I have been using AirMail for years and just purchased a new MacBook Air. I couldn't get it set up properly so I "resorted" to Apple Mail. This video helped me enormously - thank you for making it!
I would love to select a ‘Save to” mailbox as an option for emails I send. I have a mailbox for each client/customer I service. All my created emails end up in my sent folder, which I then copy to the appropriate client mailbox, if I remember at end of day - a real pain. It would be so much easier to have an option to select any mailbox, or none, before sending. I know there must be others out there that need to save sent mail. It would be fun to see which of your viewers have the most number of emails currently sitting in their sent folders!

4:20 I'm having trouble getting those columns to stay. No matter how many times I re-size them to include the full subject of all messages, they end up eventually reverting so that those fields don't fully show each subject email. I have a 15" screen so I know that isn't the issue. Anyone know about how to fix this?
There was a really useful feature that Apple removed and I can't understand why. When you've replied to or forwarded a message and the message is still in your inbox for future reference, a little arrow appeared to the left in the message. When you clicked that arrow it took you to the message you sent. Now that no longer does that. There is another function that most mail apps have always had that Apple mail has never had and that is the ability to scroll through your unread messages with marking them as "Read." I get a fair amount of email every day. If I scroll down through 20 of them looking for something in particular, now all of the mail I have just scrolled past has been marked as read. I know you can "Page through" multiple emails quickly but the ability to scroll is much more useful. There used to be an app that fixed that but it hasn't been updated in years and doesn't work with the newer MacOSs.
Hi Gary, I'm on OS 12.2.1. For tracking purposes (using Mailbutler), I'd like to send each member of a mac mail group an individual identical email without everyone else's email in the To or Cc field. Bcc doesn't work for this purpose as it doesn't allow tracking. Is this possible without having to create a separate email for each recipient? Thank you!
The sidebar doesn't have a color, but depending on your settings it will tint with the color of the background wallpaper behind it. See ua-cam.com/video/NzIZyDPLmbc/v-deo.html for options to turn it off.
@@macmost Wish it was that simple. I have tried a lot of things. This is not effective to move the heading group of Favorites to the top. You can only click and drag mailboxes within a group. I dont know if I could share a screen shot to show the issue.

No, there's no function for that. Also, I would be worried when doing that about what the recipient would see. Remember that what they see depends on the capabilities of their email app. Even if it supports tables, what if they are using a narrow screen (phone).
Here is the main problem that I have with Fonts on the Mail app. I want to be able to see larger text without impacting the font that is sent back on the reply. Outlook for example allows you to change your view (smaller/larger) without having this effect. The mail app is so limited. If you are using a 4K display or better, its difficult to view. And if you change the display resolution, you of course impact every application that you view.
I am curious as well. In outlook you can zoom in, which means the size of the fonts stays the same, but the preview will be enlarged. It seems the author of this videos never used a 4k monitor or his eyesight is perfect.

Same solution for part two of my question - when I write an email that's all I want to see on the screen - just as if I were using Word. Not really. But maybe I could suggest something if I knew WHY you wanted to do this. For instance, if the goal is to make it easier for you to read, perhaps some of the macOS accessibility options would accomplish that.

Invaluable resource! I have been racking my brain and the help tab in Mac mail. I have 6 separate emails and 5 of them have their own "all sent" box. How do I add a "all sent" for the last one? I would greatly appreciate your wisdom.
Hi Gary, I'm on Big Sur, and when I open Mail in full-Screen mode, and want to compose a new message, a new windows opens and it will NOT go to split view. So there must be just one other setting that triggers the split view, but I do not know which 🤷🏼♂️
That feature hasn't been around for many years. Probably for the best as it is hard to guess if the recipient can even see those given they could be using mail apps on a variety of desktop and mobile devices.

@@javtimestwo Not sure what you mean. You can't customize the sidebar color of the Mail app. I was merely explaining why my sidebar color looked different, which is what I thought you were asking. If you use a solid color as a Desktop background then the Mail window's left sidebar will take on an aspect of the color. But that's all you can do.
@@macmost gotcha 10-4. I appreciate it. sorry for misunderstanding. I'll see if I can find a background color that will possibly change the sidebar color from time to time. I really don't prefer the bright/white color of my sidebar, even with the blue highlights. thank you!
Thanks Gary - Learned a lot from this Video; Now if there was some way I could get emails I reply to to go into the Folder of the original Message rather then Sent (as per my old Windows Email Client) MacMail would be perfect.
Just recently all my mail (gmail) started disappearing (deleting) from mac mail and of course being imap they dissappeared from gmail as well, after lots of googling I found a way to get them all back folders and all (phew) but I want a way to back up everyday everything in mac mail, folders, sub folders, mail etc to desktop not time machine, I know I can export folders but seeing as I have a lot of folders this would be extremely time consuming, I wish mac mail had a backup facility. Do you have any suggestions even third party apps would be better than nothing cheers even if you don't know could you let me know. thanks wendy love your tutorials
IMAP is really all about the server and you only have a cache of that on your Mac to make viewing easier. Look for ways to download your Google IMAP data from Google for a backup if you really want that.
How do you customise incoming mail sounds ? I don't mean the sounds that come with the mail program, but something you download. I've downloaded a sound, converted it into AIIF, it appeared in itunes. How do I install it in Apple mail ?

Hi Gary, before Big Sur when looking for a particular email there was an option to click From & it would alphabetize the emails to quickly find what I want. I have not been able to find it, Is it hidden? You are such a gem!
You can just move and resize a window to one side, and move and resize a window to the other side if you like. There are even shortcuts for that (Window menu, hold down the Option key).

No, read means read. It sounds like you are storing both read and unread in your inbox. Instead, if you want to differentiate, use your inbox only for unread (or email where you still need to take an action) and archive for email you have dealt with. Ignore read/unread.
Hey Gary, I'm on Catalina and I always wanted to use something native instead of downloading 3rd party. The thing about the native mail on Catalina is, instead of sorting emails based on accounts as shown in this video (I.E Each email account has their down inbox, drafts, sent folder etc), they are sorted based on categories (I.E Inbox dropdown shows 3 accounts, draft dropdown shows 3 accounts etc). How do I configure it to sort based on accounts basis?
Yes. Create a new mailbox folder. Move the draft from Drafts to that folder. Then open that message and select Message, Send Again. This makes a copy of the message ready to go.
Another great video thanks. An email sent from Mac Mail ends up with a different font when viewed on recipient’s PC in Outlook. Try it if you don’t believe me folks. Anyone found a solution to this?
If the other person doesn't have that font, then yes, it will have to be displayed in a different one. If you are sending plain text emails, then they will see it according to their font settings in their Mail app. Why do you need them to see the exact same font? What's your use case?

Is there any way by which in Sent Items view I want to see in Column Lapyout whereas in Inbox I want a different view ? I am checking as in Outlook for Mac as well as in Windows this option is there ? When I checked in mail what I found was that once I change a view, it changes all across . The reason is in sent items I want Sent to in the column view whereas in Inbox I want from whom was the mail received. Do you mean your inboxes under Favorites? First, hover over Favorites and see if you you simply closed the Favorites. Look for the > button and click it to hide/reveal. If they are revealed ( > pointing down) then click th + button you should see next to it and add your inboxes and All Inboxes back in.
For me this issue is all accounts email come in one folder, I don't like that, I want to spread them inbox and sent box-like windows, I have different emails ... Do you have a solution for that?
Hey Gary ! Im loving your videos and im even addicted. I watched most of them everyday and I need more :) you explain things really in a good way and make Macos look really powerful. I would appreciate if you could also do videos on IPadOS as I have many issues with it. After viewing your videos I deleted most of the apps im using and started using the ones you recommend only (including antivirus removal and cleaning apps..etc). Ive moved from spark to Apple mail. However I have some issues and appreciate your reply on it. First its consuming load of CPU suddenly when I send an email or the screen splits (even when mailbutler is off). Second I tried creating on exchange web rules so my folders would be synced across my apple devices, however the folders were not syncing sometimes unless you go through them and second issue is that if I open an email inside a folder it doesnt reflect on the main mailbox if its a move or copy. Sometimes the rule is to move but i find it in two inboxes. I tried using the smart mailboxes which isnt useful for many apple devices, the issue that its not filtering emails right by subject contains and by Sender from is equal to. I tried so much. Im thinking of going back to spark somehow. I do receive thousand of emails per week.
If you are using Exchange's folders and then also trying to use the Mail app's Smart Mailboxes, you could be overcomplicating things. Try to stick with just Exchange's features if that is your email server of choice. Most of what you talk about is specific to the server (Exchange) not the client (the Mail app). I don't use Exchange so I can't help much, sorry.
@@macmost that was quick thanks. No im not using both smart folders and rules. I was testing both of them only to find out which works. Exchange server is used for for my work email so i must stick to it. Are you saying that cpu issue and wrong smart filtering is from the server ? Nothing wrong perhaps by my rule?
@@Abdullah-zl9ub I don't know what your CPU issue is. Could be that Mail is still syncing with your Exchange server. Could be that Mailbutler is using the CPU. Or it could be fine. Remember that unused CPU is not helpful so if your apps can use it for some processing they should.
I have Mac Mojave 10.14. In My pref/font/color : the message list font change bar is dim therefore I can't change email message size and its getting far too small to read. Can't find a way help to fix... help
It is probably one of the "SF" fonts. But if you want it to be the exact one, I don't know which one of those Mail is using. You'll need to then go to System Settings, Privacy & Security and grant Full Disk Access to Terminal. Then launch Terminal and enter: defaults delete -app Mail MessageListFont. Then restart Mail. That should do it.
Can you please help me as to why my Junk mailbox gets so many ad mails every day? It’s driving me mad, I’ve enabled some rules but to no avail. Thank you
Rules won't help against real spam as it always comes from fake email addresses. If these are going to your Junk mailbox, then that's exactly where they should be.
Hi Garry, can you explain to me why some people on a group email have the WHOLE thread included every time they comment? and others don't? I like that the conversation is grouped, but SO much scrolling for some of the replies?!
@@macmost Thank you for your reply. Just to clarify, they are replying to a conversation, as are others in the group. For some, their every response has pages and pages of the entire thread included, which means I am scrolling through around 10-15 screens of thread every time they respond. For others, it is just their response (still grouped in the conversation but without the pages and pages of thread every time). Hope this makes sense. Happy with the emails grouped in conversation but trying to turn of the repeats of thread from some of the participants. Not sure why it happens for some and not others in the same conversation.
I wish you would explain mail/contacts group list functions. I say this because I can’t get a group list to work. I’ve literally given up on Mac mail because of this, and use outlook instead.
Groups don't have much to them. Just create a group in the Contacts app and add a few people to it. Then in Mail if you want to send an email to that group, instead of having to add each one individually, just type the name of the group.
@@macmost - Try it. Let’s say you have a property manager, contractors, or employees that manage multiple properties. Try and add them to multiple groups and you cannot. Each contact can be a member of only one group. This renders apple email groups moot. Not joking, completely useless. Let’s say too if you have a property with multiple buildings, and you need to set up multiple groups of the different buildings so you can email notices out, reminders, or notifications or say maintenance issues. You can’t have any contact in more than one group.
@@Erin-Thor I just tried it. I was able to create two groups and add the same two names to each group. No problems, it just worked. Are you storing your contacts in iCloud? Maybe this doesn't work with other storage systems, like Google or Yahoo?
to @macmost Hi, I'm sorry I wasn't clear but I figured out that the title bar colors (fading from purpilish to blue on your menu bar) is from your theme. My only gripe with MacMail is no color to really personalize it. I'm an individual and like to change things to suit my individuality. And with IOS (sheesh) it's sometimes difficult to do. Everyone? They should see the "from" according to their Contacts app (or equivalent). But also make sure you have your contact set up right in the Contacts app.
One question, off the topic. I'm a brand designer and I bought an Ultra Mac M1. But it runs so slowly that I can not even do my job properly. It is laggy and extremely annoying. It is broken or I'm doing something wrong? I'm thinking of asking for a refund or replacing it. Extremely disappointed.
Impossible for me to tell. It shouldn't be slow. Have you installed something that could be slowing it down (security software, system extensions, etc)? Is the internal drive almost full, maybe?
Could be referring to Mac Mail's "local" junk mail, filtered by the Mail app. And what you are seeing is the junk mail filtered by your email service. Just delete it as normal or ignore it.

You can also change the font in the inbox column or any of the favorites that you have selected.

You can't. What is it you are trying to do? If you want the attachments at the end of the message, just put them at the end.

Probably because this is a tutorial from before that feature was added. Which version of macOS do you have?

That should be automatic. They should both be under All Inboxes and you just select that and it shows you everything in both.

Move your pointer to the right of "Favorites" at the top of the sidebar. Click +. Then add All Sent.

Hi Gary, I'm on Big Sur, and when I open Mail in full-Screen mode, and want to compose a new message, a new windows opens and it will NOT go to split view. So there must be just one other setting that triggers the split view, but I do not know which 🤷🏼♂️
Yup. Just tested this and same thing happened to me.

How do you add stationary on the new Mac mail that used to be there?
That feature hasn't been around for many years. Probably for the best as it is hard to guess if the recipient can even see those given they could be using mail apps on a variety of desktop and mobile devices.

Customize toolbar is new to me and I need to use that more often. How did you get your sidebar to be a diff color from the rest of the Mac mail?
The Mail sidebar in Big Sur is translucent, taking on some of the color of your Desktop background.
@@macmost thanks for the feedback but that does not apply. I have "colors" as my desktop background that is also set to random order, and my sidebar is very "white/bright". Any suggestions?
@@javtimestwo Not sure what you mean. You can't customize the sidebar color of the Mail app. I was merely explaining why my sidebar color looked different, which is what I thought you were asking. If you use a solid color as a Desktop background then the Mail window's left sidebar will take on an aspect of the color. But that's all you can do.
@@macmost gotcha 10-4. I appreciate it. sorry for misunderstanding. I'll see if I can find a background color that will possibly change the sidebar color from time to time. I really don't prefer the bright/white color of my sidebar, even with the blue highlights. thank you!

Do you mean in the left sidebar? You have to order them manually, or the order is determined by the email service you are using.
Thanks Gary - Learned a lot from this Video; Now if there was some way I could get emails I reply to to go into the Folder of the original Message rather then Sent (as per my old Windows Email Client) MacMail would be perfect.
One way would to be CC: yourself on the reply.
Just recently all my mail (gmail) started disappearing (deleting) from mac mail and of course being imap they dissappeared from gmail as well, after lots of googling I found a way to get them all back folders and all (phew) but I want a way to back up everyday everything in mac mail, folders, sub folders, mail etc to desktop not time machine, I know I can export folders but seeing as I have a lot of folders this would be extremely time consuming, I wish mac mail had a backup facility. Do you have any suggestions even third party apps would be better than nothing cheers even if you don't know could you let me know. thanks wendy love your tutorials
IMAP is really all about the server and you only have a cache of that on your Mac to make viewing easier. Look for ways to download your Google IMAP data from Google for a backup if you really want that.

Hi Gary, before Big Sur when looking for a particular email there was an option to click From & it would alphabetize the emails to quickly find what I want. I have not been able to find it, Is it hidden? You are such a gem!

You can just move and resize a window to one side, and move and resize a window to the other side if you like. There are even shortcuts for that (Window menu, hold down the Option key).

No, read means read. It sounds like you are storing both read and unread in your inbox. Instead, if you want to differentiate, use your inbox only for unread (or email where you still need to take an action) and archive for email you have dealt with. Ignore read/unread.
Hey Gary, I'm on Catalina and I always wanted to use something native instead of downloading 3rd party. The thing about the native mail on Catalina is, instead of sorting emails based on accounts as shown in this video (I.E Each email account has their down inbox, drafts, sent folder etc), they are sorted based on categories (I.E Inbox dropdown shows 3 accounts, draft dropdown shows 3 accounts etc). How do I configure it to sort based on accounts basis?

What email service are you using? Perhaps it doesn't have an archive function. The Mail app is just your interface to your email service.
Is it possible to retain a draft email. I.e. create an email, save as draft but when used you keep the draft for future use.
Yes. Create a new mailbox folder. Move the draft from Drafts to that folder. Then open that message and select Message, Send Again. This makes a copy of the message ready to go.

Another great video thanks. An email sent from Mac Mail ends up with a different font when viewed on recipient’s PC in Outlook. Try it if you don’t believe me folks. Anyone found a solution to this?
If the other person doesn't have that font, then yes, it will have to be displayed in a different one. If you are sending plain text emails, then they will see it according to their font settings in their Mail app. Why do you need them to see the exact same font? What's your use case?

I don't believe so, no. Those are something special Google does in its web interface and not something a mail client app sees.

Is there any way by which in Sent Items view I want to see in Column Lapyout whereas in Inbox I want a different view ? I am checking as in Outlook for Mac as well as in Windows this option is there ? When I checked in mail what I found was that once I change a view, it changes all across . The reason is in sent items I want Sent to in the column view whereas in Inbox I want from whom was the mail received. This is elementary as I am concerned however not able to see that option in Mac Mail
No, I don't think you can do that in Mail.

Go to your Send email mailbox first, then search.

Do you mean your inboxes under Favorites? First, hover over Favorites and see if you you simply closed the Favorites. Look for the > button and click it to hide/reveal. If they are revealed ( > pointing down) then click th + button you should see next to it and add your inboxes and All Inboxes back in.
For me this issue is all accounts email come in one folder, I don't like that, I want to spread them inbox and sent box-like windows, I have different emails ... Do you have a solution for that?
Hey Gary ! Im loving your videos and im even addicted. I watched most of them everyday and I need more :) you explain things really in a good way and make Macos look really powerful. I would appreciate if you could also do videos on IPadOS as I have many issues with it. After viewing your videos I deleted most of the apps im using and started using the ones you recommend only (including antivirus removal and cleaning apps..etc). Ive moved from spark to Apple mail. However I have some issues and appreciate your reply on it. First its consuming load of CPU suddenly when I send an email or the screen splits (even when mailbutler is off). Second I tried creating on exchange web rules so my folders would be synced across my apple devices, however the folders were not syncing sometimes unless you go through them and second issue is that if I open an email inside a folder it doesnt reflect on the main mailbox if its a move or copy. Sometimes the rule is to move but i find it in two inboxes. I tried using the smart mailboxes which isnt useful for many apple devices, the issue that its not filtering emails right by subject contains and by Sender from is equal to. I tried so much. Im thinking of going back to spark somehow. I do receive thousand of emails per week.
If you are using Exchange's folders and then also trying to use the Mail app's Smart Mailboxes, you could be overcomplicating things. Try to stick with just Exchange's features if that is your email server of choice. Most of what you talk about is specific to the server (Exchange) not the client (the Mail app). I don't use Exchange so I can't help much, sorry.
@@macmost that was quick thanks. No im not using both smart folders and rules. I was testing both of them only to find out which works. Exchange server is used for for my work email so i must stick to it. Are you saying that cpu issue and wrong smart filtering is from the server ? Nothing wrong perhaps by my rule?
@@Abdullah-zl9ub I don't know what your CPU issue is. Could be that Mail is still syncing with your Exchange server. Could be that Mailbutler is using the CPU. Or it could be fine. Remember that unused CPU is not helpful so if your apps can use it for some processing they should.
I have Mac Mojave 10.14. In My pref/font/color : the message list font change bar is dim therefore I can't change email message size and its getting far too small to read. Can't find a way help to fix... help

It is probably one of the "SF" fonts. But if you want it to be the exact one, I don't know which one of those Mail is using. You'll need to then go to System Settings, Privacy & Security and grant Full Disk Access to Terminal. Then launch Terminal and enter: defaults delete -app Mail MessageListFont. Then restart Mail. That should do it.

Rules won't help against real spam as it always comes from fake email addresses. If these are going to your Junk mailbox, then that's exactly where they should be.
Hi Garry, can you explain to me why some people on a group email have the WHOLE thread included every time they comment? and others don't? I like that the conversation is grouped, but SO much scrolling for some of the replies?!
If they are replying to past emails then it would group them if you have that feature turned on.
@@macmost Thank you for your reply. Just to clarify, they are replying to a conversation, as are others in the group. For some, their every response has pages and pages of the entire thread included, which means I am scrolling through around 10-15 screens of thread every time they respond. For others, it is just their response (still grouped in the conversation but without the pages and pages of thread every time). Hope this makes sense. Happy with the emails grouped in conversation but trying to turn of the repeats of thread from some of the participants. Not sure why it happens for some and not others in the same conversation.
I wish you would explain mail/contacts group list functions. I say this because I can’t get a group list to work. I’ve literally given up on Mac mail because of this, and use outlook instead.
Groups don't have much to them. Just create a group in the Contacts app and add a few people to it. Then in Mail if you want to send an email to that group, instead of having to add each one individually, just type the name of the group.
@@macmost - Try it. Let’s say you have a property manager, contractors, or employees that manage multiple properties. Try and add them to multiple groups and you cannot. Each contact can be a member of only one group. This renders apple email groups moot. Not joking, completely useless. Let’s say too if you have a property with multiple buildings, and you need to set up multiple groups of the different buildings so you can email notices out, reminders, or notifications or say maintenance issues. You can’t have any contact in more than one group.
@@Erin-Thor I just tried it. I was able to create two groups and add the same two names to each group. No problems, it just worked. Are you storing your contacts in iCloud? Maybe this doesn't work with other storage systems, like Google or Yahoo?

to @macmost Hi, I'm sorry I wasn't clear but I figured out that the title bar colors (fading from purpilish to blue on your menu bar) is from your theme. My only gripe with MacMail is no color to really personalize it. I'm an individual and like to change things to suit my individuality. And with IOS (sheesh) it's sometimes difficult to do. When people get emails from my Apple mail it's label is user? I want it to have my name as the label.
Everyone? They should see the "from" according to their Contacts app (or equivalent). But also make sure you have your contact set up right in the Contacts app.

I'm a brand designer and I bought an Ultra Mac M1. But it runs so slowly that I can not even do my job properly. It is laggy and extremely annoying. It is broken or I'm doing something wrong? I'm thinking of asking for a refund or replacing it. Extremely disappointed.
Impossible for me to tell. It shouldn't be slow. Have you installed something that could be slowing it down (security software, system extensions, etc)? Is the internal drive almost full, maybe?
Under mailbox menu erase junk mail. It does not get rid of the mail in junk, I must delete it and then remove trash all accounts?
Could be referring to Mac Mail's "local" junk mail, filtered by the Mail app. And what you are seeing is the junk mail filtered by your email service. Just delete it as normal or ignore it.

Sorry, I'm not sure what could be wrong. Check in System Settings and also in Mail settings. Also in the Edit menu as there are settings there too.
