VERY LOOOONG Very Helpful. NEW TIP FOR FUTURE USERS! You can ONLY upload 1000 lines from Excel to QBO. I had to select the from the top left to line 999, then copy and paste into a new file, RENAME IT so i could find it, Then repeat for the rest of the lines and copy and paste into new file, and or RENAME IT AS WELL then 2 separate uploads and i was almost done. THE QBO ALSO asked me to identify which columns were debits, credits, date and description of each transaction VERY IMPORTANT

Great coverage on all aspects on importing. I have questions related to the Transaction List with the import of my Business Checking. I also have a Business Savings. I've only imported the Checking and not the Savings yet... After I just finished Quick Add (not so quick for 1500+ transactions) for the majority of them, I'm down to 19 Online Transfers from Savings to Checking. The "Payee" is what is throwing me off... and I've been a double entry person 20+ years ago. I ran into this with Owners Equity. I added myself as "OE-My Name" as the Payee. Since this is just a Single Entry system, do I just create an "Other" type of Payee called "Business Savings" and the Account would be my Business Checking? I'm about to Import my Business Savings QBO file into the Transaction List. Would I see double the entries? Or Import it and do the same by creating a "Business Checking" as the Payee and Account would be Business Savings? Was the way I did the Owners Equity correct? I'm trying to get use to this single entry system... Thanks! D

Excellent video! I am buying an 2018 version of Quickbooks Desktop Pro. Can I still import banking activity or do I need to upgrade to a Quickbooks subscription version to be able to utilize this feature. Hi Hector, I was hoping that you have a solution for me. I'm working with QBO-PRO+ to convert bank PDF files. PNC Bank statements have many characters on item lines before the Payee Description. I have for many item lines, 20 garbage characters before the actual Payee name. I always convert PDF file to CSV first, clean up the data before converting to QBO file. Does QBO-PRO+ software allow more than 31 characters on a conversion before importing into Quickbooks. .. thanks Jan.
My bank data normally downloads automatically in QBO. But im missing about a 4 month period of bank transactions for 2019. If I download the CSV file and then delete all the unnecessary data (rows) within excel and then import the CSV file directly ( I dont have the converter you are discussing here), im guessing it imports that data that I have left on the CSV file. BUT>...will it overwrite/ will I loose all the other transactions that are currently in the Review screen that are for 2020. I have lots of transactions that I still need to review. ??
I've been stumped with using pdf2qbo converter...worked on a couple of pdf downloaded bank statements but now when I try to convert it's only reading all the transactions as Credits. Have you seen this or know a fix? Thanks!
Hector, when showing the .csv example, I did not see a total of credits and debits on the top. Is that feature available on the .csv conversion? It showed up on the PDF version and you illustrated the fact. But again, on the CSV example, it did not appear that summations of credits and debits were provided. Please comment.

great video! I had Quickbooks pro 2014 desktop and they told me I had to update to 2017 to be able to download bank transactions and then into quickbooks; I download the qbo file from my bank. Is you PDF to QBO file a work around so I don't have to update quickbooks every three years? I am a one man business so don't have much money to renew every three years. thanks so much!

Hector, we just purchased Quickbooks Online this morning and I have been trying to upload my QBO file all day, but have been unable to. Your video shows an "Upload File" option in the upper right hand corner, but when I am logged in on the Bank Transactions page, I do not have that option! Why wouldn't I have that button/option!?

Hi Hector, When you're telling Quickbooks how to categorise each debit on your imported bank statement - is it automatically making the bill for it and showing it as paid? Because currently I create a bill with 'Enter Bills' then go to Pay Bills to show which account they are paid from and what date.
Ok, but if I don't create the bill first, will it create it automatically once matched to the bank feed? Currently I work through the bank statement just making the bill as I see the entry on the bank statement, not from receiving an actual bill.
Fahim Shahriar I don’t think so... that is very complex technology. There are “alternatives” like Able2Extract or PDF2XL but they are just not designed to work as well as 2qboConverter

Hector, thanks so much for the video. This is super helpful. I just purchased QB for Mac and am attempting to import old transactions from my credit card into QB. I downloaded the QBO file but when I try to import it, it doesn't give me my credit card as an option to import it into. It lists the account type as "creditline" and the only accounts it will allow me to import the file into are "payroll liabilities" or "new." I tried to create a new file, but it didn't work. Can you help? Thanks!
I have downloaded the converter page it works great. I was able to do one transaction. One issue I'm having after I converted it and go to upload it my Web Connect say " There are no new transactions available. Please check again tomorrow. I'm going to keep trying it and do a different month. The one thing I'm having a problem with is the deposits. They are coming up but when I check my QB Check register my deposits are not there. Do you have a link on how to upload deposits. Thank you

Nannon Riechel i have the same problem sometimes... it reads maybe 95% of the transactions. This happens with abnormal bank statements. There isn’t much you can do.

Major question. QuickBooks Premier 2013 has locked me out until I update to 2016. We have closed the company this year so I do not want to purchase another expensive software package, but I need to close out the year end books. When I try the work around I still cannot import the checking account information for the QBO files. Is there any other way to get the information around their lockout?

I am trying to download a citibank visa CSv file into QB online. It appears I have a formatting problem between formats. I keep getting an error. Is there a special conversion program? Citibank does not have a qbo format download. It is frustrating. I have not tried pdf files yet. Vicky
The best think I could do for you is quickly glance at the CSV File to see. But usually I never see a formatting error from the bank files. And YES, there is a conversion tool, is called CSV2QBO, is worth like $60 at www.2quickbooks.com

You say that the bank chase gives many options to download the activities of the accounts, but the csv options does not lower the same format that shows in the bank online ... being that other banks similar appears in the account online activity. How to then have the same format with the columns Date, type, descriptions, Debit, credit, Balance
I did not understand your answer, I said that the other banks give you the option to download the csv in the Excel worksheet the same way that the agent sees in the account activities (DATE, TYPE, DESCRIPTION, DEBET, CREDIT, BALANCE)

Direct connect is limited to whatever the bank sends you. But you can still import a .QBO webconnect file even with a direct connect bank via the menus
I tried to Export Transaction History via Web Connect with my bank who has the Quickbooks.qbo selection. However, I received this error '[Window Title] C:\Users\User\Downloads\Acct_5228_03_01_2019_to_06_02_2019 (5).QBO [Content] This file does not have an app associated with it for performing this action. Please install an app or, if one is already installed, create an association in the Default Apps Settings page. [OK]. I've checked through my Default Apps setting but don't see one for .qbo which I'm assuming is what I need. Is this app something I have to purchase or can I add it somehow? Thanks for the help. I imported through Quickbooks from my bank but it only pulled in the last 6 months but I need to pull data into QB prior to this date so was trying to manually export following your tutorial. When I add the account and payee and select action (Quick Add) it only adds that single transaction and not the other 50 similar transaction. My software is up to date. Quickbook does not seem to learn!!
I downloaded my account from the bank. I worked on it. I got out of the program. I am not sure if I saved it, or didn't save it correctly. Somehow when looking at it again, the information I typed in was gone. Thank you for the video Hector! It's great. I have one question about truncated descriptions in QBO file, please. I have QB 2015 Pro desktop version and bank with Chase. I can download .qbo files from Chase and import into QB but the descriptions are truncated in the QBO file. For example, whereas my bank statement shows this transaction exactly as: "02/20 Online Payment 6021978708 To Verizon", the QBO file truncates it and stops at "Ver", cutting off the vendor's name. That's not specific enough to know if the payment is to a vendor named Verizon, or Vermin Pest Control, or Very Good Restaurant. I can opt to "show bank memo" in the QB review screen, which is where the remainder of the the description has been shoved. But I don't think the re-naming rules operate against "bank memo" field so I'm still repeatedly classifying most of my transactions from the QBO file because they're truncated like, "Online Payment 1234567890 To ABC" even though there is more text after "ABC". Question: if I were to use pdf2qbo Convert software to convert Chase digital PDFs into QBO file, would the FULL description be pulled from the bank statement into the QBO description field (e.g. "02/20 Online Payment 6021978708 To Verizon")? Or does the problem reside in the QBO description field size? Is the QBO description field just too short, regardless of whether it's populated from a bank download or a converted digital PDF? Thank you!
yea that is a huge problem.. you must do is download it in CSV, open in excel and join the description and memo as one column and make that the new memo. Then use CSV2QBO to make your own .QBO files. This is a ling video, but it will help: ua-cam.com/video/7bM7nOcn7_Q/v-deo.html

Travel With Lynna process has not changed... positive are charges.. negatives are refunds or payments to the CC

Hi Hector, I was hoping that you have a solution for me. I'm working with QBO-PRO+ to convert bank PDF files. PNC Bank statements have many characters on item lines before the Payee Description. I have for many item lines, 20 garbage characters before the actual Payee name. I always convert PDF file to CSV first, clean up the data before converting to QBO file. Does QBO-PRO+ software allow more than 31 characters on a conversion before importing into Quickbooks. .. thanks Jan.
My bank data normally downloads automatically in QBO. But im missing about a 4 month period of bank transactions for 2019. If I download the CSV file and then delete all the unnecessary data (rows) within excel and then import the CSV file directly ( I dont have the converter you are discussing here), im guessing it imports that data that I have left on the CSV file. BUT>...will it overwrite/ will I loose all the other transactions that are currently in the Review screen that are for 2020. I have lots of transactions that I still need to review. ??
I've been stumped with using pdf2qbo converter...worked on a couple of pdf downloaded bank statements but now when I try to convert it's only reading all the transactions as Credits. Have you seen this or know a fix? Thanks!
Hector, when showing the .csv example, I did not see a total of credits and debits on the top. Is that feature available on the .csv conversion? It showed up on the PDF version and you illustrated the fact. But again, on the CSV example, it did not appear that summations of credits and debits were provided. Please comment.

great video! I had Quickbooks pro 2014 desktop and they told me I had to update to 2017 to be able to download bank transactions and then into quickbooks; I download the qbo file from my bank. Is you PDF to QBO file a work around so I don't have to update quickbooks every three years? I am a one man business so don't have much money to renew every three years. thanks so much!

Hector, we just purchased Quickbooks Online this morning and I have been trying to upload my QBO file all day, but have been unable to. Your video shows an "Upload File" option in the upper right hand corner, but when I am logged in on the Bank Transactions page, I do not have that option! Why wouldn't I have that button/option!?

What about the sales tax? How will it be recorded if it's for example office supplies because you're uploading the total amount?
In the us, there is no need to record sales tax from expenses

Hi Hector, When you're telling Quickbooks how to categorise each debit on your imported bank statement - is it automatically making the bill for it and showing it as paid? Because currently I create a bill with 'Enter Bills' then go to Pay Bills to show which account they are paid from and what date.

Ok, but if I don't create the bill first, will it create it automatically once matched to the bank feed? Currently I work through the bank statement just making the bill as I see the entry on the bank statement, not from receiving an actual bill.

There are “alternatives” like Able2Extract or PDF2XL but they are just not designed to work as well as 2qboConverter

Hector, thanks so much for the video. This is super helpful. I just purchased QB for Mac and am attempting to import old transactions from my credit card into QB. I downloaded the QBO file but when I try to import it, it doesn't give me my credit card as an option to import it into. It lists the account type as "creditline" and the only accounts it will allow me to import the file into are "payroll liabilities" or "new." I tried to create a new file, but it didn't work. Can you help? Thanks!
You did create an account for the credit card in your QB company before attempting the import, yes?

I have downloaded the converter page it works great. I was able to do one transaction. One issue I'm having after I converted it and go to upload it my Web Connect say " There are no new transactions available. Please check again tomorrow. I'm going to keep trying it and do a different month.
The one thing I'm having a problem with is the deposits. They are coming up but when I check my QB Check register my deposits are not there. Do you have a link on how to upload deposits. Thank you

Nannon Riechel i have the same problem sometimes... it reads maybe 95% of the transactions. This happens with abnormal bank statements. There isn’t much you can do.

Major question. QuickBooks Premier 2013 has locked me out until I update to 2016. We have closed the company this year so I do not want to purchase another expensive software package, but I need to close out the year end books. When I try the work around I still cannot import the checking account information for the QBO files. Is there any other way to get the information around their lockout?

I am trying to download a citibank visa CSv file into QB online. It appears I have a formatting problem between formats. I keep getting an error. Is there a special conversion program? Citibank does not have a qbo format download.
It is frustrating. I have not tried pdf files yet.

The best think I could do for you is quickly glance at the CSV File to see. But usually I never see a formatting error from the bank files.
And YES, there is a conversion tool, is called CSV2QBO, is worth like $60 at www.2quickbooks.com

I did not understand your answer, I said that the other banks give you the option to download the csv in the Excel worksheet the same way that the agent sees in the account activities (DATE, TYPE, DESCRIPTION, DEBET, CREDIT, BALANCE)

Direct connect is limited to whatever the bank sends you.
But you can still import a .QBO webconnect file even with a direct connect bank via the menus

There is no template.. the file is coded in a very specific way.. you need a CSV2QBO converter.
When I add the account and payee and select action (Quick Add) it only adds that single transaction and not the other 50 similar transaction. My software is up to date. Quickbook does not seem to learn!!

I downloaded my account from the bank. I worked on it. I got out of the program. I am not sure if I saved it, or didn't save it correctly. Somehow when looking at it again, the information I typed in was gone. Now I don't get the full information I downloaded - and it won't let me re-download it - I think because it is somewhere in there but I can't find it now.

Thank you for the video Hector! It's great. I have one question about truncated descriptions in QBO file, please.
I have QB 2015 Pro desktop version and bank with Chase. I can download .qbo files from Chase and import into QB but the descriptions are truncated in the QBO file.
For example, whereas my bank statement shows this transaction exactly as: "02/20 Online Payment 6021978708 To Verizon", the QBO file truncates it and stops at "Ver", cutting off the vendor's name. That's not specific enough to know if the payment is to a vendor named Verizon, or Vermin Pest Control, or Very Good Restaurant.
I can opt to "show bank memo" in the QB review screen, which is where the remainder of the the description has been shoved. But I don't think the re-naming rules operate against "bank memo" field so I'm still repeatedly classifying most of my transactions from the QBO file because they're truncated like, "Online Payment 1234567890 To ABC" even though there is more text after "ABC".
Question: if I were to use pdf2qbo Convert software to convert Chase digital PDFs into QBO file, would the FULL description be pulled from the bank statement into the QBO description field (e.g. "02/20 Online Payment 6021978708 To Verizon")?
Or does the problem reside in the QBO description field size? Is the QBO description field just too short, regardless of whether it's populated from a bank download or a converted digital PDF?

yea that is a huge problem.. you must do is download it in CSV, open in excel and join the description and memo as one column and make that the new memo. Then use CSV2QBO to make your own .QBO files.
