Hi Rachel, do you have a recommendation for importing sales transactions into QB from Square? QB provides a free connector but the reviews are really bad and I'm afraid to use it. Thx!
@@sapoland If you're testing ideas, I recommend taking a backup first (www.rewind.io). The Square connector sometimes works and sometimes it's goofy, in my experience, it's very case by case.
Technically, yes, but it's NOT the way I'd do it. This will upload the amount into bank feeds then someone will have to to allocate it. That someone will need to split the expense among many categories (accounts). Personally, I'd pull my hair out doing it this way. I prefer using journal entries. I have a training demo video showing how to do a journal entry for payroll: ua-cam.com/video/sA2MO-VAQvg/v-deo.html
Hi Rachel, I want to update my chart of accounts numbers for my next financial year. is there a way to mass-update all the journal entries of my current financial year with the new account numbers ? Thanks for your video !
When the account numbers are updated, they're updated. You don't get to change them for a specific year. Imagine an excel doc with a column for numbers. It's like that.
@@GentleFrog I'm considering reducing the number of accounts used. For example, I have 5 financial fees GL at the moment and my future COA will only have one. Therefore, I can't simply update the GL number, I would need to map all 5 Financial fees GL to the new one. Since the volume of transactions is important, I don't want to update each line of transactions one by one - that's why I was wondering if I could : 1- Extract all the journal entries of FY 2022-23 2- in an excel, update the old GL # with the new ones. 3- mass upload the updated JEs in Quickbooks
Hi Rachel, Thank you so much for this information. Could you also assign those transactions you downloaded to the checking account, even though the transactions were done using a personal cc? Thank you!
Yes! When you upload an excel doc, QuickBooks doesn't know what the account type was to begin with. You get to pick the account you want to link the data to, be it checking/credit card. Easy peasy.
@@GentleFrog So, let's say that the person had a personal account ( that she was using for both personal and business transactions) before setting up QuickBooks, and now she just set up QB and has a business checking account that is connected to QB. But she wants to include the transactions done before (with her personal account). So All she has to do is create a new bank account (should I name personal checking?) and import the way you explain in the video to this account? And shouldn't I remove this bank account at some point cause she no longer uses it? when and how should I do that? Thank you so much!

The same way you transactions that are imported directly from your bank leave your to-do list. You review them and either add them, match them with an existing transaction or mark them as a transfer. Here's a video that shows you that process: ua-cam.com/video/AoN1NpzT5yw/v-deo.html
QBO's import does have limitations. I'd suggest checking out SaasAnt, it's great for importing data into QBO. I have a few videos on it: ua-cam.com/video/Eg0xnKp4kKk/v-deo.html You can also check apps.com, there are lots of options for importing transactions.
@@GentleFrog Great thank you. I am actually importing Checks. I have it all figured out except how to import the checks with Print Later selection, so they automatically go into the print queue. Is there a way to do that?
@@BrandonGoodwin-y5hin your import file you need a "Print Status" column and the status needs to be TRUE. It took me a couple tries to figure this out so I'm going to make a video on it using SaasAnt.
@@GentleFrog :-) Funny I tried that but put FALSE and it didn't work. I didn't think to try TRUE because i thought it was asking if it had been printed. This works perfectly. Thank you! You are fantastic!
Halo im lidia, i wanna ask about import bank transactions, when i upload transaction csv, your file does not contain the three required columns: transaction date, memo and amount, why?
Hi Lidia, do you have those three required columns in your CSV file? Without seeing the file I can't say what might be going on here. If you'd like you can schedule a 15 minute meeting and I can take a look and see: www.gentlefrog.com/meeting/
when i download a CSV file from the bank, can we delete rows and columns within excel before importing? Also, when I do import the file does it overwrite whats already in the review folder within QBO, or simply add these ADDITIONAL transactions to the review folder? I need to import about 3 months worth of bank info that did not automatically download into QBO, while not messing up whats currently in the review folder. Please help....LOL..I dont want to mess up my bank transactions currently in the review folder.
You can and should delete stuff before the import, often there are merged rows in the header/footer and that prevents the import which is nice and frustrating (for me at least). I shouldn't overwrite what is pending in the for review folder, I've never seen that happen. It should ignore those and not double enter them. BUT you can sort by date or amount order and quickly see if they're doubled up. If they are, you can carefully batch delete. You could also add your pending stuff in for-review and then add the missing 3 months. One more thought -- if you are worried you might really screw things up, get Rewind.io, it's a backup software for QuickBooks Online. I use it for a couple of clients where we are either experimenting or there is a ton of work that goes into the file and I just want a back up for peace of mind. It's super easy to use.
Hi Leticia, you don't necessarily have to be an admin. There are various permission levels in QuickBooks. Try uploading and see if it works. If it doesn't then you will need different permissions on your account.
