My issue with undeposited funds is that we need to totally get rid of outstanding undeposited funds without affecting the customer account balance. The deposits were made via credit card and that was not an option when the account was mark paid. Basically right now our income is overstated.

I am using the Quickbooks online version, which is so different from the desktop version I had used years ago. I have an issue with Undeposited Funds showing hundreds of thousands of dollars in that category and I have no idea how to fix it. Does your master class cover the Online version? Thank you!
@@QbuniversityOrg Thank you. I went on your University page but al the classes I see appear to be for QB desktop version, not the online version. As I mentioned in my previous post, I used to work with the desktop version several years ago and enjoyed it because, once learned, it was relatively straightforward and easy to navigate. However, the online version is a different story. Not only has the QB online version changed names of reports, but it also does not offer the form that generated the amounts/form parts for the 990. I find it very confusing and, because of it, the account I work with is a royal mess. I would have never changed versions if it had not been for the fact that it was much smoother to have shopping cart transactions transfer automatically to the online version, thus eliminating the need to create or add the customers accounts. I have regretted the decision since then.
Can I delete a payment that was made toward an invoice ? I have mistakes. I want to deposit several payments into one big deposit to match the bank statement.
I did a deposit from undeposited funds with several checks and didn't realize there was a deposit I wanted to put in from last month included with the daily stuff. If I void and start over will it be as if I never did the deposit. Or is there an easier way to split the deposit by date?
I received a payment via QuickBooks cc payment, I marked the payment received like I normally do by going to the invoice, but I have this amount in undeposited funds. Can it just be removed from undeposited funds, or do I have to void it like video and then do the deposit?
Buen video, gracias.
Thanks for video. I record my rental deposits each month into undeposited funds and then when I have deposited them, I check them all off in Make Deposits. But my question is when I import all my banking transactions, I have been ignoring those lump sum deposits because if I allow them in, I get double deposits. Is that the correct way to do it when I import the .QBO file?
@@QbuniversityOrg That wasn't readily apparent to me because I had marked Make Deposits individually instead of checking all of them to be processed at same time in split transaction so each tenant's payment is in my register separately. I'll do them all together in future so it matches bank. Thank you!
Shouldn't we not leave it as "undeposited funds" and classify it as an :membership" or whatever it is? Do we have to delete the UF record and put it in as a simple deposit?
I have qb desktop and have run into an issue. All of my daily batches are linking into my undeposited funds but not my record deposits box and I don't understand why . I have been trying to resolve this issue for about a year now and no one seems to be able to help me. Is it a setting?
I have cash customers who pay through mobile straight to bank. How do i record that? Coz if it goes to undeposited funds. It will be time consuming due to double accounting
What is the best way to handle duplicates that have been deposited in previous periods. I have large dollar amts that are unreconciled as deposits from undeposited funds. I have already reconciled the real deposits so I know that these are duplicates..... how do I handle them? I have a feeling deleting isn't right...
Hi. Is it possible to void an undeposited funds already inside the check register? Two transactions were lumped together with different months and I need to separate them.
Hi, I have that issue with undeposited funds. I notice that even in the way you do it, when you void and then make a deposit it still shows it as undeposited funds in the register. It should be under sales or something like that but it should stay as undeposited funds. So how do we fix it?
If the undeposited funds one is still sitting there I would delete the other one, unreconcile the month, deposit the undeposited funds, and then re reconcile
Kevin invoice is 660 i click paid and finished entering invoices then went to make deposit and matched the checks with the screen and notice that kevin took off his late charge and only paid 640. How do i fix this what viedo should i watch.?
Sorry, I forgot to add in my comment that the sales transactions go directly from the shopping cart into Quickbook online account, and the latter is synced to the bank account. Could that be the problem, that it is duplicating the transactions?
Please could you clarify when you make bank feed for bank accounts and deposit the undeposited funds in the bank account this transaction also duplicated payments, how to avoid this?
If there are several years worth of deposits sitting in undeposited funds, could we not just do a journal entry to clear that account? If so, could you let us know how?
I would love to say you could but unfortunately if those deposits have been entered and reconciled already you’ll double the deposits. Also, with one big entry you wouldn’t be able to reconcile since the entry won’t fall in the month the deposit happened
I followed steps and voided two deposits from 1/21. I then cleared them from Make Deposits as normal. However, you mentioned to reconcile that month again. I can't get the beginning balance to change in order to reconcile again. help.
I attempted to do a major clean up for undeposited funds from 2000 to 2022...but entered the wrong date and now when I try to edit date....qb just boots me out :-( Please help!
If anyone heer still needs help cleaning up the circle of undeposited funds, I have found the way, delete the invoice that created the mistake, go to the customer in which you set your invoice to be paid from, click on the unwanted payment and click edit and delete payment, this cause me way too much stress and time😅
Feel free to leave a comment or question here!

Thank you so much for this explanation and solutions! Finally! A great video on it!
Thank you and your welcome!
How do I remove a bill I don’t need to pay
If it was in error just pull it up on the screen and delete or void it
so do you leave it as undeposited funds on the register or change the acct?

Yes it sure does. We have training for the desktop and the online versions

What happens if its negative undeposited funds
You'll have to look in the register and see whats causing it. In theory it cannot happen unless someone did a journal entry to that account

What you would have to do when you import them is to “Match” them to the deposits instead of Adding them

You can enter a sales receipt. You can have it deposit straight to the bank instead of undeposited funds

You will have to go back and see how the duplicates were entered. Were they entered as customer payments or directly in the register?

Yes you can. You may have to go back and record the payment against the invoice again but it can be done
@@QbuniversityOrg Thanks for the reply!
How about deleting it? Will it yield a different result?
@@arie_sue no but I always like to void just in case you need to go back to it

Are you depositing it from UF to your bank account?
I have undeposited funds that go back a few years.
How an I delete them?
Unfortunately you cannot if they are tied to an invoice payment. If they are not tied to one you can delete them
What if you realized the double entry after the checking account has been reconciled? How do I get rid of one of them?
If the undeposited funds one is still sitting there I would delete the other one, unreconcile the month, deposit the undeposited funds, and then re reconcile
How do we know how many checks were pending to be deposited at a certain date? Let's say at Sep-30th this year?
Usually they will be minimal but if you pull a detail reconciliation report you will see those outstanding deposits

It very well could be. If you are “Adding” the bank feed transactions instead of “Matching” them, then it would duplicate the transactions.
Please could you clarify when you make bank feed for bank accounts and deposit the undeposited funds in the bank account this transaction also duplicated payments, how to avoid this?
When you enter the bank feed deposits you need to MATCH them to existing deposits instead of Add them

You found the line item for what?
@@QbuniversityOrg I found the line item for the original deposit - per your video, i am trying to void it - void is grayed out
I also did a bulk transfer or deposit into my bank account but latter redeposited back and deleted the transaction.
So you fixed it? Is there maybe a setting in POS to move cash to Undeposited Funds as well?
When you clear it out of undeposited funds, why is it still showing up there?
So should these show as undeposited funds in the register? Won't this also show as undeposited funds on the balance sheet. 🤔
