription, Loop components are generally available as a part of Teams. May be the rollout is taking some time. Pls check after a few days. Also check with your IT team if they have disabled the feature.
Is there an easy way to manage weekly, recurring meetings, with a consistent agenda, and an easy way to reference past weekly meetings, their action items, and discussion points? We use EOS as a management philosophy in my company, and would love to leverage some of this new Microsoft technology, but we are afraid of losing some the task and decision queries we have currently in Confluence, Atlassian’s knowledge base software. I would love to be able to host a weekly meeting, and immediately access the recap from last week, and see the status of all of the To Dos assigned last week that are due today. Great videos and many thanks for your time in sharing this. To Microsoft I would frustratingly say, the first rule of software dev is UI, keep it the same for all platforms. What you show is not available in an OSX environment. Apologies to Microsoft, I stand corrected. Not the case however with Outlook, it has a different UI in Windows, Web, OSX and iOS. It makes me look at other solutions that obey the 1st rule of the same UI regardless of the platform, things like SalesForce, Notion and others. Shame when you assign to a Team the ability to add Loop Components disappears.
Thanks @Coatsey for the feedback and encouragement. Cross-platform feature parity does not seem likely - whatever the reasons might be. If it had to happen it would have happened anytime during the last 3 decades of Office. Having said that, yes other options are there. No doubt. However, it is not about individual application comparison. It is the integration that counts. And in my opinion that is (and has been) the key benefit of Microsoft. IE to Netscape to Chrome to Edge and now Edge with Bing ChatGPT, - Individual ups and downs will keep happening. But the overall integration is still there - and that does not happen by accident. Despite knowing that Office features are grossly unnoticed (and therefore underutilized), Microsoft still adds more features. That is unwavering user focus - in my opinion. Thanks @Coatsey 🙏 Appreciate your open and adaptive approach. I am worried about Outlook specifically and all other Office tools in general. Maximum number of features are on Windows desktop versions of the apps. However, in recent times, I see a concerted effort towards reducing features. Minimizing the UI and the capabilities is regressive. It is possible that it stems from a combination of reasons: 1. Despite having the maximum feature set on Windows, just 0.1 % of features are (mis)used 2. Instead of thinking of features as solutions and trying to discover the needs behind them, most people criticise these tools as bloatware, feature explosion, nonintuitive, clutttered and so on. Therefore, rather than adding more features - that are almost guaranteed not to be noticed - might as well address the long-standing criticism. 3. Many Windows specific features cannot be implemented on browser versions. This leads to sustained disparity. If we have less features - the disparity also reduces. In either case, removing useful features because nobody notices and uses them is a defeatist way of handling the situation. The obvious solution is to educate people. But how do you teach 14000+ features to 1 billion people? No easy path there. Hence we are where we are. And I don't think there is much we can do about it. That is why my approach is to learn every feature, find out its original and intended use case. Map it to business / work context and put it forward in public. I am trying to find a way to reach all the billion+ users of the platform ... Any ideas and thoughts are most welcome. Cheers. Doc.
Wow! This is the second video I've watched from Dr Nitin, and he just packs so much useful information into them, it's astonishing. They've rolled out "new" Teams at work, with loop, and all that other stuff, but the training has been very focused on people who RUN meetings (i.e., admins, running large corporate meetings, planned months in advance, with 100's or 1000's of attendees), with a heavy focus on polls and content management (muting the audience, etc.). That's a particular kind of meeting (one-to-many). But Dr Nitin is giving advice for people who are actually IN (moderately sized) meetings, trying to make decisions, move projects forward, keep track of decisions/actions/discussions. It's really powerful stuff. I'm subscribed!

Very informative video. I have tried with Project Go Live meeting but unable to assign task with external users despite they have federation access with our Teams. It only allows me to assign tasks to people within my organization. Pl let me know how to assign task to other people outside organization but are part of meeting invite. Thank you.
Loop does not allow sharing with external domains. That is by design.
If you want well-managed and functional external delegation with accountability, tracking, reporting, and execution, you have to use MS Project along with Project Online.

No way to hide action items.
Of course you can delete the component or move it somewhere else.
In any case, the action items are visible only to people who were invited for the meeting.

I don't know for sure. But I would not mix formal data structures with collaborative data structures.
So, in my opinion, Loop should not include a database.
On a generic note, comparing ONE product of some vendor with ONE product from Microsoft is not appropriate.
That is because Microsoft is a platform. Many essential things are pre-integrated.
Individual apps are successful because of a key idea. But most other components are either an after-thought or are patched later to fulfil security / compliance gaps.
Lot of content available in social media covers specific products, trending topics or new features.
That leads to more confusion rather than education.

Do you add the loop components for agenda to the reoccurrence or the occurrence tab?
The same loop component carries forward across recurrences.
is it possible to embed meeting participant list in Meeting Notes of Loop? like it happens when you do "send to OneNote" from outlook to create meeting notes page in OneNote?

Thank you Dr. Nitin. i wonder if using Teams note taking feature is where i can add tasks with loop components can be transferred from a colleague that left the company to other new member and allow to get up to speed quickly or it is better to transfer those tasks eventually with a power automate flow to a company sharepoint list? My concern is in my company where we manage more than 300 projects worldwide with many project managers across continents, if a resource leave or change roles, is how to transfer information in a most productive way without needs of PC backups, etc. Anyway great contents and extremely helpful videos

You must use Project Online Plan 3 for project managers and Plan 1 for all resources.
Loop / To Do / Planner are for ad-hoc tasks with no links. There is no way to consolidate and get an org-wide view.
MS Project is the right tool for this.

My meeting notes are not showing up in the recurring meetings as you described. Is there a setting or a particular way to set them up so make sure they carry through all meetings occurrences?

Make sure you use the loop component for notes. It works absolutely fine. All agenda items, notes and action items automatically carry forward. Create a sample daily recurring meeting with four recurrences and test it out.

This happens by default. Is that not working for you?
Create a fresh new recurring meeting in Teams Calendar (not Outlook calendar) and try it out.

@@efficiency365 Doesn't work for me either - colleague and I made several attempts to get this to work. :(
I cannot find the loop component when creating a new Teams meeting. Also, when i use loop component to create task assignment in Teams chat, it doesn't get sync up with Outlook Tasks. Could it be the IT policy restricting the integration?
Try creating meeting in Browser version of Teams.
Tasks in chat will be visible in To Do app. Assigned To Me

Check if IT has disabled it. Loop tasks should appear in To Do app. Open To Do app on browser. Not in Outlook To Do list.

What it is not clear to me is how we keep track of the execution of tasks assigned during a meeting. They will be tracked in the loop, but in an organization with many meetings per day, it becomes impossible for a manager to track tasks they assigned during a meeting...if they have to go through every single meeting loop. So, how do we track such tasks?

That is a very good question. The short answer is - there is no centralized way.
Why? Because each Loop Task List is associated with specific meeting.
Having said that, if you have a recurring meeting, the same task list will carry forward.
If you want a central task list for a project or any initiative that is long-term, create a Team and add Planner Task list.
This is a shared task list on a per-project basis.

Again, you will need a consolidated view across projects. But that is not available.
If you really want a auto-consolidated view across all portfolios and projects, you need to use Microsoft Project Online Plan 2.
It is the most structured, unified, integrated and brilliant way to manage all types of tasks by project, bucket, initiative, priority, department and more.
Sadly, very few customers use it properly (globally). Incidentally, it is NOT a part of Microsoft 365 and needs to be purchased separately.

Need to switch my corporate device to Windows soon. Hate how Mac version of MS office is missing some of the basic features. For e.g., no ToDo in Outlook 😫
Use browser and mobile version. Even the To Do shown in Outlook desktop version is just a browser render.
That loop component doesn't show up when I create a meeting. Is there a setting I need to add so it shows up when creating a meeting?
Update Teams app. Or try the browser version.

If you have Office 365 subscription, Loop components are generally available as a part of Teams.
May be the rollout is taking some time. Pls check after a few days.
Also check with your IT team if they have disabled the feature.
Is there an easy way to manage weekly, recurring meetings, with a consistent agenda, and an easy way to reference past weekly meetings, their action items, and discussion points?
We use EOS as a management philosophy in my company, and would love to leverage some of this new Microsoft technology, but we are afraid of losing some the task and decision queries we have currently in Confluence, Atlassian’s knowledge base software.
I would love to be able to host a weekly meeting, and immediately access the recap from last week, and see the status of all of the To Dos assigned last week that are due today. Hope that makes sense! Really appreciate your content.

The Task list added as a loop component in meeting carries forward for recurring meetings.
That is exactly what you want.

Standard. Loop is available across Teams, Outlook, Word and by itself.
Great videos and many thanks for your time in sharing this. To Microsoft I would frustratingly say, the first rule of software dev is UI, keep it the same for all platforms. What you show is not available in an OSX environment. Apologies to Microsoft, I stand corrected. Not the case however with Outlook, it has a different UI in Windows, Web, OSX and iOS. It makes me look at other solutions that obey the 1st rule of the same UI regardless of the platform, things like SalesForce, Notion and others. Shame when you assign to a Team the ability to add Loop Components disappears.

Cross-platform feature parity does not seem likely - whatever the reasons might be.
If it had to happen it would have happened anytime during the last 3 decades of Office.
Having said that, yes other options are there. No doubt.
However, it is not about individual application comparison.
It is the integration that counts. And in my opinion that is (and has been) the key benefit of Microsoft.
IE to Netscape to Chrome to Edge and now Edge with Bing ChatGPT, - Individual ups and downs will keep happening.
But the overall integration is still there - and that does not happen by accident.
Despite knowing that Office features are grossly unnoticed (and therefore underutilized), Microsoft still adds more features.
That is unwavering user focus - in my opinion.

I am worried about Outlook specifically and all other Office tools in general.
Maximum number of features are on Windows desktop versions of the apps.
However, in recent times, I see a concerted effort towards reducing features.
Minimizing the UI and the capabilities is regressive.
It is possible that it stems from a combination of reasons:
1. Despite having the maximum feature set on Windows, just 0.1 % of features are (mis)used
2. Instead of thinking of features as solutions and trying to discover the needs behind them, most people criticise these tools as bloatware, feature explosion, nonintuitive, clutttered and so on. Therefore, rather than adding more features - that are almost guaranteed not to be noticed - might as well address the long-standing criticism.
3. Many Windows specific features cannot be implemented on browser versions. This leads to sustained disparity. If we have less features - the disparity also reduces.
In either case, removing useful features because nobody notices and uses them is a defeatist way of handling the situation.
The obvious solution is to educate people. But how do you teach 14000+ features to 1 billion people?
No easy path there.
Hence we are where we are. And I don't think there is much we can do about it.
That is why my approach is to learn every feature, find out its original and intended use case.
Map it to business / work context and put it forward in public.
I am trying to find a way to reach all the billion+ users of the platform ...
Any ideas and thoughts are most welcome.

So meeting notes in OneNote is dead?
Not at all. You can capture personal notes on OneNote.. It is also great for lecture notes, research and capturing unstructured data.
