Rachelle, this approach is a fantastic way to structure a calendar. Props to you and appreciate such a helpful resource from a 10+ year corporate manager who is having his mind blown that I’ve never heard this before! 😂 Thank you!

Rachelle just started this way of time blocking and it's been a game changer. I watched the original video too but yours made much more sense to me and shows me where I am spending my time much better than any time blocking technique I've tried so thank you for sharing this!

I've also been using Danielle's system ever since I saw that video! I've made a few adjustments to work for my life, but it's been a really helpful way to visually connect with my schedule.

Wow, what a thorough overview of this system! My understanding of "timeblocking" was to set aside a chunk of time dedicated to specific tasks. Where the variation comes in is how people group or label their tasks. One timeblock could be "morning routine" for 1 hour, but someone else might break that down into "movement routine" for 30 minutes and "hygiene routine" for 30 minutes. It depends entirely on how people are breaking down their blocks of time. I think time blocking is the most useful when we focus on task batching and deep work, NOT when we micromanage what we're doing minute-by-minute in that time block. Unless having timed schedules is helpful for someone, using timeblocks in that way just defeats the purpose of timeblocking; it creates more blocks inside the block instead of using the original timeblock. Maybe for some folks, setting down what time you'll drink water and eat breakfast is helpful, but I start to feel like garbage if I "miss" those times and it does not honour my body's cues and needs. That was the main reason I stopped using this system.
Ironically, I saw Danielle's video in fall 2023! The system became so incredibly overwhelming when I tried it for about 12 weeks. It also didn't fit my needs well because of my type of job and lifestyle. I'm a homebody and I do not have a lot of appointments, events and meetings. My work is asynchronous and very flexible; I set my own work times. My work stuff is also in a separate email account, so I would have multiple calendars (all the ones in personal and all the ones in work), or I'd need to duplicate stuff. My work tasks are also incredibly repetitive, but I need a list of the specific things I need to do, and how long those tasks take varies a lot. I also have chronic illness and take a lot of sick days. My "routines" are also not task-based but intuitive.
The categories were helpful for me to explore though. For example, my tier 1 calendar was "Appointments & Commitments" so that it could include things like deadlines. I read a lot of library books, and I need to note down when books are due back and when holds need to be picked up by (my library doesn't have fines for late returns, but they do have fees for not picking up a hold by the deadline), and that goes into the appts and commitments. Tax season is coming up, so I would put that deadline into the calendar. Trash and recycling days were in that calendar too. Pretty much any time-sensitive stuff went into the first tier, whether it was in a specific hour or a specific day. Knowing where those fit into a category helped me reduce the mental load by noting it down somewhere instead of relying on my memory to remember when something was due. I realized it could go into a calendar because it was time-dependent, even if it wasn't linked or tied to specific hours or minutes of a day.
The way the time flex tier appears visually is... Pretty much identical to timeblocking as I've seen on others' calendars. The difference is the "Flexible Ideal" and the mindset that it's optional but aspirational.

Hiii omg I remember you! I’m sorry to hear it didnt work out long term with the system but funnily enough if I were to do an update of that video it would look different! I still follow the tiers of flexibility but my blocks are bit less specific these days and it’s working well for me😅 I always hoped yall would take the premise of flexibility and make it your own ya know? 🩷 And thank you again Rachelle for helping spread this idea, I’m proud of it❤

I think I will try this with different colors on the same calendar, not separate calendars. I have multiple shared calendars, including sharing mine with others. Creating so many separate calendars would be clutter for everyone involved. But the tiers and the color coding are brilliant and helpful!

Love it Rachelle! I use google calender and Sunsama. This way of timeblocking with the tier system is brilliant. This will help me better create flexibility into my system. :) So simple, yet so important. With so many things to keep track of, being able to prioritize and almost peel back the layers will help me a lot. Looking at just appointments when needing to change plans, and then also seeibg the overview. Also like the color coding seeing levels. 🎉 Thanks for another great video.

I like your channel, I like listening to your videos while walking or in bed in the evening. My tasks can only be combined in a certain way and I would not be able to schedule them in my calendar as most of them depend on the current up/download speed in the town I’m in at the moment and also on the amount of photos and infos I have to put into my magazine for that day. I have way too many tasks I feel and I always do several of them at once like there are always downloads and uploads during whatever I do on the MacBook but I can’t combine downloads/ uploads with working on my online magazine during my morning routine because I have breakfast in a cafe and I only take my iPad with me there, but I can up-/download during walks as I can’t work on any documents while walking.

I like your videos, only this time- you can do all these things in gmail... including a seperate list just for daily tasks. Nevertheless I find it helpful as a different way to use my gmail...I will definetly give it a try , thank you.

I totally understand sponsored videos, but this was more of an advertisement for Akiflow than how to time block effectively. Akiflow’s price point is absolutely ridiculous for what it does. Rachelle, I love love love your videos, but this one was definitely far off from your normal vibe. I will still check out Danielle’s video and maybe instead of creating different calendars, I’ll do something with color coding in the same system. Having so many calendars is just a whole lot of clutter.

Akiflow is just a stupid aggregator.. being a software engineer you should know just how basic this unification personality is... Building integrations isn't a big deal... Building truly productivity aware software is rare... Especially for ADHD / Autism...
Lost respect for you a little today Rachel.. sorry but you just plugged a sponsor for your own on to someone else's already well known video.. changed nothing... You have a lot more followers than Danielle... They surely won't go to her videos especially coz you changed nothing...
Danielle should issue a DMCA takedown against this... It's so bad
