Kevin you have been helping people all over the world with your MS how to do videos. Appreciate you very much. Your YT channel deserves all the success. Cheers!
I love the way Kevin's calm and pleasant voice explains these videos - he's definitely the best tutor / tutorials I've seen. Keep up the great work Kevin :)
Great video. I love how all of these applications link together. One thing I would like to see in Planner is a dependency relationship where completion of one task triggers a notification to the owner of next task in line.
@@abhijeetindap81 ClickUp can do that. I’d recommend watching a few video tutorials. It’s also easy to find answers in their knowledge base or using Google. According to ClickUp: “You'll receive a notification when a task dependency is added, unlinked, or when a task becomes unblocked. If you have the Dependency Warning ClickApp enabled, ClickUp will display an incomplete warning if you attempt to close a task that is waiting on another task.”
I submitted a proposal to job that I have no idea what I am getting into lol. I've worked as an Office 365 support back in 2018-19 and I think your videos can really help get up to speed. I just subscribed to your channel and I hope that you upload more videos related to Office 365.
Thank you very much! Didn’t know this existed & I’m a post it person. This is going to change my life, and your video is the cliffs notes. I’m exhausted in bed, it’s late and this actually inspires me to want to get up and set it up! TY TY TY!!
Kevin, are you looking over my shoulder? Just yesterday I needed to make a table of contents in Word and just like that there you were with a solution. Right now I'm looking into Planner, and look, there you are. You are creeping me out lol :-). Great content and presentation as ever. Thank you.
I'm currently working on it as well! To be honest, it's annoying that we can't assign Checklist items to different team members nor give those due dates
Great video Kevin! Planner is a great tool, and I enjoy working with it. Would love the ability to see who completed subtasks when multiple people are assigned to a single task (something like the person's profile with time/date stamp). Would love the ability to use the @ symbol to message someone specifically when multiple people are assigned to a task. This would eliminate other team members from being emailed on correspondence about the task that do not directly require their attention. They can always review the dialog from the task board but not be bothered with emails. Hope Microsoft will consider this. Looking forward to more useful features within Planner. Thanks!
Thanks for the video, Kevin. My team has been using Planner via Teams since 2020. We track our projects by year. The problem we've run into is that some of our projects (cards) have more than one asset to it. Rather than creating a separate task/card for each asset (some can be as many as 96 different social media graphics for one project), we've been using a Label called "Multiple Assets" and add the number of total assets a particular card has in its name. For example: Project A - 5 would show that this project has 5 assets to it that we want to count at the end of the year. So, when we go to the Charts tab, it will show the number of projects in that channel/tab, however it won't add up the individual assets for a card into the total number. So, if my team has completed 10 projects, the Chart tab will show that. But, if two of the cards have multiple assets (such as Project A - 5 and Project B - 5), the Chart tab won't show that we've actually completed 19 projects. I have to manually count the total number of assets for that year. Does that make sense? Is there a way to count all assets without making a separate task for each item?
In Teams the Planner icon is now a purple checklist icon... this drove me mad when I was clicking the very similar icon, the Projects icon and after two days of this... eureka!!!! I can read. Great video by the way.
So helpful! I have been trying to find something like this. I agree with other commenters, that I would like to see a way to link tasks also, for instance if Jon Doe needs to do X before Jane Doe can do Y successfully, there should be some sort of a "nested" task, wherein Jon Doe's "X" is the main task and Jane's "Y" is the nested task, so that once Jon marks his task as complete, Jane's shows up as needing to be completed.
do you have a more in depth about the sorting and filtering? Can you sort all your tabs? I created about 14 different ones for projects but cannot find how to filter all of them. Or is it better to place the 14 different projects under 1 tab and have each project be a bucket?
Hi Kevin, Does planner have the ability to copy the tasks or make them recurring? for example if it's something the team does monthly and we want to track the progress without creating the tasks every month.
Can you upload a spreadsheet to planner? We currently use a spreadsheet with tasks, assignees and due dates. Can we upload that to planner as opposed to having to recreate all the tasks in planner.
Good explanation Kevin. Thanks. Questions: 1. Can non-Offic365 subscribers outside of your organizations be assigned tasks? I work with multiple teams geographically scattered in different countries, all of whom are not part of our organization and many may also not be Office365 subscribers? 2. What reports can be generated (on the outset, it seems there is no reporting functionality)? For example, can I see the days it took to complete each task/sub-task from the assigned date? Versus the deadline? 3. Can an existing worksheet from Excel be imported as a project?
Really appreciate your videos! It is easy to understand and thorough enough to cover all the essential basic to let us kick start with experimenting. Thanks!
When a task is assigned, what notification (and where) does the person receive? Is there a way to set up dependencies? In your example, one task couldn't be started until the one before it was completed. If there was a notification sent to the person with the next task, it would be more efficient. Can you delete buckets when you are done with that mini-project?
Great, thx! Would appreciate a video on how to use Planner across multiple teams/departments, so that I can view boards by each team/department, but then also in the aggregate, ensuring department members only view their own buckets.
Hey Kevin, Great Microsoft Planner tutorial! I showed this to my boss and he loved the concept of it and we are currently trying to implement Microsoft Teams into our company. I noticed there was a delete task option and I was wondering if there was a way to prevent other team members from deleting tasks?
Hello Kevin, Thanks for the tutorial. However, I would like to know if Microsoft Planner can show Gantt charts. It can be illustrative and it can provide a quick look when activities have several tasks. Thanks
Hi Kevin, Great video. I just want to know who does the updating of a task? Does each person who is assigned the task make the updates or is it the originator?
We do quarterly releases, so the tasks are very similar each project. I see there is a way to export tasks to Excel, but is there a way to import them? I would love to export the previous tasks, update with new dates and import them for the next release. Maybe there is a way to automate something....hmm.
Hi Kevin. Thanks for the video. I appreciate the difference in showing using different bucket names rather than the standard ones (todo in progress, completed). Question, I haven't really seen a good example creating a plan from an existing plan. I have tried that in Teams and did not get what I was expecting including that it ended up creating a new "group" instead of attaching to the team I was already in. I only found I was able to create a new plan for the same team If I was in planner from the web.
Just found your videos and channel- thanks and good luck! Quick question, why does Planner only work for school and business accounts? I pay for my MS products, not digging they slice off certain parts of the family. In the alternative, MS sure needs a "Project Lite"- Project is vastly too expensive (unless you are building a office building!), us mortals would be happy to have a project management tool that is easy to use and affordable/included on Office. Thanks for the feedback!
Great intro, will be using with my team. I saw the export to excel feature and wondered if there is a solution to import into something like "Gantt project planner". I know it sounds silly, but I need to show project progress to the board and they prefer seeing something like that. I can write my own VB to automate this, but why reinvent the wheel.. :)
Thanks, Kevin! Do you know if there is a way to create standard tasks to be copied into a board? I manage a number of similar projects and it would be nice to be able to copy common tasks from project to project rather than recreating each task every time. Trello has that function that you can create a checklist template and then pull that entire checklist in to any project which is really nice but I have not been able to find a similar function within Planner, am I just missing it?
is there a feature to create a template in planner such that you can start a new bucket with similar items. like for the videos in the example. a template that would always include the key task and you just have to change the date or even a dynamic date like 3rd tuesday etc.
I have set up my 'master planner' and now trying to copy it to other channels. I don't however want details entered into any of the copied planners to be pulled through to the master planner. How do i go about this?
Hi Kevin, thanks for the videos, really informative. My question: when you assign work to people in planner does it send them a notification, or is the planner just your plan to keep track of your team. Also Is it linked to the calendar in any way.
It doesn't for all. There is a setting for the workplan and the default is off for me. I also have alerts turned off in Teams...so I never see anything. Now, if you comment on a task everyone on that task gets and email period. I'd love a deeper look into planner (talk about alerts, workaround for not being able to add a team to a task easily, inability to track progress as people complete portions of a task, etc)
Thanks you Kevin...I am thinking about using Planner for organizing my class...last year I used the calendar on the main TEAMS page. Basically set a meeting for every assignment. I was thinking about using Planner but seeing how I could assign various class assignments to a whole group. Some of this is not completely appropriate for what I am trying to do. Any suggestions for teachers?

Thank you for this very helpful tutorial, Kevin! MS Planner is now my new best friend!
