Can you do a video on how to set up vendors for ACH payments and the process to pay vendors via ACH? We are on QB Desktop Pro Plus 2022 version and pay bills in batches every couple of weeks, currently by check. The owner doesn't want to keep signing checks but I can't seem to find good info on how to set up the vendor info with their ABA and A/C #'s in QB to get this started. I've reached out to QB tech support but they are not being responsive. Thanks!

Do you have a best practice for entering bills with vendors that have 'auto draft' payments? More specifically, when they show up in the Online Bank Feeds Transactions List the deducted amount will marry up to a bill and be recognized as the same transaction, and be toggled as such?
To be honest most people don’t enter a bill with auto drafts. They just take it as an expense as it comes through the bank feed. You can enter the bill and then offset the bill with the auto draft but it does create more work

Thanks! It’s not a bad thing but as you grow you can stretch out when you pay your bills for cash flow planning. It can be an effective cash flow planning tool to stretch them out
Question so how do we set up the accounts, so that it transfers or pays the bill? does that make sence? If I hit pay bill and marked it as an EFT, is it actually making that payment or is it up to me to go pay that bill online?

You’ll have to do 2 partial pays. Go to pay bills and pay the first form of payment, save and new, then record paying the rest with the other form of payment

Yes you can do that. It will take a bit of time of course. If you wanna just do it quickly then you could just enter the checks already cleared instead of entering the bill and paying the bill

We enter multiple bills for the same vendor but have to print separate checks for them. Is there a way to batch print them all on separate checks or do we have to print them all separately?
Go into Pay Bills, check off one to pay and choose Print Later. Save and close. Repeat this for all you want to pay. Then go to File, Print Checks and they will be there to print on separate checks

I tried to add the check number but it would not let me do that. How to I delete them or put them to the correct checks? Again, the bills have already been paid and deducted from the bank account but they are still in the bills to be paid???
I could not disagree with this more. You keep a check register and print checks one week early so you expect to mail payments when necessary. Just because you set up payment in system does not mean you execute payment. I take the week to review the paperwork that goes with transactions if I am managing check/ach payments for companies. What that means is having a good and secure admin process for unsigned checks. If you are an admin mess then you risk lost checks. If you manage correctly that is a non issue. Doing regular payables work is so important and how you find errors. If not it backs up and you “miss” key items.
Yes you have a point. I would say though from a small business owner standpoint you simply don’t have the resources to properly segregate duties, and most people need to know HOW to use QuickBooks vs how to properly set up an AP management system.
What does the vendor see when you choose to pay bills electronically? If I chose this option I don't want to have to entertain multiple phone calls from vendors on what invoices I have paid. Thank you
I’ve been waiting over a week for a large Quickbooks payment to process from my client. No idea how long it will take. This is unacceptable that they would keep me in the dark. I may have to ask them to stop payment. I would think twice before using Quickbooks as a payment solution. This is the very stressful and the company has NO response other than apologies and vague estimates of how long it is supposed to take. This should be illegal.

You don’t need to. You add the class when you enter the bill

It’s up to you to make the actual payment. They do have a service that you can use to pay it electronically but it’s not cheap

What you want to do is when you go to pay bills, down at the bottom there is a drop down of “Pay From” account. Change that to Cash in Drawer

If you don’t make a profit on it then I would record as a liability when deposited then use that account when you pay it out to wash it to zero

You would not record that in the books since the stock sale takes place outside of the company

what happen if introduce QuickBooks a bill and the bill have a credit how fixed?
What about statements with multiple invoices? What if you only pay a few of the invoices from that statement. I’d like to see a video like this. 🙂
Each of those invoices would be entered separately and then you can choose which ones to pay in the Pay Bills function
