no matter the cattle, no one's herd enough about the art of onboarding, client experience isn't everything but it's definitely a something. I hear Dubsado a lot, was just talking to someone about her offering it as a service to set up for clients the other day. Must be a thing to listen and watch out for
Hi Lisa, Thanks for watching! I only stopped using Dubsado when I stopped taking on clients and went full-time into running my online course, otherwise, I would still use it. :)
Thank you! this was SO helpful. I wouldn't have known where to begin without it! I spent all day (yes, all day) setting up one workflow for one service my business has. The difference is I start with a proposal, then the invoice and contract are sent after that beuase they need to choose their package first. How do I start this workflow? I did it the way you did, but it sent the proposal (step one) that was blank becuase I don't know how to enter info into the proposal template for each customer. After I do that, I can start the workflow. Any tips on this? Thanks!
Hi Amy, So happy to hear this was helpful! 🤗 I do customize the proposal template first for each client before I send the template. Dubsado help center is also very fast and helpful for these kinds of things too! 💕
Hi Amy, a systems strategist and Dubsado expert here 🙋♀ In your case, you should have two separate workflows: #1 for booking (sending the proposal, contract, and invoice) and #2 for onboarding (welcome email + packet, onboarding questionnaire, and onboarding call). Here's how the booking workflow would look: 1. Add a To-Do to customize the client proposal (and contract & invoice). 2. Send the proposal, contract, and invoice after all actions are complete and also add the 'Approve' button (make sure to toggle ON the setting inside the proposal to include the contract and invoice. 3. Start the onboarding workflow after all payments are completed. For the onboarding workflow: 1. Send form (the welcome email and packet) immediately after the workflow starts. 2. Send form (the onboarding questionnaire) 0.25 hours after the previous actions are complete. 3. Send the appointment scheduler immediately after the form (onboarding questionnaire) is completed. To answer your question - ensure you're using Dubsado smart fields to capture client details and show them inside the proposal as well as the contract. Does this answer your questions?
This video was great ! Very informative 👏 I haven't sat down to actually do it myself just yet but I have a question (and I'm so sorry if you already addressed it in the video) when you have to onboard clients differently for example I'm a VA who has different packages/ services / questionnaires would I need to create a workflow for each?
Hey Jenny! So glad you found it useful. I would probably keep the same workflow whenever possible - with Dubsado, you can pre-create packages as well so you can just apply the right package to the right client and the workflow can kick off regardless of it.
Hi Jenny @jennymarquez8201... I noticed you posted this question 2 years ago, so you probably figured it out... but in case you're still looking for it, I'm a systems strategist and Dubsado expert here 🙋♀ If your client journey steps and assets are the same, there's no need to create different workflows. But if the payment plan, contract, onboarding questionnaire, welcome packet, etc., differ for different services, make sure to create separate workflows. If the client journey is the same (contract + invoice, then welcome email and welcome packet, then onboarding questionnaire, etc.), I suggest creating one workflow thoroughly. Then, duplicate it, rename it, and update the workflow actions with the relevant assets and emails. Let me know if you have any follow-up questions :)
Thank you for the informative tutorial. I created my workflow same as yours however when i start the workflow the emails (for contract/invoice/intake/scheduler) is not being sent. would you have any tips regarding why?
Hmm have you gone through the workflow step by step and trouble-shooted each step? When in doubt, I also just contact the support and have them tell me what I did wrong hahaha
Did you apply the workflow to the client project? (Project -> Client project -> workflows -> apply the relevant workflow). If this is not the case, make sure you're using the correct trigger and the condition when building the workflow
Thanks Deya, that was great content! Can the workflow be triggered from a website or does it have to be done manually? if so is Workspace compatible with Dubsado? Also, is the only way of sharing and updating spreadsheets to add a link to google drive or drop box? Thanks again :)
Hey Magaly! You may want to have a look at Zapier to see if it can connect an app to set off a workflow in Dubsado. I know that the Clickup - Dubsado zap currently can't do that. And for spreadsheets, I assume so! You can hyperlink it in the client dashboard, etc.
Hello! :) im only 10 minutes in and already excited for your presentation of the UI! Been looking to come across a walkthrough that breaks down the menus. Thanks!! - Jared
I'm only no longer using Dubsado because I transitioned into running my own business and not taking on clients any longer. Otherwise, I'd still use it :)
Hey sister! I'm looking for a PAYPAL alternative (as I've heard not so great things) and want to switch over. Is there any other payment options with dubsado? Trying to simplify as best I can, and I like WISE, but is there a way / automation that they can pay to WISE? or have you found STRIPE a good option too? Thank you!
Hey Kelsey! These are the payment processors that Dubsado integrates with - help.dubsado.com/en/articles/580108-what-is-a-payment-processor Stripe is a good option if you'd like to try something else! I don't think they integrate with Wise unfortunately so if you wanted to use that, they'd have to manually do it.
Unfortunately no, Dubsado only integrates with Stripe (now Dubsado Payments), Square, and PayPal. The workaround: Automate proposal and contract via Dubsado workflow, and once the contract is signed, send a manual invoice. Also, once you've received the payment, apply it to the client project inside the invoice tab to automatically start the onboarding workflow. Does this answer your question?
If you're looking for a workflow/process mapping tool, you can explore Miro, LucidChart, and even Figma (it's what I use)! They all are pretty simple to use and have similar UI.
Thanks Deya. Excellent demo.
This video is soooo helpful. Thank you so much for the detailed info and that incognito info is truly gold. Literally a lifesaver!

Hi Lisa, Thanks for watching! I only stopped using Dubsado when I stopped taking on clients and went full-time into running my online course, otherwise, I would still use it. :)

HI Jared, I'm so happy to hear that! Thanks for letting me know!
7:04 You no longer use Dubsado? Can I ask why?
Amazing video :)
So glad you found it useful, Amiyra!
Do you know how Dubsado and Honeybook compare?
Informative Helpful
So happy to hear this!
Thanks for this video - what platform do you use instead of Dubsado now?
I have recently transitioned out of taking on clients and fulltime into running my own business, otherwise I'd still use Dubsado :)
Hello. You mentioned that you no longer use Dubsado. Who are you currently using? Is it Honeybook?
I'm only no longer using Dubsado because I transitioned into running my own business and not taking on clients any longer. Otherwise, I'd still use it :)

Amazing channel
Thank you for watching!
@@MyNameIsDeya that's awesome 👌👌👌👌
What do you use to visually show them?
To show the workflows? I like using Miro. :)
If you're looking for a workflow/process mapping tool, you can explore Miro, LucidChart, and even Figma (it's what I use)! They all are pretty simple to use and have similar UI.
Great video but couldn't find the 20% OFF Dubsado Link.
Hi Kwazi, here you www.dubsado.com/?c=deya. Thanks for reaching out!
